To pay federal taxes by check, make the check payable to “U.S. Treasury,” write your Social Security number, daytime phone, tax year, and form number on it, enclose the correct payment voucher without stapling anything together, and mail everything to the IRS address listed for your form and state. For a 2025 individual return, the payment is due April 15, 2026.
How to Write the Check
Make the check payable to U.S. Treasury. Not “IRS,” not “Internal Revenue Service.”1Internal Revenue Service. Pay by Check or Money Order
On the face of the check, include:
- Your full legal name and address as they appear on your return.
- A daytime phone number, in case the IRS needs to reach you.
- Your Social Security number, ITIN, or EIN. This is the identifier that ties the payment to your account.
- The tax year and form number the payment covers, for example “2025 Form 1040.” Without this, the payment can post to the wrong period.
Write the dollar amount on the right side in the format $XXX.XX. Skip dashes and fractions like “$500—” or “$500 00/100.”2Internal Revenue Service. Form 1040-V Payment Voucher for Individuals (2025) The check must be drawn on a U.S. bank in U.S. dollars. Never send cash.1Internal Revenue Service. Pay by Check or Money Order
If you and your spouse filed jointly but received separate balance-due notices, add “MFT 31 separate assessment” to the memo line.1Internal Revenue Service. Pay by Check or Money Order
Which Payment Voucher to Include
The voucher tells the IRS what the check is for. Which one you send depends on why you’re paying.
Form 1040-V for a Balance Due on Your Annual Return
If you owe a balance on Form 1040, 1040-SR, or 1040-NR, include Form 1040-V with your check. It’s a one-page voucher available on IRS.gov and typically produced by tax software.3Internal Revenue Service. About Form 1040-V, Payment Voucher for Individuals
Enter your Social Security number on Line 1 (for a joint return, the SSN listed first on the return), your spouse’s SSN on Line 2 if applicable, and the exact payment amount on Line 3. The amount must match the check to the cent.2Internal Revenue Service. Form 1040-V Payment Voucher for Individuals (2025)
Do not staple, clip, or glue the voucher to the check or the return. Place all three loose in the envelope. IRS processing centers run mail through high-speed scanners, and anything fastened can jam the equipment or misread.2Internal Revenue Service. Form 1040-V Payment Voucher for Individuals (2025)
Form 1040-ES for Quarterly Estimated Taxes
If you’re self-employed or have income the withholding system doesn’t cover, you likely make quarterly estimated payments using Form 1040-ES. Write “2026 Form 1040-ES” and your SSN on the check instead of referencing Form 1040, enclose the voucher for the quarter you’re paying, and mail it to the address in the Form 1040-ES instructions for your state. That address is different from the one used for your annual return.4Internal Revenue Service. 2026 Form 1040-ES
The 2026 estimated tax due dates are:
- April 15, 2026, for income earned January through March
- June 15, 2026, for income earned April through May
- September 15, 2026, for income earned June through August
- January 15, 2027, for income earned September through December
If a due date falls on a weekend or holiday, it moves to the next business day.5Internal Revenue Service. When to Pay Estimated Tax
Where to Mail It
The IRS uses different processing centers for different forms, and the correct address depends on both the form and your state. The mailing address for a Form 1040 with payment is not the same as the address for Form 1040-ES, an amended return, or an extension.
Check the current address on the IRS “Where to File” page rather than reusing one from an older instruction booklet. Processing centers are occasionally reassigned, and the website reflects the current routing.6Internal Revenue Service. Where to File Paper Tax Returns With or Without a Payment
Proving You Paid on Time
Under federal law, a tax payment mailed on or before the deadline counts as paid on the postmark date, even if it arrives later. The envelope must be properly addressed, carry correct postage, and bear a U.S. Postal Service postmark dated by the deadline.7Office of the Law Revision Counsel. 26 USC 7502 – Timely Mailing Treated as Timely Filing and Paying
Sending the payment by USPS certified mail with return receipt gives you a documented postmark. If the IRS later claims your payment was late, the certified mail receipt is your evidence. The extra cost is worth it any time you’re mailing close to a deadline.
Designated Private Delivery Services
The IRS also recognizes specific service tiers from DHL Express, FedEx, and UPS for the timely-mailing rule, meaning their tracking records carry the same legal weight as a USPS postmark. Not every shipping option qualifies; the current list of accepted tiers is on the IRS Private Delivery Services page.8Internal Revenue Service. Private Delivery Services (PDS)
One catch: some IRS addresses are P.O. boxes, and only USPS can deliver to those. The Form 1040-ES instructions specifically warn that you cannot use a private carrier for estimated payments sent to a P.O. box address.4Internal Revenue Service. 2026 Form 1040-ES Check your address before choosing a carrier.
Confirming the Payment Cleared
Allow at least two weeks after mailing before worrying. When the check clears your bank, that’s your first confirmation the payment reached the IRS.9Internal Revenue Service. General Procedural Questions
If two weeks have passed and the check still hasn’t cleared, call your bank to verify, then call the IRS at 800-829-1040 to ask whether the payment has been credited. Your IRS Online Account also shows balance and payment history by tax year.10Internal Revenue Service. Online Account for Individuals
If the Check Bounces
A returned check triggers a penalty on top of what you already owe. For checks of $1,250 or more, the penalty is 2% of the check amount. For checks under $1,250, it’s the lesser of $25 or the full check amount.11Internal Revenue Service. Dishonored Check or Other Form of Payment Penalty
A good-faith exception exists: if you had reasonable cause to believe the check would clear, the IRS can waive the penalty. “I thought I had enough in my account” rarely qualifies.12Office of the Law Revision Counsel. 26 USC 6657 – Bad Checks Beyond the bounced-check penalty, the failed payment means you still owe the original tax, and late-payment penalties and interest start running if you don’t replace it quickly.
If the Check Gets Lost
Checks do get lost. If at least two weeks have passed, your bank confirms the check hasn’t cleared, and the IRS has no record of the payment, place a stop-payment order with your bank and send a replacement check. The IRS will not charge a bounced-check penalty when you voluntarily stop payment and replace it.13Internal Revenue Service. General Procedural Questions If your bank charges a stop-payment fee, you can file Form 8546 to request reimbursement.
The bigger risk is timing. If the replacement arrives after the original deadline and you can’t prove the first check was postmarked on time, late-payment penalties can still apply. That is the case for certified mail or a designated private carrier whenever you’re paying close to a deadline.
Late-Payment Penalties and Interest
If your payment doesn’t reach the IRS by the deadline, two charges begin accumulating.
The failure-to-pay penalty is 0.5% of the unpaid tax per month or partial month, capped at 25%.14Internal Revenue Service. Topic No. 653, IRS Notices and Bills, Penalties and Interest Charges If you also failed to file the return, the failure-to-file penalty is 5% per month up to 25%, with a minimum penalty of $525 for returns due after December 31, 2025.15Internal Revenue Service. Failure to File Penalty
Interest accrues on both the unpaid tax and any penalties. The rate changes quarterly. For the first quarter of 2026 the underpayment rate is 7%, and for April through June 2026 it drops to 6%.16Internal Revenue Service. Internal Revenue Bulletin 2026-08 Interest compounds daily, so an unpaid balance grows faster the longer it sits.
