Common proof of income examples include pay stubs, W-2 forms, federal tax returns, 1099 forms, bank statements, and Social Security benefit verification letters. Which of these you’ll actually need depends on how you earn your money and who’s asking. A landlord screening a rental application, a mortgage underwriter, and a family court judge all want the same underlying facts — how much you make and how reliably — but they weigh the documents differently.
If You Earn Wages From an Employer
Your pay stub is the quickest proof. A useful one shows your name, the pay period, gross and net earnings, tax withholdings, and year-to-date totals. Landlords and other non-lending reviewers generally accept the most recent two to three months of pay stubs on their own.
Mortgage lenders want more. They typically ask for your most recent pay stub plus W-2 forms covering at least the past year, and two years of W-2s if your income includes bonuses, overtime, or commissions.1Fannie Mae. Income and Employment Documentation for DU The W-2 covers a full calendar year of wages, tips, and withholdings, and every employer who withholds taxes must send you one by January 31 of the following year.2Office of the Law Revision Counsel. 26 USC 6051 – Receipts for Employees Because the IRS receives the same form, W-2 numbers are hard to fake without triggering a mismatch during verification.
An employment verification letter from your employer’s HR department confirms your job title, pay rate, and current status. It works well as a supplement to pay stubs and W-2s, not a replacement. For mortgages, the lender will usually send its own verification request directly to your employer.1Fannie Mae. Income and Employment Documentation for DU
If You’re Self-Employed or Work Gigs
For freelancers, independent contractors, and small business owners, the federal tax return is the single most important document. Lenders look at your Form 1040 and the attached Schedule C, which shows business revenue minus deductible expenses. The net profit on Schedule C is what underwriters use to size a loan. Most mortgage lenders want two full years of returns to see a consistent pattern.
Alongside the return, 1099 forms confirm what clients paid you. When a business pays you for services, it files a 1099-NEC once payments cross the reporting threshold.3Office of the Law Revision Counsel. 26 USC 6041A – Returns Regarding Payments of Remuneration for Services and Direct Sales For 2026, that threshold rose from $600 to $2,000 for most information returns.4Internal Revenue Service. 2026 Publication 1099 (Draft) The 1099-MISC covers other payment types like rents and prizes. Neither form accounts for your expenses, so lenders always read them alongside your return.
Rideshare, delivery, and freelance platform income works the same way: 1099s in, Schedule C out, net profit on the return.5Fannie Mae. Leveraging Variable and Gig Income to Expand Access to Homeownership If you’re paid through a third-party payment network, the platform files a 1099-K only when your gross payments exceed $20,000 and you have more than 200 transactions in a year.4Internal Revenue Service. 2026 Publication 1099 (Draft) Below that, you still owe tax on the income and lenders still want to see it documented.
Bank Statements and Profit-and-Loss Statements
Tax returns lag reality by months. To close the gap, lenders often ask self-employed borrowers for bank statements. Some non-traditional mortgage programs actually use 12 to 24 months of personal or business statements as the primary proof of income, calculating an average monthly figure from total deposits.
A profit-and-loss statement — a plain summary of business income and expenses — adds another layer. Paired with matching deposits on your bank statements, it shows the business is still running at the level you’re claiming. Gaps between reported income and actual deposits invite questions.
If Your Income Comes From Benefits or Retirement
For Social Security, the standard document is a benefit verification letter. You can download it instantly through your free “my Social Security” account, or request one by calling 1-800-772-1213.6Social Security Administration. Get Benefit Verification Letter The letter reflects your current benefit amount and Medicare status. Lenders usually want a current copy because cost-of-living adjustments change the payment each year.
SSDI and SSI look different on paper even though both come from the Social Security Administration. SSDI can be taxable, so it appears on tax documents. SSI is not taxable and won’t show up on a return.7USAGov. SSDI and SSI Benefits for People with Disabilities For SSI recipients, the benefit verification letter may be the only official record of the income.
Pension recipients rely on the annual 1099-R, which the plan administrator sends each year showing the gross distribution and any taxes withheld. Unemployment benefits count as income for some purposes, but lenders view them as temporary and often won’t use them for long-term loan qualification.
If You Receive Court-Ordered or Passive Income
Alimony, child support, and settlement payments can count toward your qualifying income, but they need extra paper. You’ll need the court order or divorce decree establishing the payment, plus bank statements showing you’ve actually been receiving it. For FHA and conventional mortgages, court-ordered income generally has to be expected to continue for at least three years from the application date to count.8HUD. Section E – Non-Employment Related Borrower Income Payments scheduled to end sooner may be excluded.
Passive income has its own forms. Dividends over $10 in a year are reported on 1099-DIV.9Office of the Law Revision Counsel. 26 USC 6042 – Returns Regarding Payments of Dividends and Corporate Earnings and Profits Interest appears on 1099-INT. Rental income is documented with signed leases, a Schedule E on your tax return, and bank statements confirming the deposits. Because these streams fluctuate, lenders typically want several months of statements to see the income arriving consistently.
How Lenders Verify What You Submit
Mortgage lenders rarely stop at the documents you hand them. Through the IRS Income Verification Express Service, a lender submits Form 4506-C with your signed authorization and receives a transcript of your tax return data straight from the IRS.10Internal Revenue Service. Income Verification Express Service for Participants A transcript isn’t a copy of your return; it’s a summary of the line items the IRS actually has on file. Any alteration to a return before submission shows up as a mismatch, which is why the transcript is treated as one of the most reliable forms of verification.
You can pull your own transcript for free through the IRS website. That’s useful when you need to document income for a rental application, a court proceeding, or any other situation where you’re the one producing the paperwork.
Protecting Your Information When You Share Documents
Income documents carry sensitive data: Social Security numbers, bank account numbers, employer details. Before sending copies to a landlord or any non-institutional third party, redact the full Social Security number down to the last four digits, and do the same for bank account numbers. Keep your name, employer, pay amounts, and dates readable, because those are what the reviewer actually needs to see. Use the redaction tool built into your PDF software rather than drawing black boxes over text, since drawn shapes can sometimes be moved or the text underneath copied out.
You generally don’t need to redact anything for a mortgage lender or a bank, which need the full information to verify it and operate under federal privacy rules. The caution applies to less formal situations — rental applications, private loans, disputes — where your documents pass through hands that aren’t bound by those same safeguards.
