How to Track a Money Order and See If It’s Been Cashed

To track a money order and find out whether it’s been cashed, use the issuer’s lookup tool with the serial number, dollar amount, and purchase date from your receipt. The three big U.S. issuers — the Postal Service, Western Union, and MoneyGram — each run their own online portal or phone line, and each returns a status within a minute or two. What you do next depends on what the status says.

What You Need Before You Look It Up

Your receipt is the whole game. The stub you got at purchase carries the serial number, the dollar amount, and the date — the three pieces every tracking system asks for. Without the serial number, you’re asking the issuer to search millions of records by date and amount, which self-service tools generally can’t do.

The receipt also tells you which issuer to contact. A money order bought at a post office is a USPS money order. One bought at a grocery store, pharmacy, or convenience store is almost always Western Union or MoneyGram; the branding is printed on the receipt and on the money order itself. Each company has its own portal and its own fees, so start by identifying the issuer.

Tracking a USPS Money Order

USPS runs an online lookup at tools.usps.com. Enter the serial number, the Post Office number from your receipt, and the dollar amount, and the system returns the current status. The tool runs Monday through Friday, 8 AM to 8 PM Eastern, and is closed on weekends.1United States Postal Service. Money Orders – Start Your Search

If you’d rather use the phone, call the automated Money Order Verification System at 1-866-459-7822 and key in the serial number for a recorded status. Newer USPS money orders also carry a QR code you can scan with your phone’s camera.2United States Postal Service. Sending Money Orders

For a deeper investigation — the kind you need when a money order is lost or stolen — file PS Form 6401 (Money Order Inquiry) at any post office. Bring your original receipt. The replacement fee is $21, and USPS takes up to 60 days to investigate before issuing a refund or sending you a copy of the cashed money order.3United States Postal Service. Tracking a Western Union Money Order

Western Union builds its tracking into the refund request form. Enter the 11-digit serial number and the dollar amount, and the system reports whether the money order has been cashed. Western Union notes there can be a short delay before the latest activity shows up.5Western Union. Money Order Refund Request

If you need a physical copy of the cashed money order as proof of payment, Western Union sells a photocopy service. Mail in the request form with a $15 non-refundable fee (payable by money order or check only), and they send images of the front and back. Processing takes about five to six weeks.6Western Union. Tracking a MoneyGram Money Order

MoneyGram status checks run through the website or the automated line at 1-800-542-3590. You need the serial number from the receipt. If the money order hasn’t been cashed, you can start a replacement or refund request from the same portal. Refunds take about seven business days to process. What the Status Actually Means

Across all three issuers, the status falls into a few categories.

Cashed or Cleared means the money order has been deposited and the funds paid out. For the sender, this is normally the confirmation you want: the payment reached someone. The issuer no longer holds the money.

Outstanding or Not Cashed means nobody has deposited it yet. The funds are still with the issuer. The money order might be in the mail, sitting in a drawer, or missing. You can keep waiting, contact the recipient, or move on to a refund or replacement.

Pending means the records are updating and the final result hasn’t posted. It usually clears within a few business days. If it drags past a week or two, call the issuer directly.

If You Lost the Receipt

Tracking without a receipt is harder, but not always impossible. If you paid by debit card, your bank statement may show the issuer’s name and a transaction reference that customer service can work with. (USPS accepts debit cards but not credit cards.)2United States Postal Service. Sending Money Orders

Going back to the store where you bought it is often more productive. Point-of-sale systems retain transaction records, and a manager can sometimes pull up your purchase from the approximate date, time, and amount. Federal anti-money-laundering rules require retailers that sell money orders to keep transaction logs for cash purchases of $3,000 or more for five years.8MoneyGram. Money Order Transaction Log For smaller purchases, retention depends on the store’s own policy and is usually shorter.

One limit worth knowing: PS Form 6401 at USPS still requires you to present the receipt to the clerk, so if you can’t recover any proof of purchase, the formal USPS inquiry won’t move forward.4United States Postal Service. PS Form 6401 – Money Order Inquiry

Getting a Refund or Replacement

If the status comes back Outstanding and the money order is lost, stolen, or damaged, each issuer has a refund process. None of them will refund a money order that has already been cashed.

  • USPS charges a $21 replacement fee and takes up to 60 days to investigate. If the money order is only damaged and you still have both the negotiable portion and the receipt, USPS replaces it at no charge.2United States Postal Service. • Western Union tiers its refund fees by face value: free for money orders of $5 or less, $5 for amounts between $5 and $100, and $15 for money orders of $100 or more. Start on the online form with the serial number and amount.9Western Union. Retail Money Order Terms and Conditions
  • MoneyGram deducts its fee from your refund amount; the figure shows up during the request before you commit. After submitting online, you get a reference number by email and pick up the refund at a MoneyGram location with your ID.7MoneyGram. MoneyGram Money Order Frequently Asked Questions

Keep the original receipt until the refund actually lands. It’s your proof of purchase and often the only thing that ties you to the money order if anything goes sideways.

If It Was Cashed But the Recipient Never Got the Money

When the status reads Cashed but your intended recipient says the payment never arrived, someone else deposited it. Tracking becomes a fraud investigation.

Start by getting a photocopy of the cashed money order. The back shows the endorsement — the signature or stamp of whoever took it to the bank. USPS provides the copy as part of the Form 6401 process; Western Union charges $15, MoneyGram $18.6Western Union. Money Order Photocopy Request7MoneyGram. For USPS money orders, report suspected fraud to the U.S. Postal Inspection Service at 1-877-876-2455 or at uspis.gov.2United States Postal Service. Sending Money Orders A local police report creates a paper trail that supports any later claim.

Recovering the money from a forged endorsement generally runs through the bank that accepted the deposit, with the named payee filing a forged endorsement affidavit under the Uniform Commercial Code. It can work, but it’s slow, and the photocopy showing the forged endorsement is essential evidence.

Don’t Let an Uncashed Money Order Sit

If the status stays Outstanding for a long time, don’t just leave it. State unclaimed property laws eventually require issuers to turn uncashed funds over to the state — typically after three to seven years, depending on where you live. The money still exists in the state’s unclaimed property program and can be recovered, but you’ll have to prove you’re the rightful owner, which adds weeks or months to what should have been a quick lookup. If you’re the sender, follow up when the payment doesn’t clear. If you’re holding a money order someone sent you, deposit it.
