How to Refund a Money Order: USPS, Western Union, and MoneyGram

To refund a money order, confirm it hasn’t been cashed yet, then file a claim with the issuer that sold it to you. You’ll need the original purchase receipt, a government-issued photo ID, the serial number, the payee’s name exactly as written, and a processing fee that runs anywhere from nothing to $25 depending on the issuer and the face value. USPS, Western Union, and MoneyGram each handle the paperwork differently, but the underlying requirement is the same: the issuer has to verify you bought the money order and that the funds are still sitting unclaimed in their system.

What You Need Before You File

Gather these before you start any claim form:

  • The original purchase receipt. This is the single most important document because it carries the serial number and proves you’re the buyer.
  • A valid government-issued photo ID, such as a driver’s license or passport.
  • The serial number. USPS money orders use a 10-digit number; Western Union uses 11 digits.
  • The payee’s name, spelled exactly as you originally wrote it.
  • The purchase amount and date, which the issuer matches against its records.

Accuracy on the form matters more than people expect. A wrong digit in the serial number or a misspelled payee can get the claim rejected outright, so check every field against the receipt before you submit.

How to File With USPS

USPS uses PS Form 6401, titled “Money Order Inquiry.” Fill it out in black ink, one money order per form, and take it with your receipt to any Post Office. A retail associate verifies your information and collects a flat $21.00 processing fee that applies regardless of the money order’s face value.1USPS. PS Form 6401 – Money Order Inquiry2USPS. You can file the inquiry at any time after purchase, but USPS will not issue a replacement until at least 60 days after the original purchase date, even if the investigation wraps up sooner. To check on your inquiry, call 1-866-974-2733. USPS domestic money orders top out at $1,000 per order.1USPS. PS Form 6401 – Money Order Inquiry2USPS. Money Orders

How to File With Western Union

Western Union handles refund requests online through its Money Order Refund Request Form. You enter the 11-digit serial number, the purchase date, the amount, and the payee name, then upload a scan or photo of your receipt. The form asks you to select a reason: lost, stolen, not used, or not received.3Western Union. Money Order Request Form

  • $5.00 or less: no fee
  • $5.01 to $99.99: $5.00
  • $100.00 or more: $15.00

Straightforward cases take about five business days to process, and can stretch up to eight weeks. Once approved, you collect the refund in person at any Western Union agent location, using the same government ID you used on the request.

How to File With MoneyGram

MoneyGram starts the refund process on its website. You submit the request online, and MoneyGram emails a reference number within about seven business days. You then take the reference number and your ID to a MoneyGram location to collect the refund in person.4MoneyGram.com. Money Order Frequently Asked Questions

Replacement fees depend on the face value. For money orders between $6.00 and $49.99, the fee is 50% of the face value. For money orders of $50.00 or more, the fee is a flat $25.00. A photocopy of a cashed money order costs $18.00 separately. The processing fee is deducted from your refund automatically.5MoneyGram.com. Help for MoneyGram Money Orders

For small money orders, the fees eat a painful share of the balance. A $20 MoneyGram money order costs $10 just to replace, so at some point it isn’t worth filing at all.

How Long the Refund Takes

Processing times differ sharply by issuer. MoneyGram is the fastest at about seven business days. Western Union runs up to eight weeks. USPS is the slowest, with refunds taking up to 60 days from the original purchase date, and no replacement issued before that 60-day window closes.1USPS. PS Form 6401 – Money Order Inquiry

Those windows assume a clean case: receipt in hand, money order uncashed, no theft involved. Anything else stretches the timeline. Once the issuer confirms the money order hasn’t been cashed, they void the original and send a replacement check or money order to the mailing address on your claim.

If You Lost the Receipt

A missing receipt doesn’t kill the claim, but it slows things down and can add cost. The issuer has to search its records manually and may ask for additional documentation to guard against fraud.

Western Union accepts alternative proof of purchase, including the original store receipt from wherever you bought the money order. If it was stolen, they’ll accept that store receipt along with a copy of the police report referencing the money order number. With no proof of purchase at all, Western Union will still search, but you’re looking at two to four weeks just for search results before the refund process starts.3Western Union. Some issuers may also require a notarized statement or an indemnity bond when the receipt is missing. The bond protects the issuer if the original money order later surfaces in someone else’s hands. Notary fees for a single signature generally run between $2 and $25, depending on your state.

If the Money Order Was Already Cashed

This is where most refund attempts stall. Once the money order has been cashed, the funds have left the issuer’s system, and a routine refund isn’t available. Recovery from that point depends on proving the money order was cashed fraudulently.

Start by requesting a copy of the cashed money order from the issuer. MoneyGram charges $18.00 for one.5MoneyGram.com. Help for MoneyGram Money Orders The copy shows the endorsement on the back, which can help identify who cashed it. File a police report with that evidence; law enforcement may be able to trace the person, and most issuers require a police report before they’ll pursue a fraud claim.

For USPS money orders, the Postal Service has the right to demand a refund from any bank that paid out a money order bearing a forged or unauthorized endorsement. USPS must exercise that reclamation right within a reasonable time after the forgery is discovered, and if the bank doesn’t refund the amount within 60 days of the demand, USPS can take further action.7About USPS Home. DMM Revision: Money Order Reclamation There is a path to recovery for a cashed USPS money order, but it takes documentation, patience, and cooperation from the bank.

If you suspect theft, file immediately. Every day of delay is another day the money order can be cashed, and your options narrow sharply once that happens.

Why You Shouldn’t Wait to File

Money orders don’t technically expire in most cases, but the full face value doesn’t necessarily stay available forever. Some private issuers begin charging monthly or annual dormancy fees after a period of inactivity, gradually eating into the balance. Whether an issuer can do that depends on state law: some states require the fee to be spelled out in a written contract at purchase, others prohibit dormancy charges outright.

The larger deadline is escheatment. Every state requires companies to turn over unclaimed financial assets after a dormancy period, and money orders are included. The typical period runs around three years, though it ranges from two to seven years by state. Once the funds are handed to the state’s unclaimed property division, the original issuer can no longer refund you. You’d have to file a claim with the state comptroller or treasurer, which is a separate process.

The practical point is not to sit on an uncashed money order for years assuming a refund will always be there. File while the funds are still with the issuer, and the standard process still works.
