NatWest Onecard Application Form: Eligibility, Steps, and Costs

A NatWest Onecard application is completed online by an existing NatWest business customer whose organisation has annual turnover of £2 million or more. You fill in the form on the NatWest business banking site, provide details for the programme administrator, up to two authorised signatories, and each employee cardholder, and submit electronically. Most applicants get a decision in about a minute; where further checks are needed, it can take up to nine working days. Approved cards and PINs are posted separately and arrive within 10 to 12 business days.1NatWest. Business Onecard2NatWest. How Will I Know If My Card Application Was Successful

Whether Your Business Qualifies

You need an existing NatWest business current account before you apply. If you don’t have one, open the account first, then come back to the card application.1NatWest. Business Onecard

Beyond the account, the organisation has to be one of these:

  • A UK-registered limited company.
  • A partnership with four or more partners.
  • A charitable incorporated organisation (charities without individuals acting as trustees).
  • A UK public sector organisation, applying under the Public Sector Card framework agreement.

Annual turnover must be £2 million or above.3NatWest. Commercial Cards Sole traders, freelancers, and partnerships with fewer than four partners are not eligible. The person applying needs to be a UK resident aged 18 or over.1NatWest. Business Onecard

NatWest runs a credit assessment as part of the application, and standard anti-money-laundering checks apply to the business and its key individuals.

What to Have Ready Before You Start

Pull these together first. A missing detail can stall the form or force you to start over.

  • Your NatWest business account number and sort code.
  • The name and contact details of the programme administrator who will run the card programme day-to-day.
  • Details for up to two authorised signatories with authority to bind the company. These need to match bank records or Companies House filings exactly.
  • For every employee who will get a card: full name, date of birth, and residential address.

These come straight from the application flow.1NatWest. Business Onecard

You may also be asked to verify identity for directors or signatories. A passport, driving licence, or EU/EEA national ID card works for identity. A bank statement, council tax bill, or utility bill works for address. Documents must be in date, legible, and match the application details.4NatWest. Our Trusted Online Identification Partner

Working Through the Online Form

Go to the Onecard page on the NatWest business banking site and select “Ready to apply.” The form first asks whether you’re a new or existing business customer, then checks annual turnover. Anything below £2 million and the application won’t proceed.1NatWest. Business Onecard

Organisation and Administrator

Enter the business registration details, including the registered office address and company number. You’ll also give total annual turnover and anticipated monthly spend across the card programme. Those figures feed directly into the overall credit limit NatWest sets for the account, so estimate them honestly rather than rounding up. Then fill in the programme administrator section. This is the person NatWest will contact about ongoing card management.

Cardholder Entries

For each employee, enter full name, date of birth, and residential address. You can set a monthly spending limit and a single-transaction limit per cardholder, which is useful for keeping junior staff on tighter limits than senior managers. Getting these right at the outset saves work later, though everything can be adjusted through ClearSpend once the programme is live.

Signatories and Declaration

List up to two authorised signatories. NatWest checks these names against its own records and Companies House filings, so a mismatch will flag. The business declaration confirms the organisation accepts liability for all debts on the cards and agrees to the commercial card contract. Read it before submitting; once you’re through, the company is responsible for every transaction across the programme.

Submitting the Application

The standard route is digital. Submit online and NatWest usually returns a decision in about a minute. If further checks are needed the wait can stretch to nine working days.2NatWest. How Will I Know If My Card Application Was Successful

If you prefer paper, or your Relationship Manager suggests it, download the PDF application from the Onecard forms and guides page.5NatWest. Onecard Forms and Guides Post the completed form to: NatWest, Commercial Cards Division, Cards Customer Services, PO Box 5747, Southend-on-Sea SS1 9AJ. Expect the paper route to take longer, given postal transit and manual entry at the processing centre.

If the underwriting team needs anything more, such as audited financial statements or extra identity proof for a cardholder, they’ll contact the programme administrator directly. A named contact with a direct phone number on the form helps.

What the Card Costs

The Onecard has an annual fee of £45 per cardholder. The fee doesn’t apply to lodge accounts or virtual accounts. The main charges to budget for:1NatWest. Business Onecard

  • Monthly interest of 1.6% on any balance not cleared by the due date.
  • Non-sterling transactions: 2.95% of the transaction value, converted at the Mastercard exchange rate, normally at the time of purchase.
  • Cash advances: 2.95% of the amount withdrawn, minimum £2.95.

NatWest also offers optional grace periods that push the payment date beyond the standard due date. Seven days is free. Fourteen days costs 0.45% of the statement balance, 21 days costs 0.55%, and 28 days costs 0.70%. Those percentages are monthly, so a large statement balance and a longer grace period add up quickly.

After Approval

NatWest confirms approval by text message. Cards and PINs are dispatched separately to the business address and land within 10 to 12 business days. The split delivery is a security measure: if one envelope goes astray, nobody can activate the card without the other. Declined applications get an email or text instead.1NatWest. Business Onecard

From this point the programme administrator runs everything through ClearSpend, NatWest’s online management platform. ClearSpend shows every cardholder’s transactions and balance in real time, lets you set daily, monthly, or per-transaction limits, block specific merchant categories, and close a card instantly if an employee leaves.6NatWest. ClearSpend

The Onecard also includes corporate liability waiver insurance underwritten by certain underwriters at Lloyd’s of London, covering the business against employee misuse up to £1.5 million per year, with individual cardholders covered up to £50,000 per year. Reasonable internal controls around card use are still expected.1NatWest. Business Onecard

Adding Cardholders Later

Once the programme is running you don’t reapply to add people. For a single new cardholder, NatWest offers a digital form. For two to four at once, download the PDF additional cardholder form from the Onecard forms and guides page.7NatWest. Manage Your Business Credit Card and Onecard The same page hosts amendment forms for changing card limits and direct debit mandates, plus the full Onecard terms and conditions.5NatWest.
