When a payroll form or HR portal asks for a bank key for direct deposit, it is asking for your bank’s nine-digit ABA routing number. The two terms mean the same thing in the United States. Enter the routing number tied to the account where you want your paycheck to land, and the field is satisfied.
Why Payroll Forms Call It a Bank Key
The phrase comes from enterprise software, most notably SAP, which many large employers and government agencies use to run payroll. In SAP, “bank key” is a country-specific code that identifies a financial institution, and in the United States that code is the ABA routing number.1SWIFT. Bank Directory for SAP – Frequently Asked Questions Oracle, PeopleSoft, and other ERP platforms use similar language. If you see “bank key,” “routing number,” or “routing transit number” on a form, treat them as interchangeable.
One boundary worth knowing if you work for a multinational: the bank key format changes by country. It is the sort code in the United Kingdom, the transit number in Canada, and the BSB in Australia. For a U.S. account, the correct entry is always the nine-digit routing number, regardless of what the field is labeled.
How to Find Your Routing Number
You have several ways to pull the number, and any of them is reliable if you read carefully.
On a Paper Check
Look at the bottom-left corner of a personal check. The machine-readable line reads left to right as routing number, then account number, then check number. The first nine digits are what the payroll form wants. If your employer asks for a voided check along with the form, the payroll department is cross-checking these same digits.2Nacha. In Online or Mobile Banking
If you do not keep paper checks, log into your bank’s website or app. Most banks list the routing number under “Account Details” or a “Direct Deposit” section inside account settings. Monthly statements show it near the account summary. A customer service representative can also confirm the correct number for your specific account, which matters because large banks that operate across many states sometimes assign different routing numbers depending on where the account was opened. Two people at the same bank can legitimately have different routing numbers.
Through the Federal Reserve Directory
The Federal Reserve runs an E-Payments Routing Directory that is updated daily and lets you look up a bank by name.3Federal Reserve Financial Services. E-Payments Routing Directory It is a useful independent check if you want to verify a number before submitting it.
ACH and Wire Routing Numbers Can Differ
Direct deposit runs through the Automated Clearing House (ACH) network, so the routing number on a direct deposit form should be your bank’s ACH routing number. Some banks publish a separate routing number for domestic wire transfers. Entering the wire number on a direct deposit form can cause the deposit to fail or arrive late. If your bank uses two different numbers, ask which one to use for ACH direct deposits. The Federal Reserve directory lets you search FedACH and Fedwire participants separately, which is another way to confirm you have the right one.
What Else the Form Will Ask For
Alongside the bank key, a direct deposit authorization typically requires three more pieces of information:
- Your account number
- The account type (checking or savings), because banks process the two differently
- The official name of your bank
Some banks post pre-filled PDF direct deposit forms on their websites with the routing number and institution name already populated. If a voided check is requested and you do not have one, a screenshot of the account details page or a bank-issued form usually works as a substitute.
Many employers let you split a deposit across more than one account, for example a fixed amount into savings and the rest into checking. Not every payroll system supports that, so ask HR if you want to divide your pay.
One right to keep in mind: federal law prohibits an employer from requiring that you open an account at a specific bank as a condition of employment. An employer can require electronic payment, but you must be allowed to choose the financial institution that receives it.4Consumer Financial Protection Bureau. Direct Deposit Through Venmo or Cash App
Payment apps now offer direct deposit, each with its own routing number and account number that you can give to an employer. In Venmo, open the “Me” tab, go to “Settings,” then “Direct Deposit,” and tap “Show Account Number.” If the employer’s form asks for the bank’s name, Venmo lists its partner institution as The Bancorp Bank N.A.5Venmo. In Cash App, tap the “Money” tab on the home screen, then “Direct Deposit” to see the account details. Cash App’s partner bank is Sutton Bank, and the account type is checking.6Cash App. Direct Deposit Account Details Because these apps route deposits through partner banks, the routing number will not match any traditional bank account you hold.
What Happens After You Submit the Form
Expect one to two pay cycles to pass before the first electronic deposit arrives.7Chase. Direct Deposit – Getting Started A paper check may be issued in the meantime.
Many payroll systems send a pre-note first, a zero-dollar test transaction that verifies the routing number, account number, and account type are valid. Your bank is expected to respond within two banking days if anything is wrong. If the pre-note fails, you will have to resubmit the information with corrections. The test may show up in your account as a $0.00 entry or a small deposit of a few cents, which confirms the link is working.
If You Switch Banks or Enter the Wrong Number
When you change banks, update your direct deposit with your employer right away, and keep the old account open until at least one paycheck lands in the new one. The payroll system typically runs a fresh pre-note during the switch, which takes one to two cycles. A deposit sent to a closed account will bounce, and getting it reissued takes time.
If a deposit goes to the wrong account because of a data entry mistake, speed matters. ACH network rules require a reversal of an erroneous deposit to reach the receiving bank within five banking days after the original settlement date.8Nacha. ACH Network Rules – Reversals and Enforcement After that, recovery depends on the cooperation of the receiving bank and becomes much harder. Report any error to your payroll department the moment you spot it.
Keeping the Numbers Safe
A routing number by itself is not sensitive, since it only identifies the bank and is printed on every check you write. The risk comes when someone has your routing number and account number together, which can be enough to pull unauthorized ACH withdrawals or produce counterfeit checks. Share full account details only through encrypted websites and official employer portals, and treat unexpected requests for your banking information with suspicion, even when they look familiar. If a message asks you to confirm these details, contact the sender through a phone number you look up independently rather than one included in the message.
