ITA Airways Complaint Form: Deadlines, Claims, and Escalation

To file a complaint or compensation claim with ITA Airways, use the online complaint form at complaint.ita-airways.com, reachable from the passenger rights page under the Support section of the airline’s website.1ITA Airways. Passenger Rights The form handles cancellations, long delays, denied boarding, involuntary downgrades, diverted flights, and baggage problems (delay, damage, or loss). Phone lines exist for urgent rebooking and airport issues, but for formal complaints and money claims the airline directs you to the online form.

What to Gather Before You Open the Form

The system does not let you save a partial submission and come back to it, so pull everything together first. You will need:

  • Your booking code (PNR), a six-character alphanumeric code like ABCD12 found on your booking confirmation email or boarding pass.2ITA Airways. View and Manage Flight
  • Your ticket number, which begins with the airline code 055 and appears on your e-ticket receipt or itinerary confirmation.3ITA Airways. Change and Refund
  • The flight number and travel date, which the airline cross-checks against its operational logs.
  • Itemized receipts for any expenses you paid out of pocket: meals, hotel rooms, taxis, buses, metro. The airline expects them to be “reasonable given the waiting times,” so an airport meal will be reimbursed and a private car service will not.4ITA Airways. Delays and Cancelations
  • For baggage claims, the Property Irregularity Report (PIR) from the arrival airport, the baggage tag, your boarding pass, and a police report if items were pilfered.5ITA Airways. Baggage Assistance
  • A short written description of what happened. Stick to facts: what the disruption was, when it occurred, what the airline provided or refused, and what you spent.

One note on the ITA offer of assistance at the airport. If the airline offers meals, a hotel, or transport and you turn it down to make your own arrangements, the airline is not required to reimburse what you spend instead.4ITA Airways. Delays and Cancelations

Pick the Right Category and Watch the Deadlines

The form asks you to choose a category, which routes the claim to the correct team. Flight-disruption categories are straightforward: cancelled, delayed, denied boarding, downgraded, or diverted. Baggage categories carry their own filing windows, and missing them can sink an otherwise valid claim.5ITA Airways. Baggage Assistance

  • Damaged baggage: file the PIR at the airport, then submit the online form within seven days.
  • Delayed baggage: submit within 21 days from the date your belongings are returned.
  • Lost baggage: you have up to two years from the event. If the bag has been missing for two days after the PIR, send a detailed contents list with the PIR reference number and baggage tag to baggage@ita-airways.com or by fax at 06 65433114.
  • Pilfered items: submit within seven days of the PIR, or within 21 days of delivery if you noticed items missing after a delayed return. You will need a police report listing the items reported tampered with or missing.

For any baggage issue, the PIR filed at the arrival airport before you leave is the foundation of the claim. Without it, the airline has no record of the problem at the point it happened.

Filling In and Submitting the Form

Go to complaint.ita-airways.com, or reach it through the passenger rights page.1ITA Airways. Passenger Rights Enter your personal and contact information, select the claim category, input the booking code and flight details, and attach your supporting documents. Use the text field to describe the incident in your own words, in plain factual language.

Complete the security captcha and submit. An automated confirmation email should arrive with a case reference number. Save it. That number is what you will quote in every follow-up with the customer relations team. If no confirmation arrives within a few hours, check your spam folder and resubmit if needed.

What You Can Actually Claim

Most ITA Airways compensation claims fall under Regulation (EC) No 261/2004. It covers flights departing from an EU airport, and flights arriving in the EU on an EU carrier. Because ITA Airways is Italian, its inbound flights to the EU from anywhere in the world are covered too.6European Union. Air Passenger Rights

Compensation is tied to flight distance, not ticket price:

  • €250 for flights of 1,500 km or less.
  • €400 for intra-EU flights over 1,500 km, and other flights between 1,500 km and 3,500 km.
  • €600 for flights over 3,500 km.

These apply when your flight is cancelled with less than 14 days’ notice, when you arrive at your final destination three or more hours late, or when you are denied boarding against your will.6European Union. Air Passenger Rights

Separate from the flat payout, the airline owes you meals, refreshments, hotel stays when needed, and local transport during a covered delay or cancellation. If ITA cannot arrange these directly, pay out of pocket and claim reimbursement with your receipts. The flat compensation does not apply when the disruption stems from “extraordinary circumstances” outside the airline’s control, such as severe weather, air traffic management decisions, political instability, or security risks. Duty-of-care assistance still applies even then.6European Union. Air Passenger Rights

Baggage liability follows a different framework. International flights are governed by the Montreal Convention, which caps liability for lost, damaged, or delayed baggage at 1,519 Special Drawing Rights per passenger (roughly $2,000 USD, with the exact conversion floating).7ICAO. International Air Travel Liability Limits Set to Increase, Enhancing Customer Compensation For domestic flights within the United States, the Department of Transportation sets a minimum liability of $4,700 per passenger.8eCFR. 14 CFR Part 254 — Domestic Baggage Liability These are ceilings, not guarantees. You have to prove the value of what was lost or damaged, which is why receipts for expensive items in your luggage matter.

After You Submit

ITA Airways reviews claims against its operational records and the applicable legal framework. There is no officially published turnaround time; expect weeks rather than days. If the airline needs more documents, it will email you a specific request. Respond quickly. Unanswered document requests are one of the most common reasons claims stall.

Ticket refunds typically process within 7 to 20 business days depending on the original payment method, with credit card refunds usually faster than bank transfers. EC 261/2004 compensation is a separate payment from any ticket refund and may be offered as a bank transfer or, sometimes, a travel voucher. You are generally not required to accept a voucher if you prefer cash, because the regulation entitles you to monetary compensation.

If the Claim Is Denied or Ignored

If ITA Airways rejects your claim or does not respond, several routes remain open.

ENAC for Flights Within the EU

Italy’s national enforcement body for EC 261/2004 is ENAC (Ente Nazionale per l’Aviazione Civile). You can file with ENAC free of charge if the airline has not responded within six weeks of receiving your complaint, or if the response is unsatisfactory.9ENAC. Passenger’s Rights in Case of Denied Boarding, Cancellation or Long Delay Complaints go through ENAC’s Passenger Rights Protection online application at carta-diritti.enac.gov.it. You do not need a lawyer or a claims agency. If your disruption happened in another EU country, file with that country’s national enforcement body instead.

DOT for Flights Touching the United States

For flights to, from, or within the United States, the DOT’s Aviation Consumer Protection Division takes complaints. Try to resolve with ITA first, then file online at airconsumer.dot.gov or mail a written complaint to the Office of Aviation Consumer Protection, 1200 New Jersey Avenue SE, Washington, DC 20590.10U.S. Department of Transportation. File a Consumer Complaint Include full contact information, complete trip details, and a description of what went wrong. Once the DOT receives a complaint, it requires the airline to acknowledge it within 30 days and provide a written response within 60 days. The DOT uses complaints for monitoring and targeted reviews and does not investigate every individual case.

Small Claims Court

When regulators do not produce a result, small claims court is a practical last stop for the amounts most flight-disruption cases involve. Filing fees vary by jurisdiction but typically run between $30 and $75. EC 261/2004 amounts fall well within small claims limits in most areas, and you do not need a lawyer. Bring your original claim, the airline’s response or proof of no response, your receipts, and documentation of the disruption.

When to Call Instead

Phone support is the right choice for time-sensitive problems: rebooking after a cancellation, checking flight status, or resolving a boarding issue at the airport. From the United States, ITA Airways runs a 24-hour English and Italian line at +1 877 793 1717. From Italy, +39 06 8596 0020 is open daily from 7 a.m. to 10 p.m. Country-specific numbers exist for the UK, Canada, France, Germany, and dozens of others.11ITA Airways. Contact For formal complaints and compensation, though, the online form remains the correct channel. Social media accounts on X and Facebook can produce quick answers to general questions but are not a substitute for the formal claims process when money is on the line.
