Which Transcript You Should Ask For

Form 4506-T lets you request five different records. Check the box that matches what the requester actually needs.5Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them

The Tax Return Transcript shows most line items from your original Form 1040-series return as filed, including forms and schedules, but does not reflect any adjustments made after processing. This is what mortgage lenders usually want.

The Tax Account Transcript covers account activity rather than what you filed: filing status, taxable income, payment types, and any post-filing changes.

The Wage and Income Transcript shows what third parties reported about you: W-2s from employers, and 1099, 1098, and 5498 forms from banks and other payers.

The Verification of Non-Filing Letter confirms the IRS has no record of a processed Form 1040-series return for the year you specify. Financial aid offices often require this from non-filers.

How Far Back Each Transcript Goes

Availability is not unlimited, and requesting a year the IRS no longer keeps in that format just wastes the trip.5Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them

  • Tax Return Transcript: current year and three prior years.
  • Tax Account Transcript: current year and three prior years by mail or phone; up to nine prior years through an IRS online account.
  • Record of Account: current year and three prior years.
  • Wage and Income Transcript: current year and up to nine prior years. Current-year data typically appears the first week of February, once employers and payers have submitted their information returns.
  • Verification of Non-Filing Letter: available after June 15 for the current tax year, anytime for the three prior years.

Filling Out the Form

You will enter your full legal name and Social Security number or ITIN. On a joint return, add your spouse’s name and SSN as well. Provide your current mailing address, and if the address on the return you are requesting was different, enter that too.

The address is where most requests go wrong. It has to match what the IRS has on file for that specific tax year, which is not necessarily where you live today. Check the box for the transcript type you want, and enter the tax year or period using the mm/dd/yyyy format for the end of that year. A single form can cover the current year and up to three prior years.

Signing and the 120-Day Clock

Sign and date the form and check the signatory attestation box. Missing, incomplete, or illegible signatures get the form rejected. On joint returns, only one spouse’s signature is required.

The IRS must receive the form within 120 days of the date you signed it. Miss that window and the request is rejected; you start over with a new form. Sending the Transcript to a Lender or School

If a mortgage lender, aid office, or other institution needs the transcript sent to them directly, use the third-party section on the form to enter their name, address, and phone number. The IRS then sends the transcript straight to that recipient.

You can also add an optional 10-digit customer file number the third party assigns. Because transcripts mask most of your SSN, this number helps the recipient match the transcript to your application file. Do not use your SSN or name in that field.6Internal Revenue Service. Where to Mail or Fax the Form

Individual filers send Form 4506-T to one of three IRS processing centers based on the state you lived in when the return was filed. Processing Time, and the Faster Way

The IRS says most mailed or faxed Form 4506-T requests are processed within 10 business days.6Internal Revenue Service. Form 4506-T – Request for Transcript of Tax Return Mail transit and backlogs can add to that, so fax is the safer route on a deadline.

For personal use, the fastest option is skipping the form entirely and using IRS Get Transcript Online, which displays your transcript immediately after identity verification through ID.me. If that is not workable, Get Transcript by Mail or the phone line 800-908-9946 will send a transcript to the address on your most recent return in 5 to 10 calendar days.8Internal Revenue Service. One limit worth knowing: the online tools only deliver transcripts to you. If a third party needs the transcript sent directly from the IRS, Form 4506-T (or Form 4506-C through IVES) is the only path.

Why Forms Get Rejected

The IRS kicks back a lot of these forms for avoidable reasons. Watch for these:

  • The address on the form does not match IRS records for the tax year requested.
  • The signature is older than 120 days by the time the IRS receives the form.
  • The form has white-out, crossed-out text, cut-and-paste, or a mix of typed and handwritten entries. Any alteration triggers rejection.
  • The signatory attestation checkbox is not checked, or the attestation language is covered up.
  • The SSN, tax year, or transcript-type box is blank.
  • There is an identity theft flag on your account (Rejection Code 10). Call the IRS Identity Protection Security Unit at 800-908-4490 to clear it.

For business returns on Forms 1120 or 1065, the signer must include their title, and both the title and the form type must match what the IRS has on file.

If You Are Applying for a Mortgage, Expect Form 4506-C Instead

Mortgage lenders generally use Form 4506-C, the IVES Request for Transcript of Tax Return, rather than Form 4506-T. Form 4506-C is designed for institutions in the IRS Income Verification Express Service, which gives lenders an established channel to pull transcripts faster.9Internal Revenue Service. If your lender hands you a 4506-C instead of a 4506-T, that is normal for mortgage underwriting.

When to Submit After Filing

If you just filed, do not request a transcript the next day. The IRS recommends waiting at least two to three weeks after e-filing, or six to eight weeks after mailing a paper return.10Internal Revenue Service.
