What Is Box 14 on a W-2? 2026 Codes and Tax Impact

Box 14 on your W-2 is a catch-all field where your employer reports payroll items that don’t have a dedicated spot elsewhere on the form. Starting with 2026 W-2s, the IRS split it into two parts: Box 14a, which works like the old single Box 14 and holds miscellaneous items such as state disability contributions, union dues, and health insurance premiums, and Box 14b, a new field reserved for a Treasury Tipped Occupation Code that appears only if you received reported cash tips.1Internal Revenue Service. 2026 General Instructions for Forms W-2 and W-3

Why Box 14 Exists

Your W-2 has numbered boxes for federal wages, Social Security wages, Medicare wages, and each category of withholding. Plenty of payroll items don’t fit any of those: state-mandated insurance contributions, employer-sponsored benefit deductions, and other compensation details that your employer still wants on the record. Box 14a is where that overflow goes so you can see it at tax time.1Internal Revenue Service. 2026 General Instructions for Forms W-2 and W-3

Each employer decides what to include and how to label it. The IRS requires a label on every item but doesn’t publish a standard list of abbreviations, so the same deduction can appear under different shorthand depending on the payroll system. If a code isn’t obvious, your payroll or HR department can tell you what it represents.

What Changed for 2026: Box 14a and Box 14b

The IRS split the old Box 14 into two fields on 2026 forms. Everything that used to appear in Box 14 now appears in Box 14a. Box 14b is entirely new and exists solely to hold a Treasury Tipped Occupation Code. Your employer fills it in only if you received cash tips reported in Box 12 with code TP; the code identifies the type of tipped occupation you worked in. If your job doesn’t involve reported tips, Box 14b will be blank.1Internal Revenue Service. 2026 General Instructions for Forms W-2 and W-3

Common Entries You’ll See in Box 14a

Labels vary, but the IRS instructions list several categories of items that commonly land here.

State Disability Insurance and Paid Family Leave

If your state requires disability insurance or paid family leave contributions, those withholdings usually appear under abbreviations like SDI, DI, PFL, or FLI. Rates vary by jurisdiction, running roughly from 0.19% to over 1% of covered wages.1Internal Revenue Service. 2026 General Instructions for Forms W-2 and W-3

Union Dues and Health Insurance Premiums

Dues taken for union membership and premiums for employer-sponsored health coverage often show up in Box 14a. These entries help explain the gap between your gross pay and what actually landed in your bank account. Union dues deducted after tax used to be an itemized deduction, but that deduction has been permanently eliminated, so the amount is informational only and doesn’t reduce your federal tax.

Educational Assistance

Your employer can provide up to $5,250 per year in tax-free educational assistance under a qualified program, and the excluded amount doesn’t appear in your Box 1 wages.2Office of the Law Revision Counsel. 26 U.S. Code 127 – Educational Assistance Programs Any assistance above $5,250 is included in Box 1 as taxable wages, and the total or taxable portion may be noted in Box 14a so you can see how your wages were calculated. The $5,250 threshold will be adjusted for inflation beginning with tax years after 2026.3Internal Revenue Service. Employers May Help With College Expenses Through Educational Assistance Programs

Personal Use of an Employer-Provided Vehicle

If your employer included the full annual lease value of a company vehicle in your income, the value attributable to personal use may be broken out in Box 14a. That amount is already sitting in your Box 1 wages; Box 14a is just showing you how the figure was built, not adding new tax.

Uniforms, Charitable Payroll Deductions, and Other Items

Employers may also list uniform allowances, charitable contributions routed through payroll, and other miscellaneous entries. Each should be labeled, but the label format is up to the employer.

Clergy Housing Allowance

Ministers often see a housing or parsonage allowance in Box 14a. The excludable portion can be left out of gross income for federal income tax purposes but remains subject to self-employment tax, and any amount above the excludable figure must be reported as income on Form 1040.4Internal Revenue Service. How Box 14 Entries Affect Your Taxes

Not every Box 14a item changes what you owe. The effect depends on whether the item was already deducted before taxes and whether federal law allows a deduction or exclusion.

Items That Are Already Baked In

Pre-tax deductions such as contributions to certain retirement plans or employer health insurance premiums already reduced the wages in Box 1. When they appear in Box 14a, they’re informational. You don’t claim them again.

State Taxes That May Be Deductible

Mandatory state contributions for disability insurance, unemployment funds, and paid family leave programs may qualify as deductible state taxes on Schedule A if you itemize. The Schedule A instructions specifically list contributions to certain state nonoccupational benefit funds and state family leave programs as deductible state income taxes on line 5a.5Internal Revenue Service. Instructions for Schedule A (Form 1040)

For 2026, the overall state and local tax deduction (the SALT cap) is $40,400. That cap phases down once modified adjusted gross income exceeds $505,000 ($250,000 if married filing separately), and taxpayers whose income fully phases out the increase are limited to $10,000. Any state taxes you pull from Box 14a onto Schedule A count against this limit.

AMT Add-Back

If you deduct state and local taxes on Schedule A, that deduction is added back when computing the alternative minimum tax. Form 6251, line 2a requires the add-back.6Internal Revenue Service. Instructions for Form 6251 The deduction that lowered your regular tax can raise your AMT liability, and higher-income filers are the most likely to feel it.

Informational-Only Items

Some entries don’t create any deduction or additional tax. Union dues are the clearest example: they appear so you understand your paycheck, but they don’t reduce your federal tax. Charitable contributions run through payroll still belong on Schedule A, but you report them from your own records, not from the Box 14a entry.

Entering Box 14 Items When You File

Most tax software gives you a screen to type the label and dollar amount from Box 14a and then pick a category from a dropdown. The category tells the software where the number should go. A state disability entry gets routed to Schedule A as a deductible state tax; a health premium entry gets flagged as informational.

Picking the wrong category can either cost you a deduction or claim one you’re not entitled to. If you don’t recognize the abbreviation, ask your employer’s payroll department what the entry represents before matching it to a software category. Publication 17 gives a general overview of how income and deductions are organized if you want more context.7Internal Revenue Service. Publication 17, Your Federal Income Tax

On a paper return, deductible state taxes from Box 14a go on Schedule A, line 5a. Pre-tax benefits already excluded from Box 1 generally don’t need to be entered anywhere.

Fixing a Wrong Entry in Box 14

If Box 14a or Box 14b is wrong, start with your employer and ask for a corrected W-2 on Form W-2c. Employers are required to file corrections as soon as they discover an error.1Internal Revenue Service. 2026 General Instructions for Forms W-2 and W-3

If a corrected form hasn’t arrived by the end of February, call the IRS at 800-829-1040 or visit a Taxpayer Assistance Center. The IRS will send your employer a letter requesting a corrected W-2 and send you Form 4852, a substitute W-2 you can use to file while you wait.8Internal Revenue Service. W-2 – Additional, Incorrect, Lost, Non-Receipt, Omitted Have your employer’s full name, address, and ZIP code ready, along with your own name, address, and Social Security number. An error that overstates a state tax figure in Box 14a can flow through to Schedule A and inflate your deduction, so it’s worth getting the correction rather than estimating.
