When Does FedEx Send Out W-2s and How to Get Yours

Delivery time depends on the postal service in your area, so a mid-February arrival is normal. If nothing has shown up by then, it’s time to act.

Getting Your W-2 Faster Online

Opting into electronic delivery is the fastest way to see your W-2. FedEx has historically used third-party payroll platforms to host W-2s online, and digital copies often go live by mid-January, ahead of the paper mailing. Once your electronic W-2 is posted, you can download the PDF and import it directly into most tax preparation software. It also removes the risk of a form getting lost in the mail or sent to an old address. If you haven’t already enrolled, check with FedEx human resources or payroll for the current portal, since the specific platform can change from year to year.

What You’ll Need to Log In or Call Payroll

Whether you’re signing into the portal or calling payroll support, have this ready:

  • Your full nine-digit Social Security number
  • Your FedEx employee ID
  • A company code, if the portal requires one (HR or an old pay stub can supply it)
  • Your current mailing address, which affects the state and local tax information on the form even if you receive it electronically

If Your W-2 Never Arrives

Start with FedEx. Many employee portals let you request a reissue, which either generates a duplicate PDF or triggers a new paper mailing. If you request the replacement by phone, ask for a confirmation number. Replacements typically take one to two weeks.

If you’ve contacted FedEx and still don’t have your W-2 by the end of February, the IRS recommends calling them at 800-829-1040.4Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong Have this ready when you call:

  • Your name, address, and phone number
  • Your Social Security number
  • The dates you worked for FedEx
  • FedEx’s name, address, and phone number

The IRS will contact FedEx on your behalf and mail you a copy of Form 4852 to use as a substitute if the W-2 still doesn’t arrive in time.

Filing on Time Without a W-2

A missing W-2 doesn’t excuse you from filing by the April deadline. If yours never arrives, you can file using IRS Form 4852, Substitute for Form W-2, which asks you to estimate your wages and the taxes withheld during the year.5Internal Revenue Service. Pull out your final pay stub from the year in question. It should show year-to-date totals for gross wages, federal and state income tax withheld, Social Security and Medicare taxes, and any pre-tax deductions. Form 4852 also asks what steps you took to get the actual W-2 and how you arrived at your estimates. Attach it to your Form 1040 when you file.

If the real W-2 eventually arrives and the numbers differ from your estimates, file Form 1040-X to amend your return.5Internal Revenue Service. Fixing Errors on a W-2 You Did Receive

If your W-2 arrives with a wrong Social Security number, an incorrect wage figure, or a bad address, contact FedEx payroll right away. Employers must issue a corrected form, called a W-2c, as soon as possible after discovering an error.6Internal Revenue Service. General Instructions for Forms W-2 and W-3 (2026) The law doesn’t set a specific number of days, but “as soon as possible” means you shouldn’t have to wait months.

If FedEx hasn’t issued the corrected form by the end of February, you can call the IRS at 800-829-1040 to file a complaint. The IRS will send FedEx a letter requesting the corrected form within ten days.7Internal Revenue Service.
