USCIS Interview Reschedule Letter: Reasons, Deadline, and Delivery

A USCIS interview reschedule letter is a short written request, sent to the field office listed on your appointment notice, asking the agency to move your interview to a later date for a documented reason. For most case types, the letter must reach USCIS before your scheduled appointment time. Miss that window and federal regulation treats your application as abandoned and denies it.1eCFR. 8 CFR 103.2 – Submission and Adjudication of Benefit Requests Naturalization applicants get more room: 30 days after a missed N-400 exam to send a written explanation.2eCFR. 8 CFR 335.6 – Failure to Appear for Examination

The Deadline That Controls Everything

Timing is the single most important part of this process. Under 8 CFR 103.2, if you don’t appear for a scheduled interview and USCIS has not received a request to reschedule before the appointment time, your application is considered abandoned and denied. The regulation also requires the officer to conclude the request “warrants excusing the failure to appear.”1eCFR. 8 CFR 103.2 – Submission and Adjudication of Benefit Requests Send the letter as soon as you know you have a conflict. Same-day mailing rarely arrives in time.

Naturalization is the exception. If you miss your N-400 interview, you have 30 days to send USCIS a written explanation. If the 30 days pass with no response, USCIS administratively closes the case, and you then have up to one year to ask for it to be reopened at no extra fee.2eCFR. 8 CFR 335.6 – Failure to Appear for Examination

Asylum interviews run on their own timeline. A first written request received at least two days before the interview is granted automatically without any explanation.3eCFR. 8 CFR 240.68 – Failure to Appear at an Interview Before an Asylum Officer Every request after the first, and any late request, requires “good cause.” Past 45 days from a missed interview, the standard rises to “exceptional circumstances.”4U.S. Citizenship and Immigration Services. What to Put in the Letter

Keep it short. Two people will handle it: a mailroom clerk who needs to match the letter to your file, and an officer who needs to decide whether your reason is good enough. Pull your identifiers from the Form I-797C Notice of Action that told you when and where to appear.5U.S. Citizenship and Immigration Services. Form I-797 Types and Functions

At the top, put:

  • Your full legal name exactly as it appears on your application
  • Your A-Number (Alien Registration Number)
  • The 13-character receipt number from the I-797C
  • The scheduled date, time, and field office location

In the body, explain in plain, specific terms why you cannot attend. Specifics beat generalities. Write “I am scheduled for surgery on August 14 at Mercy Hospital and will not be able to travel” rather than “I have a medical issue.” Attach supporting documents behind a copy of your original appointment notice: a doctor’s letter on hospital letterhead, a death certificate, court orders, military orders, whatever fits your reason.

Close by stating that you are available at the earliest possible rescheduled date. Include your phone number and current mailing address. If you have moved since filing, give both the address on file and the new one. Sign the letter yourself. An attorney or accredited representative can sign on your behalf if they include their contact information and proof of representation.

Reasons That Actually Work

USCIS does not publish a checklist of approved reasons. The regulation requires only that the officer find the request warrants excusing your absence.1eCFR. 8 CFR 103.2 – Submission and Adjudication of Benefit Requests In practice, officers look for situations that were beyond your control and that you can prove:

  • A medical emergency such as hospitalization, surgery, or contagious illness. USCIS itself tells applicants not to come to appointments when they feel sick. A doctor’s note on letterhead is the standard proof.6U.S. Citizenship and Immigration Services. If You Feel Sick, Do Not Come to Your USCIS Appointment; Please Cancel and Reschedule It
  • Death of an immediate family member, documented with a copy of the death certificate.
  • Military orders. Deployed service members and their spouses can also call the USCIS Military Help Line at 1-877-247-4645.7U.S. Citizenship and Immigration Services. Questions and Answers for Members of the Military
  • Severe weather or a natural disaster that made travel unsafe.8U.S. Citizenship and Immigration Services. USCIS Office Closings
  • A court appearance you cannot postpone.

A pre-planned vacation or a rearrangeable work meeting will not persuade an officer. The closer the conflict looks to something you chose, the weaker the request.

One situation where no letter is needed: if USCIS closes the field office itself for weather, a holiday, or a facility problem, all interviews scheduled that day are automatically rescheduled and you simply wait for a new notice.8U.S. Citizenship and Immigration Services. USCIS Office Closings

How to Send It

The right method depends on the type of appointment. Follow whatever the I-797C tells you to do.

Field Office Interviews

Mail the letter directly to the field office listed on your notice. Do not send it to a service center or a lockbox; those handle form processing, not scheduling. Use a delivery method with tracking and return receipt so you can prove the letter arrived before the appointment. If the field office accepts hand-delivered letters, drop it off in person and ask for a date-stamped copy as your receipt.

Biometrics Appointments

Biometrics appointments at Application Support Centers cannot be rescheduled by mail. Submit the request through your USCIS online account at least 12 hours before the scheduled appointment. You still need to show good cause. If you have missed the 12-hour cutoff, or already missed the appointment, call the USCIS Contact Center instead.9U.S. Citizenship and Immigration Services. Sudden Emergencies

If something happens the morning of the interview and there is no time to mail anything, call the USCIS Contact Center at 800-375-5283 (TTY 800-767-1833). Tier 1 representatives handle rescheduling for most appointment types; asylum requests are escalated to Tier 2.10U.S. Citizenship and Immigration Services. USCIS Contact Center Have your receipt number, A-Number, and explanation ready. Wait times can be long.

After You Send the Letter

USCIS does not publish a guaranteed turnaround time. Some applicants get a new date within a few weeks; others wait months. The agency confirms there is no penalty for rescheduling itself.6U.S. Citizenship and Immigration Services. If You Feel Sick, Do Not Come to Your USCIS Appointment; Please Cancel and Reschedule It When the office acts on your request, a new Form I-797C will arrive with the rescheduled date and time.11U.S. Citizenship and Immigration Services. Form I-797C, Notice of Action That notice is your confirmation the reason was accepted.

If your original date is approaching and you have heard nothing, do not assume silence means approval. Call the Contact Center to confirm the request was logged. If you can possibly attend the original appointment, do. No officer will fault you for showing up.

One caution for asylum applicants: rescheduling counts as an applicant-caused delay and stops the 180-day EAD clock that governs when you can apply for a work permit. The clock also stops if you simply fail to appear.4U.S. Citizenship and Immigration Services. If You Already Missed the Interview

A denial for failure to appear is serious but often not final.

For naturalization, you can ask USCIS to reopen an administratively closed N-400 within one year of the closure, at no additional fee. The reopening date becomes your new filing date for eligibility purposes. After one year, the application is dismissed and you would need to file again from scratch.2eCFR. 8 CFR 335.6 – Failure to Appear for Examination

For other case types, you can challenge the denial by filing Form I-290B (Notice of Appeal or Motion) within 30 days of the decision, or 33 days if the decision was mailed. USCIS may excuse a late filing if the delay was reasonable and beyond your control.13U.S. Citizenship and Immigration Services. I-290B, Notice of Appeal or Motion A granted motion reopens the case and puts you back in line for a new interview; it is not itself an approval.

For asylum, missing an interview without prior authorization can result in dismissal of the application or loss of the right to an interview.14eCFR. 8 CFR 208.10 – Failure to Appear at an Interview Before an Asylum Officer Get a written good-cause request in as quickly as possible, and certainly before the 45-day mark, after which the standard becomes exceptional circumstances.
