If a system is telling you that your Social Security number is invalid, the reason is usually mundane: a typo, a name that no longer matches your SSA record, verification software that hasn’t caught up with how numbers are issued today, or a card that was assigned so recently that databases haven’t picked it up. A smaller share of cases point to something serious, like identity theft or an SSA record that mistakenly lists you as deceased. The right fix depends entirely on which of these is happening, so start with the cheapest checks and work outward.
Check the Number and the Name First
Before anything else, compare the digits on file against your physical Social Security card. A transposed digit, a misread handwriting sample, or an autofill glitch is the single most common cause of a failed verification. If the number the employer, bank, or agency has doesn’t match your card exactly, ask them to re-enter it. Most invalid-SSN flags end here.
Name mismatches are almost as common. Verification systems cross-reference the SSN against the name the SSA has on file, so if your name changed after marriage, divorce, or a court order and you never updated your record, the check fails. To fix it, update your name on your Social Security card by filing Form SS-5 with proof of the legal change. Acceptable proof includes a marriage document, divorce decree, court order, or Certificate of Naturalization showing the new name, and the SSA requires original documents or copies certified by the issuing agency. Photocopies and notarized copies are not accepted.1Social Security Administration. Learn What Documents You Will Need to Get a Social Security Card
One subtler pattern trips up people with longer names. The IRS verification system typically treats the third word in a name series as the last name. If your legal name has more than three words and your SSN keeps failing even though everything looks spelled correctly, check which portion of your name the SSA actually has recorded as your surname.
The Number Itself Can’t Be Valid
Some digit combinations are never issued. The SSA does not use area numbers (the first three digits) of 000, 666, or anything in the 900 series, and it does not use a middle group of 00 or a serial number of 0000.2Social Security Administration. RM 10201.035 – Invalid Social Security Numbers (SSNs) If the number on file contains any of those patterns, it was recorded wrong somewhere. Your actual card won’t have them.
Outdated Verification Software
In 2011 the SSA switched to randomized SSN assignment. Before that change, the first three digits corresponded to the state where the number was issued, and many verification tools relied on that geographic logic to check validity. After randomization, area numbers are no longer tied to states, and the old “High Group List” those tools depended on is frozen. Any SSN issued after June 2011 can be flagged as invalid by an employer, landlord, or financial institution running outdated software.3Social Security Administration. Social Security Number Randomization Frequently Asked Questions Nothing is wrong with your number in this case. The verifying party needs to update its tools.
The Number Is New
If your SSN was issued recently, databases outside the SSA may not recognize it yet. For newborns enrolled through the Enumeration at Birth program, the SSA’s national average processing time is roughly two weeks, with another two weeks before the card arrives.4Social Security Administration. What Is Enumeration at Birth and How Does It Work For adults applying through Form SS-5, the card typically arrives within 5 to 10 business days after the application is approved.5Social Security Administration. Request a Social Security Number for the First Time
During that window, employers, banks, and the IRS may all get an “invalid” result when they try to verify the number. Tell the requesting party the number is new and ask them to try again in a couple of weeks.
The SSA Has You Listed as Deceased
Occasionally, a hospital, funeral home, or SSA data entry mistake causes the agency’s records to show a living person as deceased. When this happens the SSN fails virtually every verification: employment, tax filing, credit applications, and government benefits. Confusion between people with similar names and birth dates can also trigger it.
This is not something you can resolve online or by phone. Go to your local Social Security office in person as soon as possible with a current, unexpired form of identification such as a passport, driver’s license, or state ID card. The SSA can also accept secondary documents like an employee ID, school ID, or health insurance card if a primary document isn’t available.6Social Security Administration. Identity Theft
When someone else uses your SSN for work, credit, or benefits, the mismatched trail they leave behind can make your number fail verification. Signs include an E-Verify mismatch at a new job, an IRS rejection saying a return has already been filed under your number, or unfamiliar accounts on your credit report.
If you suspect identity theft, work several fronts at once:
- File at IdentityTheft.gov. The FTC’s site generates a personalized recovery plan and pre-fills dispute letters.7Federal Trade Commission. IdentityTheft.gov
- Report SSN misuse to the SSA’s Office of the Inspector General at oig.ssa.gov/report.8Social Security Administration Office of the Inspector General. Report Fraud
- Place a fraud alert or credit freeze. An initial fraud alert is free, lasts one year, and only requires contacting one of the three major credit bureaus, which must then notify the other two. A credit freeze is also free and lasts until you lift it, but you must contact all three bureaus separately.9Federal Trade Commission. Credit Freezes and Fraud Alerts
- Block electronic access to your SSA record by calling 1-800-772-1213. Once active, no one, including you, can view or change your personal information through the SSA’s website or automated phone system until the block is lifted.10Social Security Administration. If fraudulent earnings have been posted to your record, the SSA can correct them even after normal time limits have passed, because corrections for fraud are explicitly permitted.11eCFR. Correction of the Record of Your Earnings After the Time Limit Ends In extreme cases the SSA may assign a new number, but the agency treats this as a last resort: your credit history, earnings record, and other data tied to the old number do not automatically transfer, and the SSA will only consider it if you’ve already tried to fix the damage and continue to be disadvantaged.12Social Security Administration. One Thing That Is Never the Cause
Social Security numbers are never suspended. If someone calls or emails claiming your number has been suspended because of suspicious activity and asks you to reactivate it, that is a scam. The FTC has confirmed that SSNs do not work this way; there is no suspension mechanism.13Federal Trade Commission. Your Social Security Number Isn’t Suspended. Ever. Hang up. Do not provide any personal information.
What Happens at Work: E-Verify Mismatches
When an employer uses E-Verify and your SSN doesn’t match SSA records, the system generates a Tentative Nonconfirmation. By law, your employer cannot fire you, suspend you, delay your training, or withhold pay while the mismatch is pending.14E-Verify. Tentative Nonconfirmations (Mismatches)
The deadlines matter. Your employer has 10 federal government working days to notify you and give you a Further Action Notice. You then have 10 federal government working days to decide whether to contest the mismatch.14E-Verify. Tentative Nonconfirmations (Mismatches) If you contest, you must visit an SSA field office within eight federal government working days to resolve it.15E-Verify. How Many Days Does My Employee Have to Take Action on Their Mismatch Miss that deadline or decline to contest, and the case becomes a Final Nonconfirmation, at which point the employer can terminate you without civil or criminal liability. You keep the right to work and be paid throughout the process.16E-Verify. Employee Rights and Responsibilities
Tax Returns Bouncing
The IRS cross-checks every electronically filed return against the SSA’s database. When the SSN and name don’t match, the return is rejected. For the primary taxpayer, that shows up as reject code R0000-500-01. For a dependent mismatch, the code is R0000-504.17Internal Revenue Service. Business Rule R0000-504 – Dependent SSN/Last Name Mismatch
First, verify the SSN and name spelling against your card. If you recently updated your name with the SSA, allow up to 10 days for the change to reach the IRS, then resubmit. If the return still bounces and the filing deadline is close, paper-file to avoid missing the deadline and contact the SSA to confirm your records are correct.
How to Confirm Your SSN Status With the SSA
The SSA is the only entity that can confirm whether your number is valid and pinpoint problems in your record. There are three ways to check:
- Online. Create a free “my Social Security” account at ssa.gov/myaccount to review your earnings record, check for discrepancies, request a replacement card, and access your Social Security Statement. If you’re locked out, Login.gov support is at 844-875-6446, and the SSA can help block, unblock, or deactivate your account by phone.18Social Security Administration. my Social Security19Social Security Administration.
