What Does ADP Tax Mean on Your Bank Statement?

An “ADP TAX” line on your bank statement means Automatic Data Processing, Inc. pulled money from your business account to pay payroll taxes on your behalf. The withdrawal bundles federal income tax withheld from your employees, both sides of Social Security and Medicare, federal unemployment tax, and, depending on where you operate, state and local payroll taxes. ADP holds the funds briefly in a settlement account and forwards them to the IRS and the relevant state or local agencies before their deposit deadlines.

If you run payroll through ADP, this is the normal mechanism. You see one debit; the government eventually sees several deposits.

What’s Inside the Debit

The single number that hits your account is a sum. Knowing the parts makes it easier to reconcile and easier to spot when something is off.

Federal Income Tax Withholding

Usually the largest component. The amount depends on each employee’s Form W-4 elections: filing status, dependents, and any additional withholding they asked for.1Internal Revenue Service. Topic No. 753, Form W-4, Employees Withholding Certificate Employers are required by law to withhold and remit it on every paycheck.2Office of the Law Revision Counsel. 26 USC 3402 – Income Tax Collected at Source

Social Security and Medicare

Employer and employee each owe 6.2% for Social Security and 1.45% for Medicare, so 7.65% per side and 15.3% combined.3Internal Revenue Service. Topic No. 751, Social Security and Medicare Withholding Rates Both halves come out in the same ADP debit. Social Security tax applies only to wages up to $184,500 in 2026, so once a high earner crosses that cap, the Social Security portion of your debit drops for the rest of the year.4Social Security Administration. Contribution and Benefit Base Medicare has no cap.

Wages above $200,000 in a calendar year trigger an Additional Medicare Tax of 0.9%. There’s no employer match on that piece, but ADP still pulls it with everything else and sends it to the IRS.5Internal Revenue Service. Additional Medicare Tax

Federal Unemployment (FUTA)

Employers pay FUTA on the first $7,000 of each employee’s annual wages. After credits for state unemployment contributions, the effective rate is typically 0.6%. Businesses in states with outstanding federal unemployment loans face credit reductions that push the rate higher; seven states carry those reductions in 2026. ADP may combine FUTA into the same debit or pull it separately depending on when the deposit is due.

State and Local Taxes

Where applicable, the debit also covers state income tax withholding, state unemployment insurance (SUTA), and any local payroll taxes. State unemployment wage bases vary widely, from $7,000 to over $60,000. Some state or local taxes follow their own payment calendar and can trigger a separate debit rather than riding along with the federal pull.

Why the Amount Changes From One Payroll to the Next

Fluctuation is usually not an error. Overtime, bonuses, and commissions push taxable wages up and increase withholding. Headcount changes shift the aggregate liability. Once an individual employee hits the $184,500 Social Security cap, that portion falls for the rest of the year.4Social Security Administration. Contribution and Benefit Base FUTA behaves the same way at the $7,000 mark; once every employee has earned past it (often by late Q1 or early Q2), that piece drops to zero.

Year-end payrolls can look unusual because of prior-period corrections, state true-ups, or extra withholding on bonuses. If a debit seems oddly large or small, ADP’s payroll reports will show what changed.

Why the Money Comes Out Before Payday

ADP uses a process called impounding: it debits your account ahead of the check date so the funds are cleared and sitting in its settlement account when the tax deposit is due. For most clients this happens up to two business days before payday.6ADP. RUN Powered by ADP Support Guide The lead time protects against a slow ACH transfer or an insufficient-balance rejection causing a missed federal deadline, which carries penalties starting at 2% and climbing to 15% depending on how late the deposit is.7Office of the Law Revision Counsel. 26 USC 6656 – Failure To Make Deposit of Taxes

The practical takeaway: the money leaves on ADP’s schedule, not the government’s, and not yours. Plan your cash flow around the impound date, not the check date.

Telling ADP TAX Apart From Other ADP Debits

Not every ADP withdrawal is a tax payment. The descriptor tells you what the transaction actually funded:

  • ADP TAX PAYMENT: payroll taxes going to federal, state, or local agencies.
  • ADP PAYROLL DEBIT: net wages funding direct deposits and paychecks.
  • ADP SERVICE FEE: ADP’s processing and platform charges.
  • ADP PAYROLL ADJUSTMENT: a correction after payroll was already processed, such as a retroactive pay change or a recalculated withholding.
  • ADP ACCOUNT VERIFICATION: a small test transaction, often just pennies, from initial account setup.

Some statements append your business name, so the line reads something like “ADP * [YOUR COMPANY] PAYROLL.” If your bank shows only a generic “ADP ACH DEBIT” with no further detail, the description is probably truncated. Pull the full transaction reference from ADP’s portal or ask your bank for the ACH trace.

How To Reconcile the Debit

Verifying the withdrawal takes about five minutes. Log in to ADP’s portal and open the Payroll Summary or Tax Liability Report for the matching pay period. Those reports itemize federal income tax withheld, employer and employee shares of FICA, FUTA, and each state or local tax. Add them up and match the total to the bank entry.

If the numbers don’t align, check the usual suspects:

  • Prior-period adjustments. ADP may have corrected a withholding error from an earlier payroll, shifting the debit by a small amount.
  • Service fees bundled in. Some ADP configurations pull processing fees in the same transaction as taxes, so the debit exceeds the tax liability alone.
  • Quarterly timing. Certain state or local taxes are collected quarterly rather than per pay period, so one debit each quarter will be larger than the others.
  • State tax rebates or credits for timely filings, which can reduce an expected debit.

If none of that explains the gap, call ADP and ask for the statistical summary report for the pay period. It itemizes every line inside the debit, including items that don’t appear on the standard payroll summary.

What To Do About an Unrecognized ADP Debit

If your business doesn’t use ADP and a debit shows up anyway, call your bank first. Ask for the full ACH trace number and originator information; that will tell you whether the debit was legitimately tied to your account or routed there in error. Under ACH rules, you generally have 60 days from the statement date to dispute an unauthorized electronic debit, so move quickly.

If you are an ADP client and the charge just looks unfamiliar, call ADP’s client service line before disputing anything. It may be a legitimate off-cycle debit, such as a year-end true-up or a payroll correction, that you weren’t expecting.

Why Funding the Debit Matters

Using ADP does not shift the underlying tax liability off you. Federal income tax and the employee share of FICA are trust fund taxes: money the business holds for the government. If those taxes go unremitted, the IRS can assess the Trust Fund Recovery Penalty under Section 6672 of the Internal Revenue Code, equal to 100% of the unpaid amount.8Office of the Law Revision Counsel. 26 US Code 6672 – Failure To Collect and Pay Over Tax, or Attempt To Evade or Defeat Tax The penalty reaches through the corporate shield: any person responsible for collecting and remitting the tax who willfully fails to do so can be held personally liable, regardless of whether the business is an LLC or a corporation.9Internal Revenue Service. Internal Revenue Manual 8.25.1 Trust Fund Recovery Penalty Overview and Authority

If your account lacks funds when ADP attempts the debit, the tax deposit doesn’t happen and the liability still lands on you. Keeping enough cash available to cover every scheduled ADP withdrawal is what keeps that exposure closed.
