The IRS Master File is the agency’s central database that stores the complete history of every taxpayer’s returns, payments, refunds, penalties, and account adjustments. You can’t look at the raw file itself, but you can request transcripts drawn from it, and the IRS runs automated checks against it that can trigger notices, hold refunds, or flag your return for a closer look.
What the Master File Actually Contains
Your record has two sides. The identity side holds your name, address, Social Security Number or other taxpayer identification number, date of birth, filing status, and spouse information if applicable. The IRS uses four types of taxpayer identification numbers for individual accounts: Social Security Numbers, Individual Taxpayer Identification Numbers, Adoption Taxpayer Identification Numbers, and Internal Revenue Service Numbers.1Internal Revenue Service. IRS IRM 3.13.5 Individual Master File (IMF) Account Numbers – Section: 3.13.5.20
The financial side preserves the line items from your original returns, including adjusted gross income, taxable income, credits claimed, and payment amounts. It also tracks ongoing activity: accrued interest on unpaid balances, penalties for late payment or late filing, and any adjustments the IRS has made after processing. Every action on your account is logged with a numeric Transaction Code, creating a timeline that can stretch back years.
Which File Holds Your Data
The IRS splits records across four systems depending on the type of tax activity.
- The Individual Master File (IMF) holds accounts for anyone filing a Form 1040 series return.2Internal Revenue Service. IRS IRM 3.13.5 Individual Master File (IMF) Account Numbers
- The Business Master File (BMF) tracks corporations, partnerships, nonprofits, and entities reporting employment taxes or business income.
- The Employee Plans Master File covers pension funds, 401(k) plans, and other employer-sponsored benefit programs.
- The Individual Retirement Account File (IRAF) monitors traditional IRAs, Roth IRAs, SEP-IRAs, and SIMPLE IRAs. It tracks contributions and distributions and assesses a 6% excise tax each year on excess contributions that remain uncorrected. For 2026, total contributions to traditional and Roth IRAs combined cannot exceed $7,500, or $8,600 if you are age 50 or older.3Internal Revenue Service. How to See What the IRS Has on You
You cannot access the Master File directly. What you can pull are transcripts, and there are five types, each showing a different slice.
- A Tax Return Transcript shows most line items from your original Form 1040 as filed, including forms and schedules, but does not reflect changes made after filing. Available for the current year and three prior years. This is the version mortgage lenders most commonly accept.5Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them
- A Tax Account Transcript shows filing status, taxable income, payment types, and any changes made after filing. Available for the current year and nine prior years online, or three prior years by mail or phone.5Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them
- A Record of Account Transcript combines the two above into one document. Current year and three prior years.5Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them
- A Wage and Income Transcript shows data from information returns the IRS received about you: W-2s, 1099s, 1098s, 5498s. Available for the current year and nine prior years, but limited to roughly 85 income documents per year. If you have more than that, submit Form 4506-T.5Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them
- A Verification of Non-Filing Letter confirms the IRS has no record of a processed return for a given year. Available after June 15 for the current year, or anytime for the three prior years.5Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them
A transcript is not a photocopy of your return. If you need the actual return with all attachments, submit Form 4506, Request for Copy of Tax Return, which carries a separate fee and a longer turnaround.6Internal Revenue Service. Get Your Tax Records and Transcripts
The Fastest Way: Individual Online Account
Logging into your IRS Individual Online Account lets you view, print, or download all five transcript types immediately.7Internal Revenue Service. By Mail or Phone
You can request a tax return transcript or tax account transcript by calling the automated phone line at 800-908-9946 or using Get Transcript by Mail on IRS.gov. Delivery takes 5 to 10 calendar days.9Internal Revenue Service. Online Account and Tax Transcripts Can Help Taxpayers File a Complete and Accurate Tax Return These two channels only handle those two transcript types. For record of account transcripts, wage and income transcripts, or verification of non-filing letters, use the online account or Form 4506-T.
Form 4506-T for Older Records
Form 4506-T is the most flexible option because it covers every transcript type, including records for years too far back for the online system.10Internal Revenue Service. About Form 4506-T, Request for Transcript of Tax Return The form requires your name as shown on the return, your SSN or EIN, the tax form number (1040, 1065, 1120, and so on), and the end date of the tax year you need.11Internal Revenue Service. Form 4506-T – Request for Transcript of Tax Return The address on the form must match what the IRS has on file. Most requests take about 10 business days before the transcript is mailed.9Internal Revenue Service. Online Account and Tax Transcripts Can Help Taxpayers File a Complete and Accurate Tax Return
How far back can you go? Tax account transcripts reach the current year and nine prior years online. Tax return and record of account transcripts are capped at the current year and three prior years no matter how you request them.5Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them Beyond those windows, Form 4506-T is your only route, and even then the IRS classifies individual tax returns as temporary records eligible for destruction six years after the end of the processing year, so very old transcripts may no longer exist.12Internal Revenue Service. IRS IRM 1.15.2 Types of Records and Their Life Cycles Records tied to an open balance or active collection case are retained longer.
Reading the Transaction Codes on Your Transcript
When you open a transcript, you’ll see rows of three-digit Transaction Codes. Each represents a specific event. A few show up over and over.
- Code 150 (Tax Return Filed) means the IRS has processed your return and assessed your initial tax liability. The dollar amount reflects what you owe or overpaid based on the return as filed.13Internal Revenue Service. Section 8A – Master File Codes
- Code 846 (Refund Issued) means your refund has been approved and sent. The amount shown includes any interest owed to you.13Internal Revenue Service. Section 8A – Master File Codes
- Code 570 (Additional Liability Pending/Credit Hold) is a freeze that prevents money from leaving your account until the IRS resolves an open issue.13Internal Revenue Service. Section 8A – Master File Codes
- Code 420 (Examination Indicator) means your return has been referred to the Examination or Appeals division for review.13Internal Revenue Service. Section 8A – Master File Codes
- Code 971 (Miscellaneous Transaction) is a catch-all whose meaning depends on the accompanying Action Code. It can signal a routine notice or an identity theft marker.13Internal Revenue Service. Section 8A – Master File Codes
A Code 570 hold often clears on its own within a few weeks once a related adjustment finishes processing. A Code 971 following a 570 frequently means the IRS is sending you a notice explaining what happened.
How the IRS Uses Master File Data Against Your Return
The Master File isn’t just storage. Automated programs run against it to catch discrepancies, find non-filers, and manage refunds.
The Automated Underreporter function compares the income, credits, and deductions on your return against information returns submitted by employers, banks, and other payers. When the system flags a mismatch, a tax examiner takes a closer look. If the discrepancy holds up, you receive a CP2000 notice proposing changes.14Internal Revenue Service. Topic No. 652, Notice of Underreported Income – CP2000 A CP2000 is not an audit. It’s a proposed adjustment, and you can respond with documentation showing the original return was correct.
The same data is used to spot people who should have filed but didn’t. If the IRS has W-2s or 1099s under your name with no matching return, you may receive a non-filer compliance alert. Ignoring the alerts can lead the IRS to file a substitute return based on the income data it holds, which usually produces a higher tax bill because it won’t include deductions or credits you would have claimed.15Internal Revenue Service. What to Expect After Receiving a Non-Filer Compliance Alert Notice and What to Do to Resolve
When your return shows an overpayment, the system processes the refund or applies it against any outstanding balance. There is a hard limit on unfiled refund claims: the IRS will not issue a refund unless you file within three years of the original due date.15Internal Revenue Service. When Lenders and Courts See Your Records
With your written consent, authorized third parties can request transcript information. Lenders typically use the Income Verification Express Service (IVES), which lets participants pull transcripts electronically after you sign Form 4506-C.16Internal Revenue Service. Income Verification Express Service (IVES) Form 4506-C covers return transcripts, account transcripts, record of account transcripts, and wage and income transcripts. Anyone receiving your data this way is bound by federal confidentiality rules, and unauthorized disclosure carries penalties.17Internal Revenue Service. Form 4506-C IVES Request for Transcript of Tax Return
In litigation, certified copies of returns and return information are admissible as evidence. If a court subpoena seeks your tax records, the IRS will generally direct the requesting party to Form 4506 or Form 4506-T, with an option to request a certified copy for court use.18Internal Revenue Service. Fixing Errors on Your Record
If the mistake started on your return, file Form 1040-X, Amended U.S. Individual Income Tax Return, to correct your filing status, income, deductions, credits, or tax liability. Once processed, your Master File updates to reflect the corrected information.19Internal Revenue Service. Topic No. 308, Amended Returns Catching the error before the filing deadline for that year can help you avoid penalties and interest on any additional tax owed.
If your transcript shows a return you don’t recognize or income you never earned, that can signal identity theft. The IRS directs taxpayers to call 800-829-1040 to report suspicious entries. For formal disputes over IRS-initiated adjustments, request an appeal by submitting a written protest within the timeframe stated in the letter you received. Cases involving $25,000 or less in proposed additional tax per period can use a simplified process through Form 12203, Request for Appeals Review.20Internal Revenue Service. Preparing a Request for Appeals
Locking Down Your Account
Tax-related identity theft typically shows up in the Master File when someone files a fraudulent return using your Social Security Number to grab a refund or fabricate wage records. The IRS tracks these cases with specific codes. On the business side, a fabricated EIN gets flagged with a transaction code that locks the account and blocks changes to the entity’s name, address, or responsible party.21Internal Revenue Service. IRS IRM 25.23.9 Business Master File (BMF) Identity Theft Tracking Indicators
The strongest proactive defense is the IRS Identity Protection PIN program. An IP PIN is a six-digit number known only to you and the IRS that must appear on your return before the agency will accept it. Without the correct PIN, a fraudulent return filed under your SSN gets rejected before it ever reaches your Master File.22Internal Revenue Service.
