When a Social Security number is not working, it almost always means the digits, name, or date of birth you gave don’t match what the Social Security Administration has on file. The mismatch might be a typo, a name you never updated after marriage or divorce, a brand-new number that hasn’t propagated through federal databases, an erroneous death record, or someone else using your number. The cause decides the fix, and one of those causes needs same-day attention.
Start by Ruling Out a Typo
Before assuming anything is wrong with your record, check the digits. A single transposed number, an extra space, or a misread digit off a worn card is the most common reason an SSN fails validation on online forms, employment paperwork, and tax software. Pull your physical card or sign in to your my Social Security account at ssa.gov and compare every digit. If the number you entered was wrong, correct it and resubmit. That resolves most cases before any real troubleshooting begins.
Name or Date of Birth Doesn’t Match SSA
Your SSN is tied to a specific name and date of birth in SSA’s database. Even when the nine digits are right, the number will not verify if the name or birthdate you gave doesn’t match what SSA has. This catches people after a name change from marriage, divorce, or a court order that they never reported to SSA. Every system that cross-checks your SSN against SSA records will flag the mismatch until you update it.
To update your name, submit an Application for a Social Security Card (Form SS-5) with proof of the name change and proof of identity. Acceptable name-change documents include a marriage certificate, divorce decree, or court order. Proof of identity and citizenship can be a U.S. passport or a birth certificate. SSA requires original documents or copies certified by the issuing agency; photocopies and notarized copies are not accepted.1Social Security Administration. U.S. Citizen – Adult Name Change on Social Security Card
Date-of-birth errors are less common but do happen, especially when a parent filed the original SSN application at birth. The fix follows the same path: Form SS-5 with a birth certificate showing the correct date.2Social Security Administration. Application for a Social Security Card
New SSN That Hasn’t Propagated Yet
A recently issued number, whether for a newborn, a new immigrant, or someone with new work authorization, may not appear in every verification system right away. SSA typically mails new or replacement cards within 7 to 10 business days, but that timeline measures card delivery, not database propagation.3Social Security Administration. How Long Will It Take to Get a Social Security Card Third-party systems that check your SSN against federal databases may take additional time to sync.
This delay hits immigrants and new residents hardest. When an SSN is assigned through U.S. Citizenship and Immigration Services, systems like SAVE (Systematic Alien Verification for Entitlements) sometimes require additional processing. As of March 2026, additional verification through SAVE takes approximately 20 federal workdays.4U.S. Citizenship and Immigration Services. SAVE Verification Response Time If your number was just issued and isn’t verifying, waiting two to four weeks before retrying with employers or benefit agencies often resolves the problem on its own.
Erroneous Death Record
SSA processes over 3 million death reports annually, and a small percentage are wrong. When SSA’s records incorrectly list you as deceased, your SSN effectively stops working everywhere: banks freeze accounts, benefit payments stop, tax returns get rejected, and credit applications fail. The effects are immediate and severe.
If you suspect this has happened, visit your local Social Security office as soon as possible. Bring a current, unexpired form of identification such as a passport, driver’s license, or military ID. SSA staff will review your documents, research what went wrong, and correct your record. These cases are supposed to be handled the same day without an appointment. Once your record is corrected, SSA will give you an “Erroneous Death Case – Third Party Contact” notice, a letter you can show to banks, employers, insurers, and anyone else who rejected your SSN because of the error.5Social Security Administration. Someone Else Is Using Your Number
When the ordinary causes are ruled out, an SSN that won’t verify may signal that someone else is using your number. Warning signs include unfamiliar accounts on your credit report, unexpected bills or collection notices, a tax return rejected because one was “already filed” under your SSN, or an employer telling you your number is flagged.

The FTC collects the report and generates a personalized recovery plan.6Social Security Administration. Fraud Prevention and Reporting Consider placing a fraud alert or credit freeze with the three major credit bureaus to prevent new accounts from being opened in your name.
One side effect worth knowing. A fraud alert on your credit report can block you from creating a my Social Security online account. If that happens, you have two options: create the account through ID.me, which bypasses the credit-report check, or make an appointment at your local Social Security office and create the account in person without removing the alert.7Social Security Administration. SSA also offers voluntary account protections. An eServices block prevents anyone from viewing or changing your personal information online. A Direct Deposit Fraud Prevention block stops changes to your payment routing. Both require an in-person office visit to remove later, which is the point: they make it harder for a thief to redirect your benefits.6Social Security Administration. Fraud Prevention and Reporting
When It Blocks a Tax Return
An SSN that doesn’t match SSA records will cause the IRS to reject an electronically filed return. The IRS cross-checks every SSN, name, and date of birth against SSA’s database. Misspelled names, truncated names, and incorrectly hyphenated last names all trigger rejections.
If your e-filed return is rejected, you can usually correct the error and resubmit electronically. If the underlying problem is with SSA’s records rather than a typo, you can file a paper return instead. To file on paper after a rejection, your return must be postmarked by the later of the original due date (including extensions) or 10 calendar days after the IRS notifies you of the rejection. Write “Rejected Electronic Return” with the rejection date in red at the top of the first page, include a copy of the rejection notice, and mail it in.8Internal Revenue Service. SSN problems also create issues outside filing season. If you can’t provide a valid SSN on a Form W-9 when a bank, broker, or client requests one, the payer is required to withhold 24% of your reportable payments and send it to the IRS as backup withholding. You can claim that money back when you file, but it ties up cash flow in the meantime.9Office of the Law Revision Counsel. 26 U.S. Code 3406 – Backup Withholding
ITIN Versus SSN
An Individual Taxpayer Identification Number looks similar to an SSN but serves a narrower purpose. ITINs are issued to people who need to file federal tax returns but aren’t eligible for a Social Security number. An ITIN works for tax filing and nothing else. It doesn’t authorize employment, doesn’t qualify you for Social Security benefits, and won’t verify in systems that require an SSN.10Internal Revenue Service. When It Blocks a Job
Many employers use E-Verify to confirm that new hires are authorized to work. E-Verify checks your SSN against SSA and Department of Homeland Security databases. When the information doesn’t match, E-Verify issues a Tentative Nonconfirmation, and your employer must give you a written Further Action Notice explaining the mismatch in private.
Your employer cannot fire you, suspend you, withhold pay, delay your start date, or take any other adverse action while you’re resolving a mismatch. You have the right to keep working during the entire process.11E-Verify. Employee Rights and Responsibilities
You have 10 federal government working days after E-Verify issues the mismatch to tell your employer whether you want to contest it. If you contest, your employer refers the case to SSA or DHS, and you’ll get a Referral Date Confirmation with a deadline to visit your local SSA office or contact DHS. If the mismatch came from a simple data entry error, tell your employer right away so they can correct it in the system.12E-Verify. How to Process a Tentative Nonconfirmation (Mismatch) If you receive a Final Nonconfirmation after review, you or your employer can request additional review by calling E-Verify at 1-888-464-4218.
