IRS Form 8879-CORP Instructions: Officer PIN, ERO, and Filing Rules

To fill out Form 8879-CORP, finalize the corporate return first, then have the Electronic Return Originator (ERO) enter the income and tax figures in Part I, have an authorized corporate officer select a five-digit PIN and sign Part II, and have the ERO complete Part III with their EFIN and PIN before transmitting the return. The form authorizes the e-filing of a Form 1120-series return using a PIN as the officer’s electronic signature, and it stays with the ERO rather than being sent to the IRS.

Confirm Who Is Allowed to Sign

Signature authority is limited. The officer who signs must be the corporation’s president, vice president, treasurer, assistant treasurer, chief accounting officer, or another officer the corporation has specifically authorized to sign tax returns.1eCFR. 26 CFR 1.6062-1 – Signing of Returns, Statements, and Other Documents Made by Corporations If a fiduciary is responsible for the corporation’s income, that fiduciary signs. For a foreign corporation filing through an agent, the agent signs.

The form covers the Form 1120 series: Form 1120, Form 1120-F, Form 1120-H, and Form 1120-S.2Internal Revenue Service. Form 8879-CORP – E-file Authorization for Corporations

Finalize the Return Before You Start

Part I pulls numbers directly from the finished return, so the return has to be complete before you fill out the form. If any figure on the return changes after the officer signs, you cannot just correct the 8879-CORP. The ERO has to prepare a new form with the updated figures and get a fresh signature. There is no workaround.

Complete Part I: Return Figures

Part I is the ERO’s section. Every amount is entered in whole dollars only, and the figures must match the electronically filed return exactly. A mismatch on even one line will cause the IRS to reject the transmission. Where a line does not apply, enter zero rather than leaving it blank.2Internal Revenue Service. Form 8879-CORP – E-file Authorization for Corporations

The total income line depends on which return the corporation is filing:

  • Line 1: total income from Form 1120, line 11.
  • Line 2: total income from Form 1120-F, Section II, line 11.
  • Line 3: total income (or loss) from Form 1120-S, line 6.
  • Line 4: for any corporate return not listed above, the ERO enters the form number and the corresponding total income figure.

Additional lines capture the total tax, any overpayment, and the balance due. Those come straight from the return as well.

Complete Part II: Officer PIN and Signature

Part II carries the legal weight. By signing it, the officer declares under penalties of perjury that the amounts in Part I match the corporation’s electronic return and that the return is true, correct, and complete.2Internal Revenue Service. Form 8879-CORP – E-file Authorization for Corporations

Choose a Five-Digit PIN

The officer selects any five digits except all zeros. That PIN becomes the electronic signature on the e-filed return. The officer then checks one of two boxes:

  • Authorize the ERO to enter the PIN into the e-file software on the officer’s behalf. If this option is chosen, the ERO firm name goes on the authorization line.
  • Enter the PIN personally into the e-file software.

The officer signs, dates, and enters their title. The ERO should not key the PIN into the software unless the officer has checked the box authorizing it.2Internal Revenue Service. Form 8879-CORP – E-file Authorization for Corporations

Direct Debit Authorization

If the corporation owes tax and will pay by direct debit, the same signature in Part II authorizes the U.S. Treasury and its Financial Agent to pull the payment from the bank account entered in the tax preparation software.2Internal Revenue Service. Form 8879-CORP – E-file Authorization for Corporations To cancel a scheduled withdrawal, the corporation must call the U.S. Treasury Financial Agent at 888-353-4537 at least two business days before the settlement date.

Complete Part III: ERO Section

The ERO enters their six-digit Electronic Filing Identification Number (EFIN) followed by a self-selected five-digit PIN. All zeros is not allowed here either. The ERO then signs and dates the form.2Internal Revenue Service. Form 8879-CORP – E-file Authorization for Corporations

Sequence matters: the ERO must have the signed form in hand from the officer before transmitting or releasing the return for transmission.2Internal Revenue Service. Form 8879-CORP – E-file Authorization for Corporations

Signing on Paper or Electronically

Both the officer and the ERO may sign Form 8879-CORP with a traditional handwritten signature or with an approved electronic signature. Under the IRS’s broader e-signature framework, a valid electronic signature must meet five conditions:

  • Sole control by the signer.
  • Real-time verifiability.
  • Uniqueness to the individual, whether through a physical measurement like a fingerprint or a virtual equivalent.
  • Clear intent to be bound to the transaction.
  • Tamper-evident protection of the signature and document through industry-standard encryption.

Authentication is usually handled through two-factor methods, such as an emailed code combined with a passcode, or through knowledge-based challenge questions. The signer must consent to sign electronically before the process begins.3Internal Revenue Service. How to Get Started Using IVES Electronic Signature

Do Not Send the Form to the IRS

Form 8879-CORP is not transmitted or mailed to the IRS. The form itself carries “Do not send to the IRS” at the top.2Internal Revenue Service. Form 8879-CORP – E-file Authorization for Corporations The ERO keeps the signed original and must be able to produce it if the IRS asks. The corporation should also receive a copy.

The retention period is three years from the return’s due date or the date the IRS received the electronic return, whichever is later.2Internal Revenue Service. Form 8879-CORP – E-file Authorization for Corporations

If You Store the Form Electronically

EROs keeping signed forms as digital files rather than paper must meet the standards in Revenue Procedure 97-22. The storage system has to preserve, index, and reproduce records accurately, prevent unauthorized changes or deletions, and keep every character legible and unambiguous. It must also provide an audit trail from source documents to the general ledger, and the ERO must be able to produce hard copies on request. If the ERO stops maintaining the hardware or software needed to read the stored records, the IRS treats those records as destroyed. Regular quality checks of the system are required.4Internal Revenue Service. Revenue Procedure 97-22

What Form 8879-CORP Does Not Cover

The authorization applies only to the corporation’s income tax return. It does not authorize the e-filing of Form 7004, the application for an automatic extension of time to file.5Internal Revenue Service.
