How to Show Proof of a Bank Account: Documents, Format, and Redactions

To show proof of a bank account, you’ll usually provide one of three documents: a recent bank statement, a voided check, or a signed verification letter from your bank. Each shows your name tied to a specific account at a specific institution, and each is accepted in different situations. The right choice depends on who is asking and what they plan to do with it.

Which Document to Use for Which Situation

Match the document to the request before you spend time gathering anything.

Setting up direct deposit. A voided check is the standard. Write “VOID” across the face in large letters and hand it to your employer or the paying agency. The check already shows your name, bank name, nine-digit routing number, and account number, which is everything needed to route an electronic payment. If you don’t keep paper checks, ask your branch to print a counter check, or use a direct deposit authorization form instead. The Social Security Administration provides its own form, SSA-1199, that your bank completes and signs in place of a voided check.1Social Security Administration. Direct Deposit Sign-Up Form

Mortgage or home loan application. Lenders want bank statements, and they want them in a specific format and age. Fannie Mae requires two consecutive monthly statements (60 days of activity) for a purchase and one monthly statement for a refinance, dated within 45 days of your loan application.2Fannie Mae. Requirements for Certain Assets in DU FHA lenders need your most recent statement for each account, or two months of statements if the prior month’s ending balance isn’t shown.3HUD.gov. FHA Single Family Housing Policy Handbook For some loan files, the lender sends a Verification of Deposit form directly to your bank, which the bank fills in and returns without the document ever passing through your hands.4United States Department of Agriculture Rural Housing Service. Rental application. A recent monthly statement is almost always enough. Landlords use it alongside pay stubs to confirm you can cover rent.

Government benefits review. The Social Security Administration, when verifying eligibility for programs like SSI, asks for statements covering the entire verification period, which can run several months.5Social Security Administration. Checking and Savings Accounts One recent statement won’t satisfy that kind of request.

High-value contracts, immigration filings, government procurement. Ask the bank for a verification letter (sometimes called a bank confirmation letter). A branch officer drafts it on bank letterhead, confirms your name, account number, account type, open date, and current balance, and signs it under the bank’s authority. Because it’s generated for your specific request and signed by an employee, it carries more weight than a statement you downloaded yourself. Turnaround ranges from one day to about a week, so call ahead if you’re working against a deadline.

What the Document Has to Show

Whatever format you use, the reviewer is looking for the same core fields. Missing one is the most common reason a document gets kicked back.

  • Your full legal name, matching the name on your application.
  • The bank’s name and logo or letterhead. Documents without visible bank branding look suspect and often trigger extra verification.
  • The nine-digit routing number that identifies your bank in the payment system.
  • Your account number.
  • Your current balance, or in some cases the average balance over a recent period.

Mortgage lenders go further and read your transaction history. Any large or unusual deposit above 50 percent of your monthly income has to be documented and explained, so the lender can confirm the money is legitimately yours.3HUD.gov. How Recent the Document Must Be

There’s no universal expiration date, but every requester has a freshness window. Mortgage lending is the strictest. Fannie Mae wants monthly statements dated within 45 days of your loan application and quarterly statements within 90 days.2Fannie Mae. Requirements for Certain Assets in DU FHA lenders using third-party electronic verification need data current within 30 days.3HUD.gov. FHA Single Family Housing Policy Handbook

For rental applications and direct deposit setup, something from the last 30 to 60 days is usually fine. When you’re not sure, ask the requester before you pull anything. A stale document wastes a round trip and can push an approval back by weeks.

PDF, Not Screenshot

Download your statements as official PDFs from the “Statements” section of your online banking portal. Don’t send screenshots of your account dashboard. A screenshot captures only what’s on your screen, usually without the full transaction history, formatting, or bank letterhead the reviewer needs. The PDF is the same document the bank would have mailed you.

FHA guidelines spell this out: documentation pulled from a bank’s website must provide the same information as a standard statement, including the account holder’s name, account number, transaction history, and balance.6HUD.gov. Section B. Documentation Requirements Overview A screenshot rarely clears that bar. One more warning: don’t edit or annotate an official bank document, even to correct a genuine error. Underwriters treat any alteration as fraud and will deny the file outright.

How to Get Each Document

From Your Bank’s Website or App

The fastest route. Log in, go to the Statements or Documents section, and download the PDF for the month you want. Most banks keep 12 to 24 months of statements available. Some banks also offer a dedicated “Account Verification Letter” feature that generates a formatted letter on demand without a branch visit.

At a Branch

Go in person when you need a printed statement with an official stamp, a signed verification letter, or notarization. Many banks notarize for account holders at no charge, which can save a separate trip to a notary. If a government agency gave you a specific form to complete, bring it with you and the branch representative can fill it out from your account data.

Through Third-Party Verification

More and more requesters skip paper entirely. Services like Plaid let you log in to your bank through a secure interface, and the service confirms your account number, routing number, account type, and ownership in real time. This is now standard for fintech apps, gig platforms, and many online lenders. FHA guidance allows third-party electronic verification as an alternative to paper statements as long as the data is current within 30 days.3HUD.gov. FHA Single Family Housing Policy Handbook

Redacting for Privacy

Handing over a bank statement exposes your spending habits, balance, and account numbers to a stranger. Whether you can redact anything depends entirely on what the requester actually needs.

If a landlord just wants to see sufficient funds, you can sometimes black out individual transaction descriptions while keeping the balance and account identifiers visible. If a mortgage lender needs full transaction history to look for undocumented deposits, redacting anything will get the file rejected. Blacking out your routing and account numbers on a document meant to set up direct deposit defeats the purpose entirely.

The safe approach: ask the requester which fields they need before you redact anything, redact only what they confirm is unnecessary, and keep an unredacted copy for your own records.

Joint and Business Accounts

Joint accounts introduce an extra step because the statement names more than one person. The reviewer needs to confirm you’re a co-owner, not just someone with permission to transact. A statement showing both names usually suffices, but some mortgage lenders ask for a letter from the bank confirming each owner’s relationship to the account.

Business accounts take different documentation altogether. Along with statements or a verification letter, expect to provide your Employer Identification Number and the entity’s formation documents. You can request a Letter 147C from the IRS to confirm a previously assigned EIN.7Internal Revenue Service. Employer Identification Number Lenders and vendors working with businesses typically want to see that letter alongside the account proof so they can tie the entity to the account.

Submitting Without Exposing Yourself

A bank statement contains enough information for someone to initiate unauthorized transfers, so delivery matters as much as content.

Use the requester’s secure upload portal whenever one is offered. Mortgage lenders, government agencies, and large employers almost always provide encrypted portals for financial documents. If you have to email a document because no portal exists, password-protect the PDF and send the password through a separate channel like a phone call or text. Avoid sending unencrypted statements as plain email attachments.

For paper submissions, use certified mail or a tracked service so you have a receipt. Keep copies of what you sent, with tracking numbers or upload confirmations. If the document goes missing, that record is your proof the error wasn’t on your end.

If a Document Gets Rejected

Rejections almost always come down to a short list of fixable problems: the document is too old, the name doesn’t match, the format is wrong (screenshot instead of PDF), or key information was redacted. The requester will tell you what’s missing. The fix is usually simple but costs time.

Name mismatches deserve particular attention because they haunt people for years after a marriage, divorce, or legal name change. If your bank account still shows a former name, update it with the bank first and request a fresh statement. When there isn’t time, provide the marriage certificate, divorce decree, or court order along with the bank document; that usually bridges the gap.

On a mortgage, a rejected document can push closing back by weeks, especially if a replacement has to route through the bank as a new Verification of Deposit. Picking the right document, in the right format, at the right age the first time is the single most effective thing you can do to keep an application moving.
