Fees run from nothing to $21 depending on the issuer and the face value, and you should expect anywhere from five business days to two months for a result.

What to Gather Before You File

Your purchase receipt is the single most important document. It carries the serial number, the exact dollar amount, and the purchase date, and every issuer uses those three details to locate the transaction. Without the receipt, the process gets slower, harder, and in some cases more expensive.

You will also need your full name, current mailing address, and a phone number or email. Every entry on the form has to match your receipt exactly. A wrong dollar amount or a misspelled name can get the request kicked back, and resubmitting restarts the clock. Check it twice before you send it.

Filing PS Form 6401 for a USPS Money Order

For a postal money order, the form is PS Form 6401, titled “Money Order Inquiry.” Pick one up at any post office or download it from the USPS website. USPS charges a $21.00 processing fee to replace a lost or stolen money order.2United States Postal Service. Filing a Western Union Claim

Western Union splits the process depending on whether you still have the receipt.

Online Refund Request With the Receipt

If you have the receipt with the barcode, submit a refund request through Western Union’s website. The fee scales with face value: nothing for money orders of $5 or less, $5 for amounts above $5 but under $100, and $15 for money orders worth $100 or more. The fee comes out of the refund rather than being paid upfront. Research or Photocopy Request Without the Receipt

If the receipt is gone, or you need a copy of a money order that has already been cashed, file Western Union’s “Money Order Research or Photocopy Request” form. Mail it to Western Union Financial Services, Inc. at P.O. Box 7030, Englewood, CO 80155, along with a $15.00 non-refundable administrative fee paid by money order or check.4Western Union. Processing takes six to eight weeks. Western Union then mails you one of two results: a photocopy of the cashed money order showing front and back, or confirmation that it has not been cashed, in which case you can request a refund.4Western Union. Money Order Research or Photocopy Request

Filing a MoneyGram Refund Request

MoneyGram handles refund requests for uncashed money orders online. After you submit the request, MoneyGram emails a reference number within about seven business days. Take that number and a photo ID to any MoneyGram location to collect the refund in person.5MoneyGram. Refund

Refund fees vary by face value and are shown when you begin the request online. If you need a photocopy of a cashed money order instead of a refund, the processing fee is $18.5MoneyGram. Filing Without a Receipt

Losing the receipt makes recovery harder but not impossible. Without the serial number, the issuer searches its records using secondary details: the approximate purchase date and time, the store or post office where you bought it, the exact dollar amount, and the names of the sender and intended recipient. The more precise you can be, the better.

For Western Union, no receipt means you have to use the paper research form instead of the faster online process, and the $15 fee applies regardless of face value.4Western Union. Either way, expect the process to take considerably longer than it would with a receipt in hand.

If you bought the money order at a retailer, the store may still have a record of the transaction tied to the register or the date. Calling before you file and asking for any transaction details they can pull up can supply the secondary information the issuer needs.

When the Money Order Has Already Been Cashed

If the investigation shows the money order was cashed, no refund follows. You receive instead a photocopy showing the front and back of the cashed item, including the endorsement signature and any deposit information.6Western Union. That photocopy is your evidence. If the endorsement signature does not belong to the intended recipient, someone cashed your money order without authorization. File a police report with the photocopy attached. The report creates an official record you may need to pursue the matter further. Some issuers also have a separate fraud claims process, though recovering funds is rarely quick or guaranteed once a third party has cashed the instrument.

Why Speed Matters

Money orders do not support stop-payment orders. You cannot call the issuer and block one from being cashed. The window between losing a money order and someone else presenting it for payment is the only window you have. File the customer request form as soon as you realize the money order is missing. Once it has been cashed, your only recourse is the photocopy and whatever fraud investigation follows.
