How to Keep Track of eBay Sales for Taxes: Records, Tools, and 1099-K

To keep track of eBay sales for taxes, log every sale, fee, refund, shipping cost, mileage trip, and inventory purchase as it happens, save the underlying receipts, and reconcile your running totals against eBay’s Seller Hub reports each month so the year-end numbers drop cleanly onto Schedule C. The habit is simple. The payoff is that you pay tax on your actual profit instead of on the inflated gross figure the IRS sees.

Know What You Actually Owe Tax On

Before you build a tracking system, sort out what’s taxable. Selling personal items for less than you paid produces no income and no deductible loss, because personal-use assets don’t work that way.1Internal Revenue Service. Topic No. 409, Capital Gains and Losses You still need records showing the original purchase price, though, because the IRS has no way to know you sold at a loss unless you can prove it.

Selling a personal item for more than you paid produces a taxable capital gain. Buying items specifically to resell puts you in business territory, and business income is reported on Schedule C, where expenses come off revenue to arrive at net profit.2Internal Revenue Service. Instructions for Schedule C (Form 1040) That net profit is the number you’re taxed on.

One side benefit of good record-keeping: it’s one of the strongest signals the IRS uses to distinguish a business from a hobby. The agency weighs whether you keep accurate books, whether you operate in a businesslike manner, whether you depend on the income, and whether you’ve turned a profit in three of the last five years.3Internal Revenue Service. Know the Difference Between a Hobby and a Business Hobby status is worse for your taxes, because deductions get capped against hobby income. The tracking work you’re about to do is itself evidence you’re running a business.

Why the 1099-K Makes Records Non-Negotiable

eBay is required to send you and the IRS a Form 1099-K if your gross payments exceed $20,000 and you have more than 200 transactions in a year.4Internal Revenue Service. IRS Issues FAQs on Form 1099-K Threshold Under the One, Big, Beautiful Bill; Dollar Limit Reverts to $20,000 Under the threshold, no 1099-K is issued, but the tax on any profit is still owed.

The 1099-K number is almost always larger than your real income. It reports gross payments processed, with no subtraction for fees, refunds, shipping, promotions, or the sales tax eBay collected on behalf of states.5Internal Revenue Service. What to Do With Form 1099-K Your own records are what reconcile that gross figure down to actual taxable profit. Without them, the IRS sees a large number on the 1099-K and you have nothing to show it isn’t all income.

What to Record for Each Sale

Gross receipts — the total buyers paid you before any fees or expenses come out — go on Line 1 of Schedule C and include shipping charges the buyer paid.2Internal Revenue Service. Instructions for Schedule C (Form 1040) Marketplace sales tax that eBay collects belongs to the state, not to you, and your records should separate it out so you can explain why your reported revenue is lower than the 1099-K.

For each sale, capture:

  • Sale date
  • Item description
  • Amount the buyer paid
  • Shipping the buyer paid
  • Sales tax eBay collected (kept separate)
  • Final value fees and any promoted-listing fees
  • Refund amount and date, if the sale is later reversed

Log this as it happens. Reconstructing sales from memory in April is where most sellers make mistakes. Even if you plan to pull eBay’s reports at year-end, entering sales in real time creates a second copy and surfaces discrepancies while they’re still easy to fix.

What to Record for Expenses

Every expense you don’t record is money you pay tax on unnecessarily. The categories most eBay sellers can deduct:

  • Platform fees: listing fees, final value fees, and payment processing fees
  • Shipping: postage, boxes, tape, labels, bubble wrap, and any other packaging. If you spent more on shipping than the buyer paid, the full amount is still deductible.
  • Advertising: promoted listings and any other paid marketing
  • Office supplies and software: label printers, accounting software subscriptions, and a proportional share of internet and phone service used for the business

Save the underlying receipt for each expense, not just the credit card statement. A statement shows an amount and a merchant; the IRS wants to see what you bought. Screenshots of digital purchase confirmations count. Categorize as you go so year-end filing is assembly, not archaeology.

Home Office

A space used exclusively and regularly for your eBay business qualifies for a home office deduction. The simplified method pays $5 per square foot up to 300 square feet, capping at $1,500.6Internal Revenue Service. Simplified Option for Home Office Deduction The regular method applies the business-use percentage of your home to housing expenses like mortgage interest, utilities, and insurance, reported on Form 8829.7Internal Revenue Service. How Small Business Owners Can Deduct Their Home Office From Their Taxes

“Exclusively” is the operative word. A bedroom used for inventory, photography, and packing qualifies. A shared living room does not. If you plan to use the regular method, track rent or mortgage, utilities, and insurance across the whole year so the math is ready in January.

Mileage

Trips to the post office, thrift stores, estate sales, and supply stores for the business are deductible. The 2026 standard mileage rate is 72.5 cents per mile.8Internal Revenue Service. IRS Sets 2026 Business Standard Mileage Rate at 72.5 Cents Per Mile, Up 2.5 Cents Each trip needs a log entry with date, destination, business purpose, and miles driven. A notes app on your phone, updated on the spot, is enough. Reconstructed mileage doesn’t survive an audit.

Track Inventory Separately From Expenses

Items you buy to resell are not operating expenses. Their cost is Cost of Goods Sold, which has its own section in Part III of Schedule C and is subtracted from gross receipts before operating expenses.9Internal Revenue Service. Schedule C (Form 1040) – Profit or Loss From Business Lumping inventory purchases in with supplies or office expense distorts the calculation and can cause problems if you carry unsold stock into the next year.

For every item bought for resale, record:

  • Purchase date
  • What you paid, including sales tax and inbound shipping
  • Sale date, once it sells
  • Sale price, tying back to the sales log

The COGS formula on Schedule C is straightforward: beginning-of-year inventory, plus purchases during the year, minus end-of-year inventory. Whatever method you use to value closing inventory has to be applied consistently year over year.10Internal Revenue Service. Lower of Cost or Market (LCM) For most eBay sellers dealing in unique items, tracking each item’s specific cost is the practical approach. High-volume sellers moving identical goods sometimes use FIFO. Either way, an inventory ledger with cost, purchase date, and sale date is essential if stock crosses a year boundary.

Tools That Fit Your Volume

The best system is the one you’ll actually keep up with. For a couple dozen items a month or fewer, a well-built spreadsheet does the job. Set up columns for date, item, sale price, shipping collected, fees, shipping paid, purchase cost, and net. A second tab handles non-sale expenses like supplies, mileage, and software.

As volume grows, manual entry starts producing errors and gaps. Accounting software like QuickBooks Online or Xero can pull transactions from your bank and card accounts automatically. Some e-commerce-specific tools connect directly to eBay, importing sales, fees, and refunds so nothing has to be typed twice. Whatever you choose, it should produce a categorized profit-and-loss statement on demand that maps to Schedule C line items, and it should handle inventory so COGS doesn’t live in a separate file that drifts out of sync.

Use eBay Seller Hub as Your Raw Data

Seller Hub generates the reports that back up your books. Transaction Reports and monthly Financial Statements break out gross sales, final value fees, listing fees, promoted listing charges, shipping label costs, and refunds. Download them monthly in spreadsheet format so they can feed your accounting system or be checked against your own log.

The monthly financial statement is especially useful as a reconciliation tool. It summarizes money in and out, and you can match it to your bank deposits. A mismatch is worth chasing in the month it appears, not in April.

Refunds need particular attention. Issuing a refund reduces gross sales for the year, and the fees eBay credits back should also flow through your records. Shipping labels bought through eBay are a deductible expense reported in these statements, kept separate from postage you buy elsewhere.

Year-End Reconciliation

At filing time, categorized records flow into Schedule C: gross receipts on Line 1, COGS on Line 4, and operating expenses across Lines 8 through 27 in their designated categories.9Internal Revenue Service. Schedule C (Form 1040) – Profit or Loss From Business Net profit or loss carries to Form 1040. If net earnings from self-employment reach $400, self-employment tax on Schedule SE also applies,11Internal Revenue Service. Topic No. 554, Self-Employment Tax and because eBay doesn’t withhold, quarterly estimated payments are on you — another reason real-time tracking matters, since you can’t estimate what you haven’t measured.

Before filing, reconcile your Schedule C gross receipts to any 1099-K you received. The 1099-K will typically be higher, because refunds, returns, and marketplace-collected sales tax inflate it. Your records are what justify the difference. The IRS matches 1099-K figures to returns, and unexplained gaps draw notices.

How Long to Keep Everything

Records supporting the income, deductions, and credits on your return need to be kept until the statute of limitations closes — generally three years from the date the return was filed.12Internal Revenue Service. How Long Should I Keep Records Certain claims like worthless securities or bad debt extend that to seven years.13Internal Revenue Service. Topic No. 305, Recordkeeping

Hold on to downloaded eBay reports, expense receipts, bank statements, inventory purchase records, mileage logs, and the 1099-K itself. Digital storage is fine and often better, since paper fades. Back up to a second location, whether cloud storage or an external drive. The sellers who handle audits calmly are the ones who can pull any receipt from any month in minutes.
