When Does Verification of Employment Expire: FHA, VA, Conventional

A Verification of Employment doesn’t expire on a single universal date. When a Verification of Employment expires depends on who requested it and what you’re applying for. For a conventional mortgage backed by Fannie Mae, written employment documents can be no more than four months old on the date you sign the note. FHA loans are stricter, requiring re-verification within 10 days before that same date. Landlords, auto lenders, and personal lenders set their own rules, and most treat a VOE older than 30 to 60 days as stale.

Conventional Mortgages: The Four-Month Rule

Fannie Mae treats a written VOE like any other credit document. It cannot be more than four months old on the note date, and if it crosses that threshold before closing, the lender has to pull a fresh one.1Fannie Mae Selling Guide. Allowable Age of Credit Documents and Federal Income Tax Returns The clock starts the day the employer completes the form, not the day you hand it to your lender. A VOE dated January 15 is good for loan purposes until roughly May 15.

The written document alone won’t get you to closing. Fannie Mae also requires a verbal verification of employment within 10 business days before the note date. If the lender can’t complete that verbal check before closing, it can finish afterward, but the loan is ineligible for sale to Fannie Mae until the verbal is done.2Fannie Mae Selling Guide. When a lender uses Fannie Mae’s Request for Verification of Employment (Form 1005), that completed form has to meet the same four-month rule.3Fannie Mae Selling Guide. Standards for Employment and Income Documentation

FHA Loans: 10 Days Before Closing

FHA loans follow HUD Handbook 4000.1, which spells the deadline out plainly. Re-verification of employment must be completed within 10 days before the note date, whether the loan was scored through FHA’s automated system or underwritten manually. That re-verification can be verbal or electronic, and if the lender uses electronic data, that data must be current within 30 days of the verification date.4U.S. Department of Housing and Urban Development. HUD Handbook 4000.1 – FHA Single Family Housing Policy Handbook

For initial documentation, FHA asks for your most recent pay stub plus a written VOE covering two years, or direct electronic verification covering the same period. In practice, your initial VOE can be a few months old at application, but the lender will need to re-verify right before closing. Planning around that 10-day re-verification window is where most FHA timing problems start.

HUD has addressed third-party vendors directly: when a lender uses one for electronic re-verification, the data still has to meet the 10-day and 30-day currency requirements.5U.S. Department of Housing and Urban Development. Mortgagee Letter 2019-01 – Third Party Verification Services

VA Loans: A 30-Day Documentation Window

VA-backed loans operate on a different framework. When a lender cannot use a third-party service to verify employment and income, the VA allows a combination of bank statements showing direct deposits plus pay stubs covering at least one full month of employment, as long as those documents fall within 30 days of closing. If even that documentation can’t be obtained, the loan may still qualify for a VA guarantee provided the borrower has at least two months of mortgage payments in cash reserves after closing.6Department of Veterans Affairs. Rentals, Auto Loans, and Personal Lenders

No federal rule dictates how fresh a VOE has to be outside the mortgage world. Policy varies entirely by the requesting party. Most landlords and personal lenders treat a VOE more than 30 to 60 days old as outdated. A property management company screening hundreds of applicants a month may insist on something dated within 30 days, while a smaller landlord might accept an older document if the rest of your application is strong.

Auto lenders and credit unions generally want verification no more than 30 to 45 days old, though their written policies rarely get published the way mortgage guidelines do. Ask the specific lender or landlord before you spend time ordering a verification that may already be too old by the time it arrives.

Self-Employed Borrowers Get a Longer Window

If you’re self-employed, the clock shifts. Fannie Mae requires the verbal verification of self-employment income within 120 calendar days of the note date, rather than the 10-business-day window that applies to traditional employment.2Fannie Mae Selling Guide. Verbal Verification of Employment That extra room comes with a tradeoff. Self-employed borrowers typically have to supply at least two years of tax returns, profit-and-loss statements, and sometimes 1099 forms to establish stable income before the lender will approve the loan at all.

What Can Void a VOE Before It Expires

A VOE that is still inside its validity window can become worthless overnight if your employment situation changes. Starting a new job, getting laid off, switching from salary to commission, or moving from W-2 employment to independent contracting all effectively void the verification you already have. The lender’s final verbal check will catch the discrepancy, and you’ll need entirely new documentation reflecting your current status.

Fannie Mae also flags employment gaps during the most recent 12 months. If you’ve had multiple employers, you generally cannot have any gap longer than one month during that period. Longer gaps require careful analysis, and the lender has to document why your current job is likely to continue.7Fannie Mae Selling Guide. Standards for Employment-Related Income A mid-process job change doesn’t automatically kill your loan, but it will slow things down and may require an offer letter, new pay stubs, and a fresh VOE from the new employer.

The Tax Transcript Clock Runs Alongside

Your VOE isn’t the only document with a shelf life. Lenders typically pull IRS tax transcripts to cross-check your reported income, and that request has its own deadline. IRS Form 4506-C, which authorizes the IRS to release your transcript to the lender, must reach the IRS within 120 days of your signature date.8Internal Revenue Service. Form 4506-C – IVES Request for Transcript of Tax Return If your loan drags past that window, you’ll need to sign a new 4506-C alongside getting a new VOE. Two expirations on two different clocks catch borrowers off guard more often than you would expect.

How to Keep Your VOE From Derailing the Loan

Start by confirming which clock applies. For a conventional Fannie Mae mortgage, your written VOE is good for four months from the date your employer completed it.1Fannie Mae Selling Guide. Allowable Age of Credit Documents and Federal Income Tax Returns For an FHA loan, the initial written VOE has some runway, but the 10-day re-verification before closing is the real constraint.4U.S. Department of Housing and Urban Development. HUD Handbook 4000.1 – FHA Single Family Housing Policy Handbook

If your VOE is approaching its limit, check with your lender first to confirm exactly what they need, then contact your employer’s HR or payroll office. Many large employers use automated third-party services that can turn around a verification in a day or two. Smaller companies may take a week or longer. Build that lead time into your planning. Waiting for the lender to flag the expiration means you’re already behind, and each day of delay risks pushing other documents past their own deadlines.
