What Copies of a W-2 Do Employees Get: Copies B, C & 2

Employees typically get three copies of Form W-2 from their employer: Copy B to file with a paper federal tax return, Copy C to keep for personal records, and Copy 2 to file with state, city, or local tax returns. All three arrive together, usually by January 31 of the year after you earned the wages, and each carries the same numbers but has a different destination.

Copy B: For Your Federal Tax Return

Copy B is the one the IRS wants if you file on paper. You attach it to the front of Form 1040 so the wages and federal income tax withheld on your return line up with what your employer reported.

If you file electronically, Copy B does not go anywhere. Your tax software transmits the W-2 data to the IRS as part of the e-filed return. Keep the paper copy with your records anyway, in case a question comes up later.

Federal law requires your employer to furnish this statement showing your total wages, federal income tax withheld, Social Security and Medicare wages and withholding, and any elective deferrals to retirement plans.1Office of the Law Revision Counsel. 26 USC 6051 – Receipts for Employees It applies to every employer who withheld income or payroll taxes or paid you for services as an employee.

Copy C: For Your Personal Records

Copy C carries the same numbers as Copy B, but the IRS designates it for your files rather than for filing. Hold onto it after you finish your return. It is your proof of what you earned and what was withheld if anything is questioned later.

The most practical reason to keep it is verifying your Social Security earnings. The SSA uses the wage data your employer reports to calculate your future retirement and disability benefits. If SSA records ever show lower earnings than you actually received, Copy C is the proof you need to fix the discrepancy.2Internal Revenue Service. General Instructions for Forms W-2 and W-3 (2026)

How Long to Keep Copy C

The IRS says to keep records supporting items on your tax return until the period of limitations runs out. For most people that means at least three years from the date you filed. If you underreported income by more than 25% of the gross income shown on your return, the retention period extends to six years.3Internal Revenue Service. How Long Should I Keep Records Keeping W-2s longer than the minimum is smart, since an SSA earnings error can surface years down the road and an employer that has gone out of business cannot issue duplicates.

Copy 2: For State and Local Tax Returns

Copy 2 is the state and local counterpart to Copy B. If you live or work somewhere that collects income tax, you attach Copy 2 to that jurisdiction’s return. Boxes 15 through 20 on the W-2 hold the state and local numbers: state wages, state income tax withheld, local wages, and local tax withheld.

If you earned income in more than one state during the year, perhaps because you moved or commuted across a state line, your employer may include multiple versions of Copy 2 in your packet, each reflecting one jurisdiction. File each version with the appropriate revenue department.

Workers who live in one place and work in another sometimes owe tax to both. Some states have reciprocity agreements that simplify this. Without one, you may need to file in both locations using separate Copy 2 forms. Check whether your state offers a credit for taxes paid to another state so the same income is not taxed twice.

The Copies You Do Not Receive

A complete W-2 has six copies, and the three you do not get are handled entirely by your employer. Copy A goes to the Social Security Administration so your earnings are credited toward future benefits. Copy 1 goes to your state, city, or local tax department when required. Copy D stays with your employer as their own record.4Internal Revenue Service. Topic No. 752, Filing Forms W-2 and W-32Internal Revenue Service. When and How Your Copies Arrive

Employers must get your W-2 copies to you by January 31 of the year after the wages were paid.5Internal Revenue Service. Employment Tax Due Dates If your employment ended before year-end, you can submit a written request and your employer has 30 days to provide it, though if that 30-day window extends past January 31, the January 31 deadline still controls.1Office of the Law Revision Counsel. 26 USC 6051 – Receipts for Employees

Paper delivery is the default. If your employer wants to deliver your W-2 electronically through a payroll portal, they need your affirmative consent first. They must tell you what hardware and software you need to access the form, and you have to actively agree. Without that consent, your employer must provide paper copies.6Internal Revenue Service. If a Copy Is Missing or Wrong

If January 31 passes and you have no W-2, start with your employer. Confirm they have your correct mailing address, and check whether the form is sitting in an online payroll portal you have not logged into. Most missing-W-2 problems come down to an address error or an electronic form waiting to be downloaded.

If you still cannot get it by the end of February, call the IRS at 800-829-1040 or visit a Taxpayer Assistance Center. Have your employer’s name and full address ready, along with your own name, address, and Social Security number. The IRS will send your employer a letter demanding they furnish the W-2 within ten days.7Internal Revenue Service. W-2 – Additional, Incorrect, Lost, Non-Receipt, Omitted

If the W-2 still does not show up and the filing deadline is close, use Form 4852 as a substitute W-2. You estimate your wages and withholding from your final pay stub or bank records. The IRS accepts Form 4852 when an employer fails to provide a W-2 or provides one with incorrect information.8Internal Revenue Service. About Form 4852, Substitute for Form W-2, Wage and Tax Statement, or Form 1099-R If the real W-2 later arrives with different numbers, you will need to file an amended return.

For errors on a W-2 you did receive, such as a wrong Social Security number, incorrect wages, or a missing entry, ask your employer to issue a corrected Form W-2c. The corrected form goes to the SSA and a copy comes to you. Fixing errors matters most for your Social Security earnings record, since bad wage data can reduce your future benefits.9Internal Revenue Service. Getting W-2 Information From Prior Years

If you need W-2 data from an earlier year for a mortgage application, financial aid form, or amended return, you have options even without the paper copy.

The fastest route is your IRS Individual Online Account, where you can view, print, or download transcripts that include your wage and income information. The Wage and Income Transcript shows the data from W-2s and other information returns filed with the IRS and is available for the current year and nine prior tax years.10Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them You can also request a transcript through the automated phone service at 800-908-9946 or by mailing Form 4506-T.11Internal Revenue Service. A Wage and Income Transcript is not a duplicate W-2. It shows the same data your employer reported but in a different format. Most lenders and agencies accept it, but check with whoever is asking for the document before assuming it will work as a substitute.
