If your W-2 is missing, start by asking your employer for a replacement, then call the IRS at 800-829-1040 after February if it still hasn’t arrived, and if April 15 is closing in without a form in hand, file on time using Form 4852 as a substitute based on your final pay stub.1Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong Employers are required to send W-2s by January 31, but that deadline doesn’t guarantee the form reaches you on time, and a delay doesn’t excuse a late return.2Internal Revenue Service. Ask Your Employer First
Most missing W-2s trace back to something ordinary: a stale mailing address, a form returned as undeliverable, or a digital copy sitting in an employee portal you haven’t logged into. Contact payroll or HR, confirm the address on file, and ask whether an electronic copy is available. If you left the job before year-end, the employer has 30 days after your termination to provide the form.3Office of the Law Revision Counsel. 26 USC 6051 – Receipts for Employees
If the W-2 arrives but has an incorrect Social Security number, misspelled name, or wrong wage figures, ask the employer to issue a corrected form. Employers use Form W-2c to fix errors on previously issued W-2s, and the Social Security Administration instructs them to correct mistakes as soon as they’re discovered.4Social Security Administration. Call the IRS After February
If you still don’t have your W-2, or a corrected version, by the end of February, call the IRS at 800-829-1040. The agency will send your employer a letter asking for the form within ten days and will send you Form 4852 with instructions for filing without it.5Internal Revenue Service. W-2 – Additional, Incorrect, Lost, Non-Receipt, Omitted
Before you call, gather:
- Your name, address, phone number, and Social Security number
- Your employer’s name, full address with ZIP code, and phone number
- The dates you worked for that employer during the tax year
- An estimate of your wages and federal tax withheld, ideally from your last pay stub
This step matters even if you end up filing without the W-2. It creates a record that you tried to get the form through proper channels, which is one of the questions Form 4852 asks you to answer.
File On Time Using Form 4852
Form 4852 is the official substitute for a missing or incorrect W-2. It lets you report your wages and withholding based on the best records you have. Your final pay stub of the year is usually enough, because it typically shows year-to-date totals for gross wages, federal income tax withheld, Social Security tax, and Medicare tax.6Internal Revenue Service. Form 4852 – Substitute for Form W-2, Wage and Tax Statement, or Form 1099-R If your stub doesn’t break those out, you can calculate them from gross wages.
The form asks how you arrived at the amounts you’re reporting and what steps you took to obtain the original W-2. A short, factual explanation is all that’s needed: “estimated from final pay stub dated December 31” and a note that you contacted the employer and called the IRS.
If you’re filing a paper return, attach Form 4852 to the back of the return, in front of other supporting forms and schedules.6Internal Revenue Service. Form 4852 – Substitute for Form W-2, Wage and Tax Statement, or Form 1099-R Returns filed with Form 4852 take longer to process because the IRS verifies your figures against employer records manually. If you’re expecting a refund, expect it later than usual.
Request an Extension If You Need More Time
If April 15 is approaching and you’re not comfortable estimating, Form 4868 gives you an automatic six-month extension to file, no explanation required.7Internal Revenue Service. Application for Automatic Extension of Time to File U.S. Individual Income Tax Return You can submit it through tax software, mail a paper copy, or make an electronic payment through IRS Direct Pay, which triggers an extension automatically.
The extension buys you time to file, not time to pay. If you owe tax and don’t pay by April 15, interest and penalties start running even with an approved extension.7Internal Revenue Service. Application for Automatic Extension of Time to File U.S. Individual Income Tax Return Estimate what you owe using your pay stubs and send that amount with the extension request.
Pull a Wage and Income Transcript If You Have No Pay Stubs
If you don’t have pay stubs to work from, the IRS keeps records of every W-2 and 1099 filed under your Social Security number. You can pull them through the “Get Transcript” tool on irs.gov, usually with immediate access online, or by paper request on Form 4506-T, which takes five to ten business days.8Internal Revenue Service. Get Your Tax Records and Transcripts
One boundary to know: wage and income transcripts show federal data only. State and local withholding typically isn’t included. For state information, contact your state revenue department directly.
Amend If the Real W-2 Arrives Later
If the actual W-2 shows up after you filed with Form 4852, compare it to what you reported. Any difference means filing an amended return on Form 1040-X. The IRS specifically lists receiving another W-2 after filing as a reason to amend.9Internal Revenue Service. Instructions for Form 1040-X
You can now file Form 1040-X electronically through tax software for the current year and the two prior tax periods, which is faster than the old paper-only process.10Internal Revenue Service. About Form 1040-X, Amended U.S. Individual Income Tax Return If you underreported, you’ll owe the difference. If you overreported, you’ll get an additional refund.
Keep Your Form 4852 to Protect Social Security Credits
Your W-2 doesn’t only feed your tax return. It also determines the Social Security credits you earn toward future retirement, disability, and survivor benefits. When you file with Form 4852, keep a copy until you start receiving Social Security benefits.6Internal Revenue Service. Form 4852 – Substitute for Form W-2, Wage and Tax Statement, or Form 1099-R
After September 30 of the year following the tax year in question, check your Social Security statement at ssa.gov/myaccount to see whether the wages your employer reported match what you filed.6Internal Revenue Service. Form 4852 – Substitute for Form W-2, Wage and Tax Statement, or Form 1099-R If the numbers don’t match, your Form 4852 copy is what proves what you actually earned. Missing credits caught early are far easier to fix than gaps discovered at retirement.
When a Missing W-2 Could Mean Identity Theft
A W-2 that never arrives can sometimes signal something worse than a slow payroll office. If someone intercepted your form to file a fraudulent return in your name, you may find out only when you try to e-file and the IRS rejects your return because one is already on file under your Social Security number.
If you suspect tax-related identity theft, file your return on paper and attach Form 14039, the Identity Theft Affidavit, mailed to the IRS address for your state.11Internal Revenue Service. How IRS ID Theft Victim Assistance Works If instead you receive a letter from the IRS Taxpayer Protection Program (Letter 5071C, 4883C, or 5747C) about a suspicious return, follow the instructions in that letter rather than filing Form 14039. You can also request an Identity Protection PIN, which adds a verification layer to future returns, and check whether your state tax agency requires a separate identity theft report.
