How to Prepare and Upload the ECR Form on the EPFO Portal

To upload the ECR on the EPFO portal, log in as an employer at unifiedportal.epfindia.gov.in, go to the Payments tab, select ECR Upload, choose the wage month and year, attach your prepared delimited text file, let the portal validate it, verify the summary against the generated Temporary Return Reference Number (TRRN), and pay through the integrated bank gateway to generate the final challan. The whole cycle — upload, verification, and payment — must be completed by the 15th of the month following the wage month.1Southern Railway. Hand Book on EPF

Before You Upload

Your establishment needs to be registered on the EPFO Unified Portal, with employer credentials (a user ID and password tied to your establishment code) already created.2Employees’ Provident Fund Organisation. Online ECR/Challan Submission Keep the incorporation certificate, PAN, bank details with IFSC, and the current wage roster ready.

If you also attest and forward online claims, register a Class 3 Digital Signature Certificate on the portal. Log in, open the Establishment dropdown, select DSC/e-SIGN, enter the authorized signatory’s details, run the small application the portal prompts you to launch, and enter the PIN issued by your DSC provider. The certificate must come from a Certifying Authority approved by the Controller of Certifying Authorities.

Every employee in the file needs an active Universal Account Number, a 12-digit identifier that follows a worker across employers.3International Social Security Association. ECR Form Generate or link UANs through the portal’s member management section, and tie each UAN to the worker’s KYC (Aadhaar, PAN, bank account number). An inactive or unlinked UAN will block that employee’s row when you upload.

Contribution Math to Get Right

The most common reason for a rejected upload is contribution amounts that don’t match what the portal calculates from the wages you entered. Fix the numbers before you build the file.

  • Employee contribution: 12% of basic wages plus dearness allowance (DA), all of it going to the EPF account.
  • Employer contribution: 12% of basic plus DA, split as 8.33% to the Employees’ Pension Scheme (EPS) and 3.67% to EPF.
  • EDLI: an additional 0.50% of basic plus DA paid by the employer to the Employees’ Deposit Linked Insurance Scheme.
  • Administrative charges: 0.50% of basic plus DA, minimum ₹75 per month per establishment.

The wage ceiling to remember is ₹15,000 per month. EPS contributions are always capped at that figure, so the maximum monthly EPS from the employer is ₹1,250 (8.33% of ₹15,000). When an employee earns more than ₹15,000 in basic plus DA, the portion of the employer’s 12% that would have gone above the EPS ceiling is redirected to that employee’s EPF account instead. The employee’s own 12% applies to actual basic plus DA without a cap, unless the employer has opted for the statutory minimum.

Preparing the ECR File

The ECR is a plain-text file with fields separated by the #~# delimiter. Download the Excel template from the portal’s Downloads tab after logging in.2Employees’ Provident Fund Organisation. Online ECR/Challan Submission The template gives you a header line summarizing the return and one detail line per employee.

Each detail line takes the employee’s UAN, full name (exactly as it appears in EPFO records), gross wages, EPF wages, EPS wages, EDLI wages, and the calculated contribution amounts. The name must match the UAN record character for character; a minor spelling difference will fail validation. Once the Excel is filled, export or convert it to the delimited text format the portal expects, then run a check before uploading:

  • Every row has a valid, non-deactivated UAN.
  • Wage values are numeric, with no commas, currency symbols, or text.
  • Individual EPF, EPS, and EDLI amounts match the applicable rates against the wages in that row.
  • The contribution rate matches your establishment. Most use 12%, but some qualifying brick, beedi, or jute establishments operate at a reduced rate.
  • Employees who left during the month are marked as Exited on the portal before you upload. An unmarked exit keeps that worker counted as active and can block future filings.
  • No duplicate rows: one row per UAN per wage month.

The sum of all individual contribution lines must equal your total payroll liability for the month. If those totals diverge, the portal rejects the file outright.

Uploading on the Unified Portal

Log in to the employer portal at unifiedportal.epfindia.gov.in and open the Payments tab. Select ECR Upload to start a new filing. The portal asks you to pick the wage month and contribution year before you attach the file. Selecting the wrong period is a common mistake and forces you to delete the return and start again.

Attach the prepared text file and click upload. The validation engine checks every row against the EPFO member database for UAN validity, name match, wage field formatting, and contribution arithmetic. If problems exist, the portal generates a downloadable error file that flags each rejected row with a specific reason. Fix only what the error file identifies, then re-upload; guessing at other corrections tends to introduce new ones.

When the file clears validation, the portal displays a summary with the total number of member records processed and the aggregate contribution amounts. Compare these figures against your own payroll totals. If anything is off, delete the upload and correct the source file. Corrections get more complicated once you move past this screen.

Verifying the TRRN and Paying the Challan

After successful validation, the portal generates a Temporary Return Reference Number (TRRN) that tracks the return through payment. Click Verify next to your TRRN to review the electronic summary one last time: member count, total EPF contributions, total EPS contributions, EDLI, and administrative charges. This is your last clean chance to catch a discrepancy. If the numbers don’t match your records, delete the upload and resubmit corrected data.

Verification takes you to the integrated payment gateway. Select an authorized bank and transfer the funds; the portal supports internet banking through several nationalized and private banks. Once the bank confirms the transfer, the system generates the final electronic challan. Download and save it immediately, because it is your official proof of compliance for that wage month.

A filed and paid ECR cannot be cancelled. If you find data errors after payment, file a Revised Return for that wage month. Upward corrections (adding members or increasing amounts) are straightforward. Downward corrections to an already-paid month are not permitted through the portal.

Fixing Common Upload Errors

First-time filers tend to hit the same problems, and the error file will usually name them plainly.

  • UAN not found or deactivated. The number doesn’t exist in EPFO’s database or has been deactivated. Verify it in the portal’s member search, reactivate if needed, and confirm KYC is linked.
  • Name mismatch. The name in your file doesn’t match the name tied to that UAN in EPFO records. Check for extra spaces, initials versus full names, or spelling differences. The match has to be exact.
  • Contribution math error. The EPF or EPS amount you calculated doesn’t match what the portal expects from the wages in that row. Recalculate using the correct rate and the ₹15,000 EPS cap.
  • Missing earlier months. From the fifth month of an establishment’s registration onward, the portal accepts a Regular Return only if all active members from prior months have been filed. If you skipped someone earlier, file a Supplementary Return for that period first.

When rows are flagged, fix only what the error file lists. Running the pre-upload checklist internally before each filing cuts rejection cycles sharply.

The 15th-of-the-Month Deadline and What Late Filing Costs

Under Paragraph 38(1) of the EPF Scheme, 1952, employers must deposit contributions electronically within 15 days from the close of the wage month.1Southern Railway. Hand Book on EPF File April’s ECR by May 15, May’s by June 15, and so on. When the 15th falls on a Sunday or a public holiday, EPFO has occasionally extended the deadline to the next working day, but those extensions are announced month by month on the portal. Don’t count on one.

Filing even a day late triggers simple interest at 12% per annum on the overdue amount under Section 7Q, calculated from the day after the due date until actual payment, with no waiver mechanism.4India Code. The Employees Provident Funds and Miscellaneous Provisions Act 1952 – Section 7Q On top of that, Section 14B damages apply.
