What Is a Corrected W-2? Fixes, Refund Deadline, and Employer Refusal

A corrected W-2 is Form W-2c, the document your employer files with the Social Security Administration and sends to you when something on your original W-2 was wrong. It restates the incorrect entries side by side with the right ones so your tax records and your lifetime Social Security earnings history line up with reality.1Internal Revenue Service. About Form W-2 C, Corrected Wage and Tax Statements What you do with it depends on one thing: whether you’ve already filed your tax return for that year.

What a W-2c Can Fix

A W-2c can correct almost any field on the original W-2. The common ones are:

  • Your name, Social Security number, or the tax year on the form.
  • Wage figures in Box 1 (wages and tips), Box 3 (Social Security wages), or Box 5 (Medicare wages).
  • Tax withheld in Box 2 (federal income tax), Box 4 (Social Security tax), or Box 6 (Medicare tax).
  • Checkboxes for statutory employee status or retirement plan participation.
  • State and local wages and withholding.
  • Coded entries in Box 12, such as 401(k) deferrals, Roth contributions, employer HSA contributions, and the cost of employer-sponsored health coverage.2Internal Revenue Service. 2026 General Instructions for Forms W-2 and W-3

The form itself uses two columns, “Previously reported” and “Correct information,” so you can see exactly what changed.3Internal Revenue Service. Form W-2c, Corrected Wage and Tax Statement

Very Small Errors May Not Trigger a Correction

Under the de minimis error safe harbor, an employer isn’t penalized and isn’t required to issue a W-2c when the difference between the reported and correct amount is $100 or less. For tax withholding amounts, the threshold is $25 or less. If a small error still bothers you, you can override the safe harbor by asking for a correction, and once you do the employer must issue the W-2c.4Federal Register. One boundary worth noting: a W-2c only exists because the original W-2 already went to the SSA. If your employer catches a mistake before submitting the original (the regular filing deadline is January 31), they just fix the form and file the accurate version, and you’ll never see a W-2c.5Social Security Administration. What to Do When You Receive a Corrected W-2

Your next step depends on whether you’ve already filed your return for the year the W-2c covers.

If You Haven’t Filed Yet

Use the “Correct information” figures from the W-2c on your original return. No amendment is needed, and no extra form goes with it. Set the original W-2 aside and work only from the corrected numbers.

If You’ve Already Filed

You generally need to file Form 1040-X, the amended individual return, so the IRS can recalculate your tax based on the corrected wages and withholding. Form 1040-X can now be e-filed through tax software for the current year and the two prior tax years.6Internal Revenue Service. About Form 1040-X, Amended U.S. Individual Income Tax Return Depending on the direction of the change, you may owe a bit more or be due a refund.

The Refund Deadline

If the correction means the IRS owes you money, don’t sit on it. You generally must file the amended return within three years from the date you filed the original return, or within two years from the date you paid the tax, whichever is later.7Internal Revenue Service. Time You Can Claim a Credit or Refund A W-2c that arrives for an older year is still useful, but confirm you’re inside that window before filing the amendment for a refund.

If Your Employer Won’t Issue a Corrected W-2

Only employers can file a W-2c. You cannot submit one yourself. If you’ve asked for a correction and nothing has arrived by the end of February, escalate:

  • Call the IRS at 800-829-1040, or go in person to an IRS Taxpayer Assistance Center.
  • The IRS will send your employer a letter directing them to provide a corrected W-2 within 10 days.
  • The IRS will also send you Form 4852, the substitute for Form W-2, which you can use to file your return if the corrected W-2 still doesn’t arrive in time.8Internal Revenue Service. W-2 – Additional, Incorrect, Lost, Non-Receipt, Omitted

When you fill out Form 4852, use your pay stubs (especially the year-end stub) to estimate wages and withholding as closely as you can. If you already filed a return based on the incorrect W-2, file an amended return once you have either the W-2c or a completed Form 4852 in hand.9Internal Revenue Service. Confirm the Fix Reached Your Social Security Record

The other half of a W-2c is your Social Security earnings history, which drives your future retirement and disability benefits. After the correction has had time to process, log in to your my Social Security account at ssa.gov and check the earnings record for the corrected year. Corrected earnings can take anywhere from several weeks to several months to appear depending on the case. If the number still looks wrong after a reasonable wait, contact the SSA with your copy of the W-2c so they can trace it.

Keep your copy of the W-2c with your tax records for that year. You’ll want it if the IRS ever questions the amended return, and you’ll want it if the earnings correction doesn’t show up on your Social Security statement and you need to prove what was filed.
