Check the face of the money order or your purchase receipt before you do anything else. Filing the wrong issuer’s form gets you nowhere.

USPS Postal Money Orders

PS Form 6401, titled “Money Order Inquiry,” is the document for requesting a refund or a copy of a cashed postal money order. Pick one up at any post office or download it from the USPS website. MoneyGram Money Orders

MoneyGram’s downloadable Money Order Search Form is built for cases where you don’t know the serial number. It asks for the exact purchase amount, exact purchase date, the payee’s name, the store where you bought it (with address and phone number), and your full contact information. What the Form Will Ask For

Every issuer wants the same core facts: the serial number, the exact dollar amount, the purchase date, and the location of purchase. The serial number matters most. Without it, the issuer has to run a manual search of transaction records, which takes longer and costs more.

Your original purchase receipt is where all of that information lives. It’s also your proof that you’re the buyer and that the instrument hasn’t been surrendered for payment. Photocopy it before sending anything in. If the original is lost during the claims process, you can end up starting over.

Filing Without a Receipt

Losing the receipt doesn’t end your claim, but it slows everything down.

Western Union’s online portal will accept “any other proof of purchase that you may consider necessary,” and the specific fallback the company names is the original store receipt combined with a police report referencing the money order number. Fees vary widely, and the differences are large enough to affect whether it’s worth pursuing small amounts.

USPS

For online portal refunds, fees are tiered by face value:

  • $5 or less: no fee
  • Above $5 but under $100: $5
  • $100 or more: $15

If you’re mailing any of these forms, use a tracked delivery method. A lost submission means starting over, and the processing fee doesn’t come back.

How Long It Takes

USPS will issue a refund 60 days or later from the money order’s original issue date, or provide a copy of the cashed money order if it was already redeemed. Western Union’s online portal processes approved requests within five business days, after which you pick up the refund at an agent location. Approval or denial arrives by email.3Western Union. If It’s Already Been Cashed

Once a money order has been cashed, a refund is off the table. Issuers won’t replace or refund a redeemed instrument. What you can get instead is a photocopy showing both sides, including the endorsement on the back. That photocopy is your main evidence for figuring out what happened.

If the endorsement shows someone other than the intended payee cashed it, you’re looking at possible theft or fraud. File a police report right away. It creates a record that can support a fraud investigation, and some issuers require one before they’ll release the photocopy or cooperate further. Recovering the money at that point usually means pursuing the person who cashed it, not the issuer.

Lost or Stolen Money Orders

A lost money order and a stolen one call for the same first move: file the refund request as fast as possible. Once someone cashes it, the issuer generally won’t refund you.

Dormancy Fees and State Unclaimed Property

Western Union works differently. After one year from purchase (three years in California), the company starts deducting a monthly service charge from the face value. The standard charge is $1.50, but it varies by state: $0 in Connecticut and Puerto Rico, $0.25 in California, $0.40 in Maryland, $1 in Texas, $2 in New Jersey starting in the 13th month, and a flat $12 per year in Minnesota. MoneyGram money orders also don’t technically expire but may begin losing value to service charges after about a year of inactivity. Check the back of the instrument for the specific terms.

There’s one more deadline to keep in mind. Under state unclaimed property laws, money order funds that go unclaimed for a set number of years (typically around five, though it varies by state) are turned over to the state’s unclaimed property program. After that, you claim the money from the state rather than the issuer. The money is still recoverable, but the process adds another layer to work through.
