Mailing your tax return to the IRS is valid filing as long as the envelope reaches the correct processing center with the right forms, a signature, and enough postage, and the postmark falls on or before the deadline. For tax year 2025, that deadline is Wednesday, April 15, 2026. Paper returns are slower than electronic ones — plan on at least six weeks before the IRS acknowledges receipt — but the mechanics are straightforward once you know what to include, where to send it, and how to prove you mailed it in time.
What to Put in the Envelope
Use Form 1040. If you’re 65 or older, Form 1040-SR is an optional alternative with larger print and the same schedules and instructions.1Internal Revenue Service. About Form 1040, U.S. Individual Income Tax Return Both are on irs.gov, and during filing season many public libraries and post offices stock printed copies.
Attach the federal copy of every Form W-2 to the front of your 1040, along with any Form 1099 that shows federal income tax was withheld. If you want your refund deposited directly, fill in your routing and account numbers on the return and check them against your bank records before signing; a transposed digit can send the money to the wrong account or force the IRS to mail a paper check instead.2Internal Revenue Service. Get Your Refund Faster: Tell IRS to Direct Deposit Your Refund to One, Two, or Three Accounts To split a refund across two or three accounts, attach Form 8888.
Sign the return before you seal the envelope. The signature line is a declaration under penalties of perjury that the information is true and complete, and on a joint return both spouses must sign.3Internal Revenue Service. Form 1040, U.S. Individual Income Tax Return An unsigned return, or a joint return with only one signature, comes back to you and burns weeks off your filing window.
If you owe, include Form 1040-V, the payment voucher, with a check or money order.4Internal Revenue Service. About Form 1040-V, Payment Voucher for Individuals Make the check payable to “U.S. Treasury,” not “IRS” or “Internal Revenue Service.” On the check, write your Social Security number, a daytime phone number, the tax year, and “Form 1040” so the payment posts to the right account.5Internal Revenue Service. Pay by Check or Money Order Don’t staple or paperclip the check to the return or voucher. The IRS processes payments separately, and attached checks slow that down. Just place the voucher and check loosely in the envelope with the return.
Where to Send It
Two things decide the address: the state you live in, and whether you’re enclosing a payment. The IRS runs regional processing centers in Austin, Kansas City, Ogden, and elsewhere, and each one handles a specific group of states. Returns with a payment go to a different P.O. Box than refund-only returns. Sending your envelope to the wrong center won’t void the filing, but it can add weeks.
Match your state to the correct destination on the IRS address table before you print the envelope.6Internal Revenue Service. Where to File Addresses for Taxpayers and Tax Professionals Filing Form 1040 Filers living abroad or using an APO/FPO military address follow a separate list.7Internal Revenue Service. International – Where to File Form 1040 Addresses for Taxpayers and Tax Professionals Check the current year’s instructions each time; addresses change periodically.
Using FedEx or UPS instead of the Postal Service? You cannot ship to a P.O. Box. The IRS publishes separate street addresses for private carriers, and only certain service tiers qualify under the timely-mailing rule.8Internal Revenue Service. Private Delivery Services (PDS)
Postage and Proof You Filed on Time
Most paper returns run several pages and weigh more than an ounce, so a single Forever stamp won’t cover the envelope. Weigh it at home or at the post office, or use the USPS online postage calculator. A return mailed with insufficient postage gets returned to you while the deadline keeps closing in.
The postmark date is what matters legally, not the date the return arrives. Under 26 U.S.C. § 7502, a return postmarked by the filing deadline is treated as filed on time even if it reaches the processing center days or weeks later.9Office of the Law Revision Counsel. 26 U.S. Code 7502 – Timely Mailing Treated as Timely Filing and Paying This is the “timely mailed, timely filed” rule, and it’s the single most important protection for anyone filing on paper.
To create proof of that postmark, send the return by USPS Certified Mail with a return receipt. The counter clerk hands you a date-stamped receipt (Form 3800), and the tracking number confirms delivery. The Taxpayer Advocate Service specifically recommends certified mail for this reason: if the IRS ever claims your return arrived late, the receipt is your evidence. Regular first-class mail is legally sufficient, but leaves you no proof of the mailing date if anything goes wrong.
Certain FedEx and UPS services also satisfy the timely-mailing rule. FedEx Priority Overnight and UPS Next Day Air are on the approved list; FedEx Ground is not. The IRS publishes the full list, and only listed services count.8Internal Revenue Service. Private Delivery Services (PDS) Using a non-approved tier from an otherwise approved carrier gives you no legal protection on the postmark date.
If You Can’t File by April 15
Mail Form 4868 to get an automatic six-month extension. It’s short: name, address, Social Security number, and an estimate of what you owe. It has to be postmarked by the original deadline to work.10Internal Revenue Service. Application for Automatic Extension of Time To File U.S. Individual Income Tax Return
An extension buys time to file, not time to pay. If you owe and don’t pay by April 15, interest and the failure-to-pay penalty start running immediately, even with an approved extension. Estimate as closely as you can and send a check with Form 4868 to hold those charges down. The mailing addresses for Form 4868 are not the same as the Form 1040 addresses, so use the destination listed in the form’s own instructions for your state.
What Happens After You Drop It in the Mail
Paper returns are slow. The IRS says to expect six or more weeks from the date it receives your return before a refund is issued. The “Where’s My Refund?” tool at irs.gov won’t find your return until about four weeks after you mail it.11Internal Revenue Service. Refunds Before that four-week mark, checking the tool won’t tell you anything.
The IRS does not send a physical acknowledgment that your paper return arrived. Your certified mail receipt and tracking record are your only proof of submission until the return posts to the system. If you gave bank information for direct deposit, your refund lands electronically; otherwise a paper check goes to the address on your return.
If the IRS finds an error while processing — a math mistake, a missing form, a Social Security number that doesn’t match — it will mail a notice to your address explaining what changed or what it needs from you. Watch your physical mailbox and your IRS online account for updates.
What It Costs to Miss the Deadline
Filing late triggers two penalties that run at the same time, plus interest on top of both.
The failure-to-file penalty is 5% of the unpaid tax per month or partial month, capped at 25%. If a return is more than 60 days late, the minimum penalty is $525 or 100% of the unpaid tax, whichever is less, for returns due after December 31, 2025, which includes the April 2026 deadline.12Internal Revenue Service. Failure to File Penalty
The failure-to-pay penalty is 0.5% of the unpaid balance per month, also capped at 25%.13Internal Revenue Service. Topic No. 653, IRS Notices and Bills, Penalties and Interest Charges Under an installment agreement, that rate drops to 0.25% per month. Interest compounds on top of both penalties at a rate the IRS adjusts quarterly; for the second quarter of 2026, the individual underpayment rate is 7%.14Internal Revenue Service. Quarterly Interest Rates
If you owe but can’t pay in full, file on time anyway. The failure-to-file penalty is ten times steeper than the failure-to-pay penalty, so filing on time with a partial payment beats not filing. You can apply for an installment agreement online if you owe $50,000 or less in combined tax, penalties, and interest, or by mailing Form 9465 for larger balances.15Internal Revenue Service. Payment Plans; Installment Agreements While a payment plan request is pending, the IRS is generally prohibited from levying your bank accounts or wages.
