How to See If a Check Has Been Cashed or Cleared

To see if a check has been cashed, log in to your bank’s online portal or mobile app and look for the check in your account’s transaction history, or call the number on the back of your debit card. A cleared check shows as “posted” or “cleared,” and most banks let you open an image of the processed check right from the transaction.

Have These Details Ready

Before you start searching, pull the check number from the upper-right corner of your check register or carbon copy. You also want the exact dollar amount, the date you wrote the check, and the payee’s name. If you wrote more than one check to the same person recently, the check number and amount together will separate them.

No register? Your monthly bank statement lists each cleared check by number and amount, so a recent statement is a good backup. Having these details in front of you makes the search faster and helps you spot a problem quickly, such as the wrong amount posting or an altered check.

Look in Your Online or Mobile Banking

Open your checking account’s transaction history and filter or search by check number. The status tells you where things stand:

  • “Posted” or “cleared” means the funds have left your account and reached the payee’s bank.
  • “Pending” means the check is in the process of clearing.
  • No entry at all means the payee has not deposited it yet.

Timing matters when you interpret an empty search. Under the Expedited Funds Availability Act, the first $275 of a non-next-day deposit must generally be available to the payee by the next business day, and the full amount of a personal check typically clears within two business days after deposit.1Federal Reserve Board. A Guide to Regulation CC Compliance Government checks, cashier’s checks, and checks drawn on the same bank as the deposit usually clear the next business day.2Office of the Law Revision Counsel. 12 USC 4002 – Expedited Funds Availability Schedules So if you wrote a personal check two or three business days ago and nothing shows up, the payee probably has not deposited it yet.

Open the Check Image

Most banks let you view and download a PDF image of each processed check. Under the Check Clearing for the 21st Century Act, a digital substitute check that accurately shows the front and back of the original is the legal equivalent of the paper check.3Office of the Law Revision Counsel. 12 USC 5003 – General Provisions Governing Substitute Checks Look at the back for the payee’s endorsement signature or a “for deposit only” stamp. That image is the proof you need if a payee later claims they never received payment.

If the check you need is older, ask sooner rather than later. Some banks charge a small fee, often $3 to $5, to retrieve and send a copy of an older check image.

Call the Bank

If the online search comes up empty or confusing, call the number on the back of your debit card or on your statement. After verifying your identity, a representative can confirm whether a specific check has cleared, the exact date it posted, and the amount debited. A live call is especially useful when a hold or processing delay might be hiding the transaction from your online view.

Outside business hours, most banks’ automated systems let you enter a check number on the keypad and hear its status.

If the Check Hasn’t Cleared and You Want to Cancel It

When the check has not been cashed and you want to stop it, because it was lost, sent to the wrong address, or you simply need to cancel the payment, request a stop payment order from your bank. The order tells the bank to refuse the check if it is presented for deposit. Most banks charge $30 to $35, and you can place the order by phone, online, or in person.

A stop payment stays in effect for six months. A verbal request has to be confirmed in writing within 14 calendar days or it expires, and you can renew the order for additional six-month periods before each expiration.4Cornell Law School. UCC 4-403 – Customers Right to Stop Payment – Burden of Proof of Loss

One caution: stopping payment does not erase the underlying debt. The payee can still come after you for what you owe. A stop payment prevents that specific check from clearing and nothing more.

Checks That Have Been Sitting a Long Time

A bank is not required to honor a personal check presented more than six months after the date on it, but it is allowed to process a stale-dated check if it acts in good faith.5Cornell Law School. UCC 4-404 – Bank Not Obliged to Pay Check More Than Six Months Old So an old uncashed check is not automatically dead. If you wrote one months ago and it never cleared, confirm with your bank that the funds are still available, and consider a stop payment if you want certainty that it will not post later.

Government Checks Use a Different Tool

Your bank account only tells you about checks you wrote. To track a federal check you are waiting to receive, use the IRS “Where’s My Refund?” tool at irs.gov for tax refunds; you will need your Social Security number, filing status, and exact refund amount.6Internal Revenue Service. Wheres My Refund If the tool says the check was mailed but it never arrived, you can start a refund trace through the same tool, by calling 800-829-1954, or by speaking with an IRS representative at 800-829-1040.

For other U.S. Treasury checks, including Social Security, veterans’ benefits, and federal salary payments, contact the Bureau of the Fiscal Service at 1-855-868-0151. They can identify which agency authorized the payment and whether the check has been cashed.7USAGov. Government Checks and Payments If a government check was stolen and cashed by someone else, the Bureau will send a claim package that includes a copy of the cashed check and instructions for requesting a replacement.

Cashier’s Checks, Certified Checks, and Money Orders

These do not show up in your checking account the same way a personal check does, because the funds were set aside or prepaid when you bought the instrument. Tracking them means going back to whoever issued them.

For a cashier’s check, keep your purchase receipt with the serial number, then call the issuing bank or visit a branch to ask whether the check has been presented. Some banks offer online tracking; many require a call or written request. A certified check is a personal check your bank certified and earmarked funds for, so you track it the same way: through the bank that certified it.

For USPS money orders, submit an inquiry on PS Form 6401, available at any post office or online. The USPS inquiry fee is $21 and includes a copy of the cashed money order. For Western Union, MoneyGram, or other issuers, use the serial number on your receipt to check status on the company’s website.8USPS. Notice 123 – Price List

If the Check Was Cashed by the Wrong Person

Open the check image and compare the endorsement to the payee you wrote on the front. If the signature does not match, or you suspect the check was intercepted and forged, call your bank immediately and report the transaction. Your bank will typically open a fraud claim and investigate whether the endorsement was forged or the check altered.

Speed matters, because the Uniform Commercial Code puts a duty on you to review your statements with reasonable promptness. If someone forged or altered a check and then commits the same kind of fraud on your account again, failing to notify your bank within 30 days of receiving the first statement that contained the fraudulent item can shift the loss for the later checks to you. You lose the right to recover entirely if you do not report the problem within one year of the statement being made available. Many banks shorten these windows in their account agreements, so read your deposit agreement for the deadline that applies to you.

File a police report as well, and keep copies of everything you send to and receive from the bank. When a forged endorsement is involved, the loss generally falls on the bank that accepted the forged check for deposit rather than on you, provided you reported the problem promptly.9Cornell Law School.
