YouTube tax forms are handled entirely through Google AdSense, and which one you file depends on where you live and whether you’re filing as a person or a business. U.S. creators submit a Form W-9. Non-U.S. individuals submit a Form W-8BEN, and non-U.S. entities submit a Form W-8BEN-E. After year-end, Google sends back a 1099-NEC, 1099-MISC, or 1042-S summarizing your earnings and any tax withheld. Skipping the submission triggers automatic withholding of 24% (U.S.) or 30% (non-U.S.) on your payouts, so filing early matters.
Which Form You Submit
Three forms cover almost every creator. The AdSense questionnaire picks the right one based on your answers, but knowing what you’re signing helps.
- Form W-9 โ U.S. individuals and businesses. Certifies you’re a U.S. person and provides your Taxpayer Identification Number. Most individual creators enter a Social Security Number; LLCs and corporations enter an Employer Identification Number.1Internal Revenue Service. - Form W-8BEN โ non-U.S. individuals. Establishes your foreign status and, where a tax treaty applies, claims a reduced U.S. withholding rate.2Internal Revenue Service. Instructions for Form W-8BEN
- Form W-8BEN-E โ non-U.S. entities. The entity version, covering both Chapter 3 withholding and FATCA reporting.3Internal Revenue Service. About Form W-8 BEN-E, Certificate of Status of Beneficial Owner for United States Tax Withholding and Reporting (Entities)
Every form requires a valid TIN. U.S. individuals use an SSN, U.S. businesses use an EIN, and non-U.S. individuals who don’t qualify for an SSN can apply for an Individual Taxpayer Identification Number.4Internal Revenue Service. Taxpayer Identification Numbers (TIN)
How to Submit Your Form in AdSense
Everything is done electronically. Sign in to AdSense, click Payments, then Payments info. Open Manage settings, scroll to “Payments profile,” click edit next to “United States tax info,” and select Manage tax info to start.5Google AdSense Help. Submit Your US Tax Info to Google
AdSense asks whether the account belongs to an individual or entity, whether you’re a U.S. or non-U.S. person, and your tax classification. Your answers determine which IRS form is generated, with only the relevant fields shown. Before you sign, AdSense produces a preview of the completed document. Read it. Your legal name has to match IRS records exactly, and a mismatch can hold your payments.
The electronic signature carries the same legal weight as a handwritten one and certifies, under penalty of perjury, that your answers are accurate. After you submit, AdSense runs the form through an automated check and marks your account approved or under review.
What Happens If You Don’t Submit
Federal law requires Google to withhold when a tax form is missing or invalid. This is where creators lose money without noticing.
U.S. creators without a valid TIN face 24% backup withholding on gross earnings, sent directly to the IRS.6Internal Revenue Service. Backup Withholding The rule comes from 26 U.S.C. ยง 3406, which requires payers to withhold when a payee fails to furnish a correct TIN or fails certification.7Office of the Law Revision Counsel. 26 U.S. Code 3406 – Backup Withholding
Non-U.S. creators face a steeper default: 30% withholding on U.S.-sourced income. If part of your audience watches from the United States, 30% of that revenue share is withheld unless you’ve submitted a W-8BEN claiming treaty benefits.8Internal Revenue Service. NRA Withholding
Withheld money isn’t gone forever. U.S. creators can reconcile backup withholding on their annual return, and non-U.S. creators can file Form 1040-NR to claim a refund of overwithheld tax.9Internal Revenue Service. Taxation of Nonresident Aliens But recovering money from the IRS takes months, and Google won’t refund it directly once a payment has processed. Filing on time is the cleaner path.
Treaty Benefits on Form W-8BEN
The 30% default is not necessarily what non-U.S. creators pay. The United States has income tax treaties with dozens of countries that reduce or eliminate withholding on royalties and certain service payments.10Internal Revenue Service. Tax Treaty Tables
Part II of Form W-8BEN is where you claim the reduced rate. Line 10 identifies the treaty country, the income type, the treaty article, and the withholding rate you’re claiming. Line 6a takes your foreign tax identification number. If your country doesn’t legally require one, check the box on Line 6b indicating an FTIN isn’t required.2Internal Revenue Service. Instructions for Form W-8BEN
Rates vary by country and income type. Some treaties cut the royalty withholding rate to 10% or 15%; others eliminate it. The IRS summary tables are a starting point, not a substitute for reading the treaty that applies to you. When the numbers get large, a tax professional who works with international treaties is worth the fee.
What YouTube Sends You at Year-End
After the calendar year closes, Google issues year-end documents through AdSense, typically in January or early February.11Google AdSense Help. Request a Year-End US Tax Form (1099-MISC, 1099-K, 1042-S)
U.S. Creators
If you earned $2,000 or more in nonemployee compensation, Google issues a Form 1099-NEC. For payments made after December 31, 2025, the IRS raised the 1099-NEC reporting threshold from $600 to $2,000.12Internal Revenue Service. Form 1099 NEC and Independent Contractors Depending on how Google classifies your payments, you may instead receive a 1099-MISC, commonly used for royalties, which has a $10 reporting threshold.
Falling below the threshold doesn’t make the income tax-free. The IRS expects you to report all earnings whether or not a 1099 shows up.
Non-U.S. Creators
Foreign creators who earned U.S.-sourced income or had tax withheld receive Form 1042-S. It shows the gross income paid, the withholding rate applied, and the total tax remitted to the IRS on your behalf.13Internal Revenue Service. About Form 1042-S, Foreign Person’s U.S. Source Income Subject to Withholding You’ll need it if you file a U.S. return to claim a refund, or if your home country requires reporting of foreign-source income.
When to Refile or Update Your Info
The W-9 has no expiration date, but you should submit a new one if your legal name changes, your business entity type changes, or your TIN changes. A mismatch between your name and TIN on IRS records can trigger backup withholding on an otherwise valid account.
The W-8BEN expires. It’s valid through the last day of the third calendar year after signing, so a form signed anytime during 2026 expires on December 31, 2029. After that, Google reverts to 30% withholding until you resubmit.2Internal Revenue Service. Instructions for Form W-8BEN File a new form early if any details change before expiration; moving to a different country, for example, may change your treaty eligibility entirely.
Google usually sends a reminder as the expiration approaches. Set your own alert a month or two ahead anyway. A lapsed W-8BEN means 30% withholding starts automatically, and clawing that back from the IRS takes time you’d rather spend on your channel.
