A money order research request form is what you file with the issuer to trace a money order that’s lost, stolen, damaged, or never cashed by the person you sent it to. Submitting it tells the issuer to look up the serial number, confirm whether the money order has cleared, and either send you a photocopy of the cashed instrument or refund the face value if it’s still outstanding. The form, the fee, and the wait depend on who issued the money order, but the mechanics are close enough across USPS, Western Union, and MoneyGram that you can prepare the same way for all three.
Information the Form Requires
The most important item is the serial number from your purchase receipt, usually an eleven-digit number. With it, the issuer pulls up your transaction directly. Without it, staff have to search sales records manually, which slows everything down and can make the result less definitive.
You’ll also need:
- The exact dollar amount, down to the cent
- The date of purchase shown on the receipt
- The purchase location: store name, city, and state
- Your full name, mailing address, and phone number
- The payee name, if you wrote one in at the time of purchase
Keep the receipt stub from the moment you buy the money order. It’s the single piece of paper that makes every later step easier.
Filing With USPS
The USPS form is PS Form 6401, available at any post office counter. The clerk should check your serial number, date, post office number, and dollar amount against the receipt before accepting it.1United States Postal Service. Filing With Western Union
Western Union takes refund and research requests online at westernunion.com. You enter the eleven-digit serial number and dollar amount to check the money order’s status, then complete the form with purchase details, your reason for the request, and contact information. The fee depends on the face value:
- $5.00 or less: no fee
- $5.01 to $99.99: $5.00
- $100.00 or more: $15.00
The fee is non-refundable and comes out of the money order’s face value if a refund is approved.3Western Union. Money Order Refund Request
Filing With MoneyGram
MoneyGram handles requests through an online portal and by phone at 1-800-542-3590. A photocopy of a cashed money order costs $18.00. Refund fees vary by face value.4MoneyGram. MoneyGram Money Order Frequently Asked Questions Starting the request online through the portal tends to move faster than calling.
Whichever issuer you use, hold onto the confirmation number or mailing receipt after you submit. That’s your proof the request was filed, and you’ll need it to follow up.
If You Lost the Receipt
This is where most people get stuck. Without the receipt, you don’t have the serial number, and the trace becomes a search through millions of transactions instead of a direct lookup. It still works, but expect longer processing and possibly a weaker result.
For USPS money orders, contact the Accounting Help Desk at 1-866-974-2733 (Monday through Friday, 8 AM to 8 PM Eastern) or helpdeskaccounting-st.louis@usps.gov. Staff may be able to locate the transaction using your purchase location, approximate date, and dollar amount.5United States Postal Service. Money Orders Western Union will accept a research request without proof of purchase, but include whatever documentation you have, such as the store receipt or a police report referencing the money order number.3Western Union. A practical shortcut: check your bank or debit card statement. If you paid for the money order with a card, the amount and date on your statement can help the issuer narrow the search.
How Long It Takes and What You Get Back
Processing times depend on the issuer and how complete your information is.
- USPS: confirming a money order is lost or stolen takes up to 30 days. A full investigation into whether it was cashed takes up to 60 days. If uncashed, USPS issues a refund after the 60-day mark.1United States Postal Service. PS Form 6401 – Money Order Inquiry
- Western Union: with proof of purchase, refunds process within 5 business days of approval. Without proof of purchase, expect 2 to 4 weeks while a search is conducted.3Western Union. Money Order Refund Request
- MoneyGram: plan on several weeks.
When the investigation finishes, one of two things happens. If the money order was cashed, the issuer sends you a photocopy of the front and back showing the endorsement signature, so you can see who cashed it and where.6Western Union. Money Order Research or Photocopy Request If it hasn’t been cashed, you’ll typically receive a refund of the face value (minus the processing fee) or a replacement.
What Uncashed Money Orders Lose Over Time
Whether waiting costs you anything depends on the issuer. USPS money orders never expire and don’t accumulate fees or interest while sitting uncashed.2United States Postal Service. Money Orders You can file a research request years later without worrying that the balance has eroded.
Private issuers work differently. Many states allow Western Union and MoneyGram to charge dormancy fees on uncashed money orders, sometimes starting as early as the 13th month after purchase. These fees commonly run up to $2.00 per month and come straight out of the face value. A $50 money order sitting uncashed for two years with monthly deductions may have very little left to refund. State laws cap these charges differently, so the exposure depends on where you bought it.
If the Trace Shows Fraud
When the photocopy comes back with a forged endorsement or someone else’s name on the back, the situation stops being a trace and becomes a fraud case. The photocopy is your evidence that someone intercepted and cashed the money order.
The institution that cashed the money order generally bears liability for accepting a forged endorsement.7HelpWithMyBank.gov. My Bookkeeper Forged the Endorsement on Checks. What Can I Do? Recovery usually involves law enforcement. For USPS money orders, report the fraud to the United States Postal Inspection Service online at mailtheft.uspis.gov or by calling 1-877-876-2455.8United States Postal Inspection Service. Report For Western Union or MoneyGram money orders, file a police report with your local department and keep a copy; both issuers may require it during the claims process.
Fraud investigations take considerably longer than standard research requests, and the issuer typically considers its role finished once it provides the photocopy. Recovering the funds may require pursuing the person who forged the endorsement or the institution that cashed it, which can mean small claims court or continued work with law enforcement.
If the Issuer Denies Your Claim
Issuers sometimes deny refund requests because the investigation is inconclusive or because they’ve decided the money order was legitimately cashed. Once you’ve exhausted the issuer’s internal process, you can file a complaint with the Consumer Financial Protection Bureau. The CFPB accepts complaints about money services, including money orders, at consumerfinance.gov/complaint.9Consumer Financial Protection Bureau. Submit a Complaint
Include a clear description of the problem with key dates and dollar amounts, copies of your research request form and any response from the issuer, and your contact information. The CFPB forwards the complaint to the company, which generally responds within 15 days; more complex cases can take up to 60 days for a final answer. You then have 60 days to review the response and provide feedback through the portal.9Consumer Financial Protection Bureau. Submit a Complaint
This route works best when you have documentation showing the issuer made an error or failed to follow its own procedures. Without that paper trail, the complaint may not change the outcome, but it creates an official record and often prompts a second look from the company’s compliance team.
