What Is an IRS ERO PIN and How Does It Work?

An IRS ERO PIN is the 11-character electronic signature a tax preparer enters when transmitting your e-filed return. The first six digits are the preparer firm’s Electronic Filing Identification Number (EFIN), and the preparer chooses the remaining five digits — anything except all zeros. If the PIN is missing or invalid, the IRS automatically rejects the return.1Internal Revenue Service. Self-Select PIN Method for Forms 1040 and 4868 Modernized e-File (MeF)

Who the ERO Is

An Electronic Return Originator is a tax professional or firm the IRS has authorized to prepare and transmit e-filed returns. The ERO is typically the person you sit across from, or interact with online, when you have your taxes done — the first point of contact between the taxpayer and the e-file system.2Internal Revenue Service. The ERO is not just a data-entry operator. By originating the electronic submission, the ERO vouches for having reviewed the return and confirmed it reflects the taxpayer’s records and complies with current tax law. EROs can authorize employees within their firm to sign returns on their behalf, but the ERO remains personally responsible for every return the firm originates.3Internal Revenue Service. How the 11 Characters Are Built

The name is misleading. The ERO PIN is not a standalone five-digit code the IRS hands out. It is an 11-character string with two parts:

  • Positions 1–6: the firm’s EFIN. These must match the EFIN in the return’s Submission ID.
  • Positions 7–11: any five digits the ERO selects, except all zeros.

The IRS encourages each ERO to use the same 11-digit combination on every return throughout a filing season for consistency.1Internal Revenue Service. When the ERO enters this 11-character PIN into the e-file software, it functions as the preparer’s electronic signature on the return.1Internal Revenue Service. Self-Select PIN Method for Forms 1040 and 4868 Modernized e-File (MeF)

The ERO PIN Is Not the Taxpayer’s PIN

Both signatures are required on an e-filed return, and they are different things. The ERO PIN signs the preparer side. The taxpayer side is a separate five-digit PIN, placed on the return through one of two methods.1Internal Revenue Service. Self-Select PIN Method for Forms 1040 and 4868 Modernized e-File (MeF)

Practitioner PIN Method

You sign IRS Form 8879, the e-file Signature Authorization, which lets the ERO enter or generate a five-digit PIN on your behalf. The ERO may enter that PIN into the software before you sign Form 8879, but your signature on the form must happen before the return is transmitted. The ERO keeps the signed form for three years from the return’s due date or the date the IRS received it, whichever is later, and does not send it to the IRS unless specifically requested.3Internal Revenue Service. Self-Select PIN Method

You choose your own five-digit PIN (anything except all zeros) and enter it directly into the e-file software. Because you are personally selecting and entering it, Form 8879 is generally not required. If the ERO generates the PIN for you instead, Form 8879 is still required even under this method. Your identity is verified using either your prior-year adjusted gross income or your prior-year Self-Select PIN. Primary taxpayers under age 16 at the end of the tax year who have never filed are ineligible, as are spouses under 16 who did not file in the prior year.1Internal Revenue Service. When You Sign Form 8879 Remotely

If you e-sign Form 8879 rather than signing on paper, the ERO must use software that performs identity verification, typically Knowledge-Based Authentication questions pulled from your credit report — questions about things like your mortgage lender, a car you financed, or a former address. Fail the questions three times and the ERO must obtain your handwritten signature instead. Verification is required every time you e-sign Form 8879 remotely, with one exception: if you sign in the ERO’s physical presence and have a multi-year business relationship with that ERO, the step can be skipped.5Internal Revenue Service. What Happens If the ERO PIN Is Wrong or Missing

A return transmitted without a valid ERO PIN is rejected with an error code. The ERO has to correct the PIN and retransmit.1Internal Revenue Service. Self-Select PIN Method for Forms 1040 and 4868 Modernized e-File (MeF) The six-digit EFIN portion is the usual failure point, because it has to match the EFIN embedded in the return’s Submission ID.

Rules on Protecting the PIN

The ERO must protect the PIN and never share it with unauthorized individuals. The EFIN and associated credentials cannot be rented, leased, sold, or transferred to another entity. Misuse is among the fastest routes to losing e-file privileges: the IRS reviews each firm, Principal, and Responsible Official on an ongoing basis, and grounds for suspension or revocation include unethical preparation practices and misrepresentation on the e-file application, among others.6Internal Revenue Service. Where the EFIN Portion Comes From

The EFIN that anchors the ERO PIN is assigned when the IRS approves a firm’s e-file application. Approval runs through the IRS e-services portal and can take up to 45 days. The firm creates an e-services account, completes the e-file application, and passes a suitability check; licensed attorneys, CPAs, and enrolled agents enter their current professional status, while anyone not certified or licensed must be fingerprinted through the IRS’s authorized vendor using Livescan electronic fingerprinting.4Internal Revenue Service.
