How to Get Your Walmart W-2 Form: Current and Former Employees

To get your Walmart W-2, current associates download it from the OneWalmart portal, and former associates retrieve it from mytaxform.com, the Equifax Workforce Solutions site Walmart uses for former-employee tax documents. Both routes give you a PDF you can print or upload into tax software. Walmart must furnish the form by January 31, and electronic copies usually post a couple of weeks earlier.

What to Have Ready Before You Log In

You will need your Social Security number and your Walmart Identification Number, the WIN printed at the top of every pay stub Walmart has issued you. If you no longer have a stub, a current or former manager with system access can look the WIN up.

The MyTaxForm login also asks for an employer name or code before it will pull your records. Typing “Walmart” in the employer-name field or checking a recent pay stub should surface the right one. Walmart’s federal Employer Identification Number, which appears in Box b of the W-2 itself, is 71-0415188.

Current Employees: Use OneWalmart

Log into OneWalmart, sometimes still called the Wire, with your regular associate credentials. Open the Money section of the dashboard and select the Pay or Tax Center link. Your current and prior-year W-2s live there. Pick the tax year and the portal produces a PDF you can view, save, or print.

You can reach OneWalmart from a store computer or from home through the associate login page. If the tax-center link is not showing on your dashboard, clear your browser cache or try a different browser. Late-January traffic sometimes slows the page down.

Former Employees: Use MyTaxForm

Once you leave Walmart, your OneWalmart access eventually expires. Go to mytaxform.com, enter the Walmart employer name or code, then verify your identity with your Social Security number and other personal details.

The site lists every tax year Walmart has on file for you. Choose a year and you can either accept the electronic-disclosure consent to download the PDF immediately, or request a paper copy by mail. If you want it mailed, confirm the address on file is current first. If the portal blocks you or your identity check fails, call Walmart’s People Services at 1-800-421-1362.

When Your W-2 Will Be Available

Federal law requires Walmart to furnish your W-2 by January 31 of the year after the tax year. If you left Walmart mid-year, you can submit a written request and Walmart must send the form within 30 days of receiving that request, or by January 31, whichever comes first.1Office of the Law Revision Counsel. 26 USC 6051 – Receipts for Employees

Electronic copies typically appear on OneWalmart in mid-January. Paper copies are usually mailed during the last week of January, so allow at least a week of transit after that. Checking the portal every few days through late January is the fastest way to know your form is ready.

If Your W-2 Never Arrives

Start with Walmart. If nothing has posted to either portal and no paper copy has arrived after January 31, call People Services at 1-800-421-1362 and ask payroll to re-issue it. Confirm the mailing address on your personnel file while you have them on the line, since an outdated address is the usual reason a paper form goes missing.

If you still have nothing by the end of February, the IRS says to call 800-829-1040. Have this information ready:2Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong

  • Your name, address, and phone number
  • Your Social Security number
  • The dates you worked for Walmart
  • Walmart’s name, address, and phone number

The IRS will contact Walmart on your behalf and send you Form 4852, a substitute for the W-2. Fill it out by estimating your wages and withholdings from your final pay stub of the year, and file it with your return in place of the missing form.3Internal Revenue Service. About Form 4852, Substitute for Form W-2, Wage and Tax Statement, or Form 1099-R Line 9 asks you to explain how you came up with the numbers, so keep those pay stubs or screenshots of your OneWalmart pay history. If the real W-2 shows up later and the figures do not match, you will need to amend your return.

If the W-2 Has Errors

Do not file with bad data. If your wages, withholdings, name, or Social Security number are wrong, call People Services at 1-800-421-1362 or speak with a People Lead at your facility and ask for a Form W-2c, the official corrected wage and tax statement.4Internal Revenue Service. If you already filed using the wrong numbers, file an amended return on Form 1040-X once the W-2c arrives. You can e-file the amendment or mail it. You generally have three years from the date you filed the original return, or two years from the date you paid the tax, whichever is later, to file the amendment and claim any additional refund.6Internal Revenue Service. File an Amended Return Attach the W-2c so the IRS can see what changed. Amended returns take several months to process.

Reading the Key Boxes

When you open the PDF, check Box a first: a single transposed digit in your Social Security number can hold up your refund for months. Box b holds Walmart’s EIN, 71-0415188, and Box d holds your WIN.

Box 1 is your total taxable wages, and Box 2 is the federal income tax Walmart withheld. Those two figures drive whether you owe or get a refund. Boxes 3 through 6 cover Social Security and Medicare wages and the tax withheld on each. If you contributed to Walmart’s 401(k), Box 12 will show your elective deferrals with a code D. Those contributions reduced Box 1 but not Boxes 3 and 5, which is why Social Security and Medicare wages often run higher than taxable wages.1Office of the Law Revision Counsel. 26 USC 6051 – Receipts for Employees Boxes 15 through 20 cover state and local taxes; if you worked in more than one state during the year, each state appears on its own line.
