Where to Get a Tax File Number Declaration Form

You can get a Tax File Number declaration form (NAT 3092) directly from the Australian Taxation Office in one of two ways: order a paper copy through the ATO’s publication service at iorder.com.au, or complete the whole thing digitally through ATO online services via myGov.1Australian Taxation Office. Complete It Online Through myGov

If you have a myGov account linked to ATO online services, this is the fastest route and you can skip the paper form entirely. Sign in to myGov, open your linked ATO services, and select “Employment” from the menu. Choose “New employment” for a new job, or “Employment details” to update records with an existing employer. Work through the sections covering your personal details, residency status, withholding preferences, education loan obligations, offsets, and any Medicare levy variation. Once finalised, print the employee tax details summary and give the printout to your employer. Don’t email it. The ATO warns that email is not a secure channel for personal tax information.2Australian Taxation Office. Order or Download the Paper Form

To get a physical copy, go to iorder.com.au, search for the TFN declaration, and the ATO will mail one to you at no charge.4Australian Taxation Office. ATO Publication Ordering Service You can also request a copy through the ATO’s automated phone service. Before you order, ask your payroll contact whether the employer already keeps blank copies on hand; many do.

A downloadable PDF is also available on the ATO website if you’d rather print and complete it by hand.5Australian Taxation Office. Tax File Number Declaration The paper route works, but the myGov option avoids any risk of using an outdated version.

What to Have Ready Before You Start

Your Tax File Number is the key piece. It’s a unique number, usually nine digits, assigned to you by the ATO.6Australian Taxation Office. What Is a Tax File Number You’ll also need your full legal name (including any previous surnames), date of birth, and current home address.

Have your residency status for tax purposes clear in your head too. Australian residents get the tax-free threshold and pay the Medicare levy; foreign residents are taxed at higher rates from the first dollar and don’t pay the levy.7Australian Taxation Office. Tax Rates – Foreign Resident If you have a study or training support loan (HELP, VET Student Loan, Student Start-up Loan, or Australian Apprenticeship Support Loan), you’ll need to disclose it on the form so your employer can withhold enough to cover compulsory repayments.8Australian Taxation Office. One thing to watch on the paper form: Section A is yours, Section B is for your employer. Don’t write in Section B or it can cause processing delays.5Australian Taxation Office. Tax File Number Declaration And the form isn’t valid without your signature and date.

If You Don’t Have a TFN Yet

You can apply for a TFN for free through the ATO. Australian citizens aged 15 or over with a Strong Digital ID can apply online. Other residents, permanent migrants, temporary visa holders with work rights, and people living overseas with Australian-source income each have their own application pathway.9Australian Taxation Office. That triggers a 28-day grace period during which they can withhold at the normal rate while you wait for your number to arrive.3Australian Taxation Office. What Happens If You Never Provide One

If you don’t give your employer a valid TFN and haven’t claimed an exemption or told them you’ve applied, they’re required to withhold tax at the top marginal rate plus the Medicare levy. That’s close to 47 cents in every dollar you earn.3Australian Taxation Office. Tax File Number and Withholding Declarations The same rate kicks in if 28 days pass after you’ve told your employer you applied and you still haven’t produced the number. You can claim the excess back at tax time, but you’d rather not have your take-home pay cut in half for weeks in the meantime.

Where the Completed Form Goes

You give the completed form to your employer, not to the ATO. This trips people up regularly. The employer keeps your TFN declaration on file and lodges the details with the ATO on your behalf. The exception is when you complete the form through ATO online services: in that case the ATO already has the data and your employer doesn’t need to lodge it again.3Australian Taxation Office. Employers must keep TFN declaration records for five years. Keep your own copy too, whether that’s the paper duplicate or the summary printout from ATO online services. If your withholding ever looks off on a payslip, having the original details makes it far easier to sort out.

Updating Details Later Uses a Different Form

Once you’re set up with an employer, you don’t submit a new TFN declaration for changes. To update your withholding with the same employer, use the Withholding declaration (NAT 3093) instead. It’s the form to use when you need to change your tax-free threshold claim (say, because you picked up a second job), update your residency status, report a study or training loan taken on after you started, note that you’ve fully repaid a loan, or claim a tax offset such as the Seniors and Pensioners Tax Offset.10Australian Taxation Office. You must already have a valid TFN declaration on file with that employer before you can lodge a withholding declaration. If it’s a brand new job, the TFN declaration always comes first.10Australian Taxation Office. Withholding Declaration
