Webster Bank Direct Deposit Form: Filling It Out and Where to Send It

The Webster Bank direct deposit form is a one-page authorization you download from websterbank.com, fill in with your account details and Webster’s routing number (221970443), and hand to your employer’s payroll department. Webster Bank itself doesn’t process the form; your employer does. Most paychecks start landing electronically within one to two pay cycles after you submit it.

Where to Get the Form

Webster Bank hosts the PDF on its website under the title “Employer Authorization Direct Deposit Form.”1Webster Bank. You can also skip Webster’s form if your employer runs its own enrollment. ADP, Paychex, Gusto, and most other payroll platforms let you enter banking details through the employee portal. The information required is the same either way.

What You Need Before You Fill It In

Gather these five pieces of information. A wrong digit can bounce the deposit or route your pay to a stranger’s account.

  • Webster Bank’s nine-digit ABA routing number: 221970443. It identifies the bank within the ACH network and prints along the bottom-left of any Webster check.3Webster Bank. Helpful Checklist for Our New Webster Bank Clients
  • Your account number, which sits to the right of the routing number on a check and also appears on the account details screen in Webster’s online banking and mobile app.
  • Account type. Checking or savings. Marking the wrong one is a frequent reason deposits reject.
  • Deposit amount. Either your full net pay or a specific dollar amount per account if you’re splitting across more than one.
  • Employer name and address, plus your employee ID if the form asks for it.

If You Don’t Have Paper Checks

Plenty of Webster customers never order checks. Log into online banking or the mobile app; both show your account number and the routing number on the account details screen. You can also ask Webster for a direct deposit verification letter, which prints the numbers your employer needs on bank letterhead.4Nacha. Direct Deposit Without a Voided Check? Absolutely!

Voided Check Requirement

Some employers want a voided check attached to verify the account. Write “VOID” in large letters across the front of a blank check, leaving the printed numbers along the bottom legible. If you don’t have checks, most payroll departments accept the verification letter or a printout of your account details from online banking. Ask HR what they’ll take before you submit.

Filling Out the Form

The form is a single page. Start with your personal information at the top: full legal name, address, and Social Security number or employee ID. Then move to the financial institution section and enter the routing number, account number, and account type.

Depositing your whole paycheck into one Webster account? Select “entire net pay” or the equivalent. Splitting it, say a fixed amount to savings and the rest to checking? Fill out a separate line for each account. The first account you list usually catches the remainder after fixed amounts are routed elsewhere, so put your primary checking account last if you want it to receive what’s left.

Sign and date the form. Federal law requires preauthorized electronic transfers from a consumer account to be authorized in writing by the consumer, and your signature satisfies that requirement.5Office of the Law Revision Counsel. 15 USC 1693e – Preauthorized Transfers Before you sign, check every digit of both numbers against your online banking screen. Transpositions are the single most common mistake, and clawing back misdirected funds can take weeks.

Where the Form Goes

Give it to your HR or payroll department, or upload it through your employer’s payroll portal. Webster Bank doesn’t need a copy. Once payroll processes the authorization, deposit instructions travel through the ACH network from your employer’s bank to Webster automatically.

Expect the first electronic deposit within one to two pay cycles. You may receive a paper check or two during the transition while payroll finishes configuring the switch. Check your Webster account on payday to confirm the deposit posted. If nothing shows up after two full pay cycles, call your payroll department first. The holdup is almost always on the employer’s side, not the bank’s.

Federal Benefits and Tax Refunds Use a Different Process

Don’t send Webster’s form to the Social Security Administration or the VA. Social Security, SSI, VA benefits, and other federal payments enroll through separate channels:

  • Online, through your my Social Security account at ssa.gov, or at godirect.gov for any federal benefit.6Social Security Administration. Social Security Direct Deposit7Go Direct. Go Direct Home
  • By phone, through the U.S. Treasury Electronic Payment Solution Center at 1-877-874-6347.

Federal law requires nearly all federal payments to be made electronically.9eCFR. 31 CFR 208.3 – Payment by Electronic Funds Transfer Whichever channel you use, you’ll give them Webster’s routing number (221970443) and your account number.

For an IRS refund, enter the routing and account numbers directly on your tax return (Form 1040, line 35). To split a refund across accounts, file Form 8888. The IRS caps direct deposit refunds at three per account per year; past that limit it mails a paper check instead.10Internal Revenue Service. The Benefits of Having a Tax Refund Direct Deposited

Changing or Canceling Direct Deposit

Switching banks or closing your Webster account? Submit a new direct deposit form to your employer with the new bank’s routing and account numbers before the old account goes dark. Keep the Webster account open for at least 30 days after the switch so any deposits already in the pipeline don’t bounce.

To stop direct deposit entirely, notify your employer in writing. Federal law gives you the right to revoke a direct deposit authorization at any time and receive your pay by another method.5Office of the Law Revision Counsel. 15 USC 1693e – Preauthorized Transfers Some states also prohibit employers from requiring direct deposit as a condition of employment, so check your state’s wage payment laws if you’d rather have a paper check. Three business days is the statutory minimum for stopping a preauthorized transfer, but most payroll departments need more notice than that to process the change in time for the next pay date.

Your Protections If Something Goes Wrong

Once direct deposit is running, Regulation E (the federal rule implementing the Electronic Fund Transfer Act) protects your Webster account, as it does any consumer bank account that receives electronic deposits.

For an unauthorized transfer, your liability depends on how fast you report it:11Consumer Financial Protection Bureau. Liability of Consumer for Unauthorized Transfers

  • Reported within 2 business days: your loss is capped at $50.
  • Reported after 2 business days but within 60 days of your statement: your loss is capped at $500.
  • Reported after 60 days: you could be liable for the full amount of unauthorized transfers that occur after that 60-day window.

Review your Webster statements every month. If a deposit arrives for the wrong amount, a transfer appears that you didn’t authorize, or a deposit you expected never shows, report it to Webster within 60 days of the statement date. The bank is then required to investigate and resolve the error. Wait longer and that obligation falls away.
