How to Refund a Money Order: Forms, Fees, and Timing

To refund a money order, take your purchase receipt to the issuer that sold it — USPS, Western Union, or MoneyGram — fill out their inquiry or research request form, pay a processing fee, and wait while they confirm the money order has not already been cashed. If it hasn’t, you get a replacement check or money order for the face value minus the fee. The whole process runs anywhere from about a week to 60 days depending on the issuer and whether the money order is simply unused, lost, or stolen.

Gather Your Receipt and Serial Number First

The receipt you detached at purchase is the single most important document. It carries the serial number, the dollar amount, and the location where the money order was bought, and the issuer needs all three to find your money order in its system.1USPS. Money Orders – The Basics

If you still have the money order itself — you changed your mind, or the recipient returned it — bring that too. Handing over the physical document lets the issuer cancel and refund it right away instead of opening a longer investigation. If the money order is gone (lost, stolen, or mailed and never received), the receipt alone is enough to start.

USPS money orders carry a 10-digit serial number. Western Union money orders carry an 11-digit number.2Western Union. Money Order Research Request Form Check the number against your receipt before you submit anything. A wrong digit can get your claim rejected and your processing fee kept.

File the Right Form With the Issuer

Each issuer uses its own form and its own submission channel.

USPS. Fill out PS Form 6401, the Money Order Inquiry. You get it at any post office. Bring the completed form, your receipt, and a valid photo ID to the counter. A clerk verifies the details against your receipt, collects the fee, and submits the inquiry. The same form covers both domestic and international postal money orders.3USPS. MoneyGram. The process runs through MoneyGram’s website. First check the status of the money order online, then submit a replacement or refund request through their form. MoneyGram emails you a reference number, and you take that number plus your ID to a MoneyGram location to pick up the refund in person.4MoneyGram. How to Replace a Money Order5MoneyGram. MoneyGram Money Order Frequently Asked Questions

Every form asks for your full legal name, mailing address, date of purchase, and the serial number.

One thing worth knowing before you make a trip: if you bought a Western Union or MoneyGram money order at a grocery store, pharmacy, or convenience store, don’t go back to that store expecting a refund. Retail agents sell money orders on behalf of the issuer but are not authorized to refund them. The request has to go through the issuer directly.

What the Refund Costs

Every issuer charges a processing fee to investigate and refund. You pay it whether or not the refund is ultimately approved.

  • USPS: $21.00 per money order inquiry. If you’re asking about more than one money order, the fee applies to each.6USPS. Money Orders
  • Western Union: Tiered by face value — $0 for money orders of $5 or less, $5 for those between $5 and $100, and $15 for money orders of $100 or more. Fees run higher if you don’t have your receipt.7Western Union. Money Order Refund Request
  • MoneyGram: The online replacement process does not list a separate inquiry fee for standard requests. The fees you paid at purchase are generally not refunded.4MoneyGram. How to Replace a Money Order

How Long It Takes

Timelines depend on the issuer and on what happened to the money order.

For USPS, a basic domestic inquiry takes up to 15 days to return results. Confirming that a money order is lost or stolen can take up to 30 days, and a full investigation into a lost or stolen money order can take up to 60 days. If the money order is still uncashed, the refund is issued 60 days or later from the original issue date, for the face value minus the processing fee.1USPS. Money Orders – The Basics3USPS. If You Lost the Receipt

A refund is still possible without the receipt, but the process is harder and often more expensive. Fill out the standard form with whatever you can remember: approximate purchase date, dollar amount, and location. The issuer may be able to trace the money order from those details.

Western Union charges up to $30 to research a claim filed without a receipt, compared to $15 with one.7Western Union. If the Money Order Was Already Cashed

If the investigation shows the money order was already cashed, the refund request is denied. You can still ask the issuer for a photocopy of the cashed money order, which shows the endorsement signature of the person who deposited or cashed it.1USPS. Money Orders – The Basics For USPS, that photocopy is only available for two years from the date the money order was cashed, so file the inquiry sooner rather than later.

If the signature on the back isn’t the payee’s, that’s evidence of fraud. The photocopy is what you take to police, and for USPS money orders you can also report the fraud to the U.S. Postal Inspection Service at 1-877-876-2455.1USPS. Money Orders – The Basics

If the Money Order Was Stolen

A stolen money order adds one step: a police report. Western Union’s research request form specifically asks for a copy of the police report when the money order is marked stolen.2Western Union. Money Order Research Request Form Filing the report also creates an official record that you reported the theft before any fraudulent transaction, which protects you if the thief tries to cash the money order later.

The investigation itself runs on the same timeline. If the money order hasn’t been cashed, you get a refund or replacement. If it was cashed with a forged signature, the photocopy and the police report together give you what you need to pursue the loss through law enforcement or civil action.

Old Money Orders Sitting Around

USPS money orders don’t expire and don’t accrue interest, so there’s no deadline to refund one.6USPS. Money Orders MoneyGram money orders don’t expire either, but ones that stay uncashed for more than a year may be hit with a monthly service charge that gradually eats into the face value. The exact charge is printed on the back of each MoneyGram money order.8MoneyGram. Frequently Asked Questions About Purchasing a Money Order

After several years, an uncashed money order may be turned over to the state as unclaimed property. The dormancy period varies by state and generally runs one to five years. Once the funds move to the state, you have to file an unclaimed property claim there rather than with the issuer. If you have an old money order in a drawer, refunding or cashing it now avoids both service charges and a state claim later.
