To retrieve old W-2 forms, start with the employer that issued them, then move to the IRS for anything filed in the last ten tax years, and use the Social Security Administration for earnings older than that. Which route makes sense depends on how far back you need to go, whether you need an actual copy of the form or just the wage data, and how quickly you need it in hand.
Ask Your Former Employer First
The company’s payroll or HR department is usually the fastest source, and it’s the only one that will hand you an actual copy of the W-2 with state and local withholding intact. Federal rules require employers to keep payroll records for at least four years after the tax was due or paid, whichever is later.1eCFR. 26 CFR 31.6001-1 — Records in General Many keep digital archives well beyond that, so ask even if you left the job longer ago.
Have your full legal name as it appeared on your paystubs, your Social Security number, the approximate dates you worked there, and a current mailing address ready. Some employers provide duplicates free. Others charge a small fee to pull archived records.
Pull the Data From the IRS
The IRS keeps wage and income data from every W-2 filed with it and can give you a transcript going back up to ten tax years.2Internal Revenue Service. Topic No. 159, How to Get a Wage and Income Transcript or Copy of Form W-2 Two things to know before you start. The transcript is a plain-text summary, not a photocopy of the original W-2. And it does not include state or local withholding.3Internal Revenue Service. Request for Transcript of Tax Return Form 4506-T For federal purposes like an amended return or a mortgage file, the transcript is usually enough. For state tax matters, you’ll still need the employer or your state agency.

An Actual Copy of Your Return With the W-2 Attached
When you truly need a photocopy of your filed return with the original W-2 stapled to it, that’s Form 4506, not 4506-T. It costs $30 per tax year, paid by check or money order to “United States Treasury,” and processing takes up to 75 calendar days.8Internal Revenue Service. Form 4506 – Request for Copy of Tax Return Most people won’t need this. But it’s how you retrieve the state and local withholding data that transcripts leave out. The $30 fee is waived if you’re in a federally declared disaster area and need the copy for a disaster-related claim; write “disaster related” on the form along with the disaster type and state.9Internal Revenue Service. If You Need to File and the W-2 Never Arrived
A missing current-year W-2 is a different problem from retrieving an old one, and the fix has a specific process. If your employer hasn’t sent your W-2 or a corrected W-2 by the end of February, call the IRS at 800-829-1040. A representative can open a formal complaint, and the IRS will send the employer a letter demanding the form within ten days.10Internal Revenue Service. W-2 – Additional, Incorrect, Lost, Non-Receipt, Omitted If nothing arrives, the IRS will send you Form 4852.
Form 4852 is a substitute for the W-2 that attaches to your return.11Internal Revenue Service. Form 4852 Substitute for Form W-2, Wage and Tax Statement, or Form 1099-R You fill in your best estimate of wages and withholdings using your final pay stub, bank deposit records, or whatever documentation you have, and explain how you arrived at the numbers. If the real W-2 shows up later and the figures don’t match, file an amended return on Form 1040-X.
Check Your Old Tax Software Account
If you filed through TurboTax, H&R Block, or a similar service, the W-2 data you imported or typed in during filing is probably still in your account. Log in and look for a documents section, tax history, or prior-year returns. Most platforms store several years of filings as downloadable PDFs. Some charge for access to older returns if your subscription has lapsed, and lost credentials mean going through identity verification before you get back in. When you imported your W-2 digitally at filing time, the stored copy should match the original.
Social Security for Records Older Than Ten Years
The Social Security Administration tracks your earnings for your entire working life, so it’s the only source once you’re past what the IRS holds. Your free my Social Security account at ssa.gov shows an annual earnings summary.12Social Security Administration. Form SSA-7050 – Request for Social Security Earnings Information This is the right form for verifying decades-old work history for retirement planning or resolving disputes over credited years, not for grabbing a single old W-2 in a hurry.
Deadlines Worth Knowing Before You Bother
If the reason you’re chasing an old W-2 is to file or amend a return and claim a refund, the statute of limitations may already have closed the door. You generally have three years from the date you filed the return, or two years from the date you paid the tax, whichever is later.15Office of the Law Revision Counsel. 26 USC 6511 – Limitations on Credit or Refund After that, the IRS keeps the overpayment no matter what your W-2 shows.
The Social Security Administration sets its own deadline for correcting earnings records: three years, three months, and 15 days after the calendar year the wages were paid.16Social Security Administration. Time Limit for Correcting Earnings Records Beyond that, fixing a gap or error gets much harder, which is a reason to check your record now if you suspect a problem.
When a Lender Is the One That Needs It
Mortgage lenders and other financial institutions often want your W-2 data pulled straight from the IRS rather than through you. The IRS Income Verification Express Service handles this for authorized participants once you sign a consent form, and transcripts come back in hours instead of days.17Internal Revenue Service. Income Verification Express Service for Participants If a lender asks you to sign Form 4506-T or 4506-C, that’s what’s happening: you’re authorizing them to request your records directly, so you don’t need to retrieve anything yourself.
