To get a tax ID number for a youth sports team, apply online at irs.gov for an Employer Identification Number (EIN). It is free, and the IRS issues the nine-digit number on screen as soon as you finish the application. Most people complete it in one sitting. Before you start, decide how the team will be legally organized and have the responsible party’s name and Social Security Number ready.
Why the Team Needs an EIN
The most immediate reason is to open a bank account in the team’s name. Banks will not open a non-personal account without an EIN, and running team money through a coach’s or treasurer’s personal account invites confusion and legal exposure.
Sponsors and corporate donors ask for the EIN before writing a check. Facility owners and equipment vendors often require a completed W-9 before renting fields or processing a purchase order, and the W-9 asks for a Taxpayer Identification Number. For your team, that is the EIN. The IRS also requires an EIN if the organization pays anyone, including a seasonal coach or part-time referee.
Decide the Legal Structure First
What you put on the EIN application depends on how the team is organized. Pick the structure before you apply, because the legal name on the application must match any state filing exactly.
Unincorporated Association
The simplest option. No state filing is required. The team exists through a shared agreement among members, and an officer (usually the president or treasurer) serves as the responsible party on the EIN application using their own Social Security Number. The trade-off is that there is no liability shield; if a player is injured and a lawsuit follows, officers and members can be personally on the hook.
State Nonprofit Corporation
Incorporating as a nonprofit at the state level creates a legal entity separate from the people running it, which shields volunteers’ personal assets from the organization’s debts and judgments. You file articles of incorporation with your state’s Secretary of State and pay a filing fee that generally runs between $30 and $780 depending on the state. Do this before applying for the EIN so the names match. Most states also require a short annual report and a small maintenance fee.
501(c)(3) Comes Later
Federal tax-exempt status is a separate application you file after you already have the EIN, using Form 1023 or the streamlined Form 1023-EZ. The 1023-EZ is available to organizations with gross receipts of $50,000 or less and total assets of $250,000 or less, and carries a $275 user fee; the full Form 1023 costs $600.1Internal Revenue Service. Form 1023 and 1023-EZ: Amount of User Fee The IRS issues about 80% of 1023-EZ determinations within 22 days, while the full Form 1023 takes roughly 191 days for 80% of applicants.2Internal Revenue Service. 3Internal Revenue Service. Responsible Parties and Nominees
The responsible party is usually the team president or treasurer, and that person’s SSN becomes part of the IRS record. Pick someone committed to the organization, because if they later step down, the team must notify the IRS within 60 days using Form 8822-B.4Internal Revenue Service. About Form 8822-B, Change of Address or Responsible Party – Business Go to irs.gov and select “Apply for an Employer ID Number.” The online tool is available Monday through Friday from 6:00 a.m. to 1:00 a.m. Eastern, Saturdays from 6:00 a.m. to 9:00 p.m., and Sundays from 6:00 p.m. to midnight.5Internal Revenue Service. Get an Employer Identification Number There is no fee. Be wary of third-party sites that charge for this service. Select the entity type on the first screen. If you incorporated as a nonprofit, choose the category for corporations and nonprofit organizations. If you are operating as an unincorporated association, select “Other.” The system then asks for the legal name, address, responsible party details, and a plain description of your principal activity. When you finish, the EIN appears on screen immediately. The system generates a confirmation notice called a CP 575. Print or save this document right away. The IRS issues it only once and will not generate a replacement.6Internal Revenue Service. CP 575 G Notice Banks and other institutions will ask for it to verify the EIN, so store it where the board can find it after leadership turns over. Only one EIN is issued per responsible party per day.7Internal Revenue Service. Employer Identification Number You can complete Form SS-4 and submit it by fax or mail instead. Fax applications typically produce an EIN within four business days, and mailed applications take roughly four to five weeks.8Internal Revenue Service. Instructions for Form SS-4 The paper route only makes sense if the responsible party cannot use the online tool. Youth sports teams turn over leadership often. Any time the mailing address, location, or responsible party changes, file Form 8822-B. For responsible party changes, the deadline is 60 days. If you miss it, IRS notices go to the wrong person, and penalties and interest keep accruing whether or not the right person actually sees them.9Internal Revenue Service. Form 8822-B Change of Address or Responsible Party – Business This is where small teams quietly fall out of compliance. The founding treasurer leaves, nobody updates the IRS, and two years later the current board finds that the address on file is a house that was sold. Add the Form 8822-B update to your leadership transition checklist alongside the bank account handoff and the CP 575 notice. A few things the EIN by itself does not accomplish, so you do not assume otherwise. It does not make donations tax-deductible. Donors can only claim a deduction if the team has received a 501(c)(3) determination letter from the IRS.10Internal Revenue Service. Charitable Contribution Deductions Without that letter, issuing tax receipts as if contributions were deductible would be misleading. It does not register you to fundraise. Roughly 40 states require organizations to register with the state before soliciting residents for donations.11Internal Revenue Service. Charitable Solicitation – Initial State Registration Rules vary and some states exempt small organizations, so check with your state’s Attorney General or Secretary of State before launching a public fundraising campaign. It does not satisfy your annual IRS filing. Once a tax-exempt organization has an EIN, the IRS expects a return each year. Most small youth sports teams qualify for Form 990-N, the e-Postcard, if annual gross receipts are normally $50,000 or less.12Internal Revenue Service. Annual Electronic Notice (Form 990-N) for Small Organizations FAQs: Who Must File The deadline is the 15th day of the fifth month after your fiscal year ends; for calendar-year teams, that is May 15. Missing the filing for three consecutive years triggers automatic revocation of tax-exempt status with no warning, and the organization then has to reapply and pay the user fee again.13Internal Revenue Service. Annual Filing and Forms Five minutes on the e-Postcard each year avoids the whole problem.Apply Online at irs.gov
