US Embassy Canceled Your Visa Appointment: Rebook or Request Emergency

If the US Embassy canceled your visa appointment, sign back into the same USTravelDocs account where you originally booked and pick a new interview date from the calendar. Your paid MRV fee carries over as long as you rebook within its one-year validity, so an embassy-initiated cancellation does not cost you more money. The harder part is availability: the same pressure that caused the cancellation is usually squeezing the calendar for everyone else, and you may need to look at an interview waiver or an emergency appointment if your travel is close.

Confirm the Cancellation Is Real Before You Do Anything

Scammers know a canceled interview creates panic and use it to steer people toward fake payment links. Before you click anything in a cancellation email, check who sent it.

Genuine US government messages come from addresses ending in .gov. Anything ending in .com, .org, or a lookalike like “uscis-online.org” should be treated as fraudulent. The government will not ask you to wire money, pay through PayPal, Venmo, or gift cards, or send fees to an individual by phone or email. Typos, off-brand formatting, download buttons pointing to non-government sites, and unsolicited “approval” messages are other red flags. USCIS does not routinely send unsolicited approval emails.1U.S. Citizenship and Immigration Services. Common Scams

The safest verification is to ignore the email and go straight to the source. Log into your USTravelDocs account: if the cancellation is real, your dashboard will show it. Embassy websites also post notices about broader disruptions, and in larger closures the post typically states it will contact affected applicants once services resume.2U.S. Embassy & Consulates in the United Arab Emirates. How to Rebook on USTravelDocs

Rescheduling runs through ustraveldocs.com, the same portal you used the first time. Have your login, your DS-160 confirmation number, and your MRV fee receipt number handy.

  • Log in. Select your country and sign in with the same account you used to book the original interview. The dashboard should reflect the cancellation.
  • Choose “Schedule Appointment.” The system displays available interview dates at your consular post. Take the earliest slot that works.
  • Confirm and print. Lock in the date, then print the updated confirmation page. You will need that printout at the interview.

Expect the calendar to be thin. Whatever caused your cancellation is affecting every other applicant at the same post, and slots can be weeks or months out.

Watch the Reschedule Cap and Your Fee Expiration

Two limits can quietly derail you. First, the scheduling system caps how many times you can reschedule per MRV fee payment. The number varies by country: some posts allow only one change, others permit several. Your account usually shows how many reschedules you have left. Hit the cap and the system will require a new MRV fee before it shows the calendar again. An embassy-initiated cancellation eats into that allowance the same as one you initiated, so check the counter before you start juggling dates.

Second, the fee receipt itself expires. Your MRV receipt is valid for one year (365 days) from the date of payment, and you must schedule an appointment within that window. The blanket pandemic-era validity extensions expired on September 30, 2023, and no further extensions are in effect. When the Next Slot Is Too Far Out

If regular availability is months away and your travel will not wait, two options can shorten the wait.

Interview Waiver (“Dropbox”)

An interview waiver lets you submit documents without sitting for an in-person interview. As of October 1, 2025, the State Department narrowed eligibility. You may qualify if you are renewing a B-1/B-2 visa or an H-2A visa within 12 months of the prior visa’s expiration, provided that visa was issued for full validity and you were at least 18 when it was issued. Certain diplomatic and official categories also qualify. You have to apply from your country of nationality or usual residence, have no prior refusals (unless overcome or waived), and have no apparent ineligibility.5U.S. Department of State. Interview Waiver Update September 18, 2025 Meeting the criteria on paper does not guarantee a waiver; consular officers can still require an in-person interview case by case. For eligible B-1/B-2 renewals, though, the waiver track often opens capacity the regular queue does not have.

Emergency Appointment Request

You can request an expedited appointment when you have a genuine, time-sensitive reason to travel. The bar is high. Qualifying situations generally include:

  • Medical emergency. Treatment needed in the US that is not available locally, supported by a letter from a US hospital or doctor.
  • Death or serious illness of an immediate family member. Supported by a death certificate, hospital letter, or similar documentation.
  • Urgent business travel. Time-sensitive business that cannot be postponed, supported by a letter from the US company or organization.
  • Students and exchange visitors. Those needing to begin or resume a valid program of study. The lead-time cutoff varies by post: some require your start date within two weeks, others accept requests up to 60 days out.

Travel for weddings, graduation ceremonies, and tourism does not qualify, and attending an annual conference — even a professional or academic one — typically does not either.6U.S. Embassy in the Federated States of Micronesia. Qualifications for Emergency Appointment Request

To submit the request, first book a regular appointment for the earliest available date, even if it is months out. Then log into USTravelDocs, choose the emergency appointment option, fill out the form explaining your urgent need, and upload supporting documents. The post reviews the request and responds by email. Turnaround varies.

What to Bring to the Rescheduled Interview

A canceled and rebooked appointment does not change the checklist at the door. Bring:

  • A valid passport, valid for at least six months beyond your intended stay in the US (some countries are exempt from this rule).
  • The printed confirmation for the new appointment date and time.
  • Your DS-160 confirmation page with the barcode.
  • Your MRV fee receipt.
  • A recent passport-style photograph meeting State Department specifications, unless you already uploaded a digital photo with your DS-160.
  • Supporting documents for your category: financial evidence, employment letters, travel itinerary, and anything else relevant.

If months passed between the cancellation and your new date, refresh anything that has gone stale. A bank statement from your original booking window is no longer current. Consular officers want to see where you stand now, not where you stood when you first applied. Check the embassy’s own website for post-specific document requirements before you go, since some consulates ask for extras beyond the standard list.
