What Type of Envelope Should You Use to Mail Your Tax Return?

For a simple federal return of just a few pages, a standard #10 business envelope (4⅛ by 9½ inches) is the right type of envelope to mail your tax return in. Once your return includes schedules, statements, or other attachments, switch to a flat envelope, usually 9 by 12 or 10 by 13 inches, so the pages travel unfolded. The IRS doesn’t require any specific envelope, but size, opacity, sealing, and proof of mailing all affect whether your return is processed cleanly and treated as filed on time.1Internal Revenue Service. When to File

Pick the Size That Fits Your Return

A #10 business envelope holds a Form 1040 and a W-2 or two folded into thirds. That’s fine for a bare-bones return. If you’re sending several schedules, supporting documents, or a payment voucher, use a flat envelope so nothing has to be folded. Creased pages can slow processing at IRS service centers. USPS classifies a flat as any envelope up to 12 by 15 inches and no thicker than ¾ inch, so standard 9×12 and 10×13 sizes sit comfortably in that range.2Postal Explorer. Envelope Qualities That Matter

Beyond size, the envelope itself needs to do three things: hide what’s inside, survive the mail stream, and stay sealed.

  • Use an opaque envelope. A security tint on the interior helps conceal your Social Security number, bank details, and other sensitive information from view.
  • Pick heavy paper. Thin envelopes tear on mechanical sorters, and a torn envelope can lose pages.
  • Seal with the adhesive strip or moisten the flap. Skip staples. They snag on postal equipment and can damage your return or nearby mail.

White or manila envelopes scan best. Translucent, glossy, or neon colors can confuse automated sorting.

Assemble the Return Before You Seal It

Stack your pages in the order the IRS expects.3Internal Revenue Service. Form 1040 General Instructions – Assemble Your Return Attach W-2s (and any W-2c corrections) to the front of Form 1040. Attach Forms W-2G and 1099-R to the front as well if tax was withheld. Behind Form 1040, arrange schedules and additional forms by the Attachment Sequence Number printed in the upper-right corner of each. Put supporting statements last, in the same order as the schedules they back up.

Do not staple or paper-clip a check or Form 1040-V to the return. The IRS specifically warns against fastening payments to the return.4Internal Revenue Service. Pay by Check or Money Order

Addressing the Envelope

Where to send your return depends on your state and whether you’re enclosing a payment. The IRS uses different addresses for returns with a payment and returns without one, so look yours up on the IRS website before you seal the envelope.5Internal Revenue Service. Where to File Paper Tax Returns With or Without a Payment

Put your return address in the upper-left corner so undeliverable mail comes back to you. Use the full nine-digit ZIP+4 when the IRS gives one; those extra digits speed routing to the right internal unit.6Internal Revenue Service. 1.22.3 Addressing and Packaging Writing the form number, such as “Form 1040,” in the lower-left corner of the envelope helps IRS staff sort it to the correct processing unit.5Internal Revenue Service. Where to File Paper Tax Returns With or Without a Payment

If you’re enclosing a check or money order, make it payable to “U.S. Treasury,” not “IRS,” and never send cash.4Internal Revenue Service. Pay by Check or Money Order On the check, write your name, address, daytime phone number, Social Security number or ITIN, the tax year, and the form number. Include Form 1040-V loose inside the envelope with the check and return.

Postage by Envelope Size

A single Forever stamp ($0.78) covers the first ounce of a standard letter-sized envelope, with each additional ounce at $0.29, up to 3.5 ounces.7USPS. Types of First-Class Mail A very light return may squeak under an ounce, but schedules, statements, and a voucher add up fast.

A large flat envelope (9 by 12 inches or bigger) costs $1.63 for the first ounce, plus $0.27 for each of the next four ounces.7USPS. Types of First-Class Mail Weigh the sealed envelope at the post office or on a scale before mailing. An underpaid envelope comes back to you, and it may come back after the deadline.

Prove You Mailed On Time

Under federal law, a tax return is considered filed on the date of the postmark on the envelope, not the date the IRS receives it.8Office of the Law Revision Counsel. 26 USC 7502 – Timely Mailing Treated as Timely Filing and Paying For most individual filers, that deadline is April 15, 2026.1Internal Revenue Service. When to File To get the benefit of that rule, the envelope has to be properly addressed to the correct IRS office, carry enough postage, and be deposited in the mail by the due date.9eCFR. 26 CFR 301.7502-1 – Timely Mailing of Documents and Payments Treated as Timely Filing and Paying Mail it to the wrong address and you can lose that protection.

The cleanest way to lock in your filing date is USPS Certified Mail with a return receipt. Certified Mail runs $5.30 on top of regular postage, and the return receipt (PS Form 3811) adds $4.40.10USPS. If the IRS later says the return was late or missing, that slip is your proof.

If you file from outside the United States, a foreign postal service postmark dated on or before the deadline still counts as timely.11Internal Revenue Service. U.S. Citizens and Resident Aliens Abroad – Where and When to File and Pay

If You Use a Private Carrier Instead

The IRS also accepts certain FedEx, UPS, and DHL Express service levels for the timely-mailing rule, but only specific levels qualify; standard ground shipping does not.12Internal Revenue Service. Private Delivery Services (PDS) Two envelope-related rules change when you go this route. Private carriers cannot deliver to a P.O. Box, so you must use the IRS street address for the designated submission processing center that handles your state.13Internal Revenue Service. Submission Processing Center Street Addresses for Private Delivery Service (PDS) And private deliveries go to the same street address whether or not a payment is enclosed.

One caution about payments: when you’re mailing a check with Form 1040-V, the IRS recommends regular USPS mail rather than a private delivery service, because private carriers can delay payment processing.4Internal Revenue Service. Pay by Check or Money Order Ask the carrier for written proof of the ship date; it functions the same way a USPS postmark does for deadline purposes.

The failure-to-file penalty is 5% of unpaid tax for each month or partial month the return is late, capped at 25%. Returns more than 60 days late carry a minimum penalty of the lesser of $525 or 100% of the tax owed (for returns due in 2026).14Internal Revenue Service.
