If you need to know how to get a lost W-2, start with your employer’s payroll department or online payroll portal, then fall back on the IRS Wage and Income Transcript, and if the filing deadline is closing in, file with Form 4852 using your final pay stub as your source. Most missing W-2 problems resolve in one phone call. The rest have a clear escalation path, and none of them are a reason to file late.
When Your W-2 Should Have Arrived
Employers must furnish W-2s by January 31. When that date falls on a weekend or holiday, the deadline moves to the next business day. For tax year 2025, January 31 is a Saturday, so the actual deadline is February 2, 2026.1Internal Revenue Service. What to Have Ready Before You Call
Pull a few things together first. You’ll need your full legal name as it appears on your Social Security card, your Social Security number, your current mailing address, and a working phone number.2Internal Revenue Service. If you can find the Employer Identification Number — the nine-digit number formatted 00-0000000 shown in Box b of a prior W-2 or on your last pay stub — include that too.3Internal Revenue Service. Dig out your final pay stub for the year as well. The year-to-date figures — gross pay, federal tax withheld, Social Security tax, and Medicare tax — are what you’ll rely on if you end up estimating your wages on a substitute form.
Ask Your Employer or Payroll Provider First
The fastest replacement usually comes straight from your employer’s HR or payroll department. Many companies use third-party providers like ADP, Paychex, or Gusto, and those platforms let employees log in and download W-2s as PDFs. If you no longer have portal access, calling the provider’s support line with your employer’s name and your Social Security number usually gets you back in.
Specify the exact tax year you need, and note the date you called and who you spoke with. For a former employer, start with the main HR number rather than an old manager, since payroll records live on the accounting side. A digital copy from a portal is just as valid for filing as a paper original.
If the Employer Closed or Filed Bankruptcy
When the company has shut down, there may be no one to answer the phone. If the business used a payroll provider, that provider likely still has your records, so try there first. For businesses that ran payroll in-house, the bankruptcy trustee or a successor company may be responsible for issuing final W-2s.
If those leads go nowhere, the IRS says to follow the same escalation as any other missing W-2: call 800-829-1040 with your employment details, and the IRS will try to contact the employer or its representatives.4Internal Revenue Service. Pull a Wage and Income Transcript From the IRS
The IRS keeps a copy of every W-2 your employer filed, and you can pull it yourself for free through the Wage and Income Transcript in your Individual Online Account at irs.gov.5Internal Revenue Service. To use the tool you need an ID.me or Login.gov account. New users verify identity with a photo of a driver’s license or passport plus a selfie taken through a phone or webcam.7Internal Revenue Service. New identity verification process to access certain IRS online tools and services Once you’re in, select Wage and Income Transcript for the tax year you need, then view, download, or print it right away.
The transcript shows the federal figures on a W-2: wages, federal income tax withheld, Social Security wages and tax, and Medicare wages and tax. It does not show state or local withholding.8Internal Revenue Service. Topic no. 159, How to get a wage and income transcript or copy of Form W-2 If you also file a state return, you’ll still need the actual W-2 or your pay stubs for the state withholding numbers.

Ask the IRS to Intervene
If your employer still hasn’t produced the W-2 by the end of February, call the IRS at 800-829-1040 and ask the representative to open a W-2 complaint. You can also make an appointment at a Taxpayer Assistance Center in person.10Internal Revenue Service. The IRS then sends the employer a letter demanding the W-2 within ten days, and mails you a copy of Form 4852 with instructions so you can file even if the employer never responds.10Internal Revenue Service. Calling in early February usually just gets you told to wait.
File With Form 4852 if the Deadline Is Near
Form 4852 is the IRS-approved substitute when an employer won’t produce a W-2 or won’t correct one that’s wrong.11Internal Revenue Service. About Form 4852, Substitute for Form W-2, Wage and Tax Statement You fill in your best estimates of total wages, federal income tax withheld, and Social Security and Medicare taxes using whatever records you have. Your final pay stub’s year-to-date figures are the most reliable numbers to work from.
Attach the completed Form 4852 to your tax return in place of the missing W-2. Then watch for one common trap. If the actual W-2 shows up later and the numbers differ from your estimates, you’re required to file an amended return using Form 1040-X.10Internal Revenue Service. Get an Extension if You’re Running Out of Time
If April is close and you still don’t have workable numbers, file Form 4868 for an automatic six-month extension. That pushes the filing deadline to October 15, 2026, for tax year 2025.12Internal Revenue Service. An extension to file is not an extension to pay. You still owe any estimated tax by April 15, 2026, and interest and penalties accrue on any unpaid balance from that date.12Internal Revenue Service. You can true up later once the actual W-2 figures are in hand.
Older Years: Request Earnings From the SSA
For older tax years or a long-term earnings verification, the Social Security Administration keeps its own record of your reported wages. Request it with Form SSA-7050 by mail. Fees vary by level of detail: $35 for certified yearly totals, $61 for a non-certified itemized statement, or $96 for a certified itemized statement.13Social Security Administration. This route is slow. Expect several weeks to months since SSA processes these requests manually. It’s the right tool for a verified earnings history going back many years, not for replacing this year’s missing W-2. For the current year, the IRS Wage and Income Transcript is faster, free, and available online within minutes.
