How to Get Your W-4 From a Previous Employer

To get your W-4 from a previous employer, ask that employer’s HR or payroll team directly, because the IRS never receives W-4s and cannot send you one. If what you actually need is the federal withholding amount from that job rather than the form itself, a free IRS Wage and Income Transcript will show the totals your employer reported.

Why the IRS Cannot Send You a W-4

The W-4 is the form you complete so your employer withholds the right amount of federal income tax from each paycheck.1Internal Revenue Service. About Form W-4, Employee’s Withholding Certificate Unlike the W-2, which employers file with the IRS and Social Security Administration, the W-4 stays in the employer’s own records. The IRS has confirmed that employers are not required to report W-4 information to the agency.2Internal Revenue Service. Form W-4 and Wage Withholding

Employers must keep W-4s for at least four years after the tax becomes due or is paid, whichever is later.3eCFR. 26 CFR 31.6001-1 – Records in General After that, they can destroy it. If you left the job more than four or five years ago, the form may no longer exist anywhere.

Because the IRS never sees the W-4, no IRS transcript will show your original elections — the filing status you chose, dependents you claimed, or any extra withholding you requested. What the IRS can supply is a record of total wages and federal tax withheld as your employer reported them on your W-2. For tax filing, loan applications, and income verification, those totals are usually what you actually need.

Asking Your Former Employer for the Form

Start with the Human Resources or Payroll department. If the company used a third-party payroll platform, try logging into your old employee portal first, since past documents are often still downloadable there. If your account was deactivated, HR can typically reset your access or pull the document for you.

A written request should include:

  • Your full legal name as it appeared in company records during your employment.
  • Your Social Security number, needed to verify identity and locate your file.
  • Your approximate start and end dates with the company.
  • The specific tax year or years the W-4 covered.

If you still have an old W-2 from the same employer, the Employer Identification Number on it can help payroll staff find your records faster in a large organization. Be clear that you are asking for the W-4 withholding certificate, not a W-2 or a general payroll summary.

Protect your information when you send the request. Don’t put your full Social Security number in an unencrypted email. Certified mail with return receipt gives you proof of delivery and a paper trail; an encrypted portal or secure fax is a reasonable alternative if the company offers one.

One limit to be aware of: federal law requires employers to keep W-4 records available for IRS inspection, not to hand copies to former employees on request.3eCFR. 26 CFR 31.6001-1 – Records in General Most employers will cooperate, but if yours does not, whether you can compel them depends on your state’s personnel record access laws.

If the Employer Won’t Respond or Has Closed

If your first request goes unanswered, follow up in writing after about two weeks and keep copies of everything. What you do next depends on why you need the record.

  • If you need the withholding totals for tax filing, a loan, or income verification, order a free IRS Wage and Income Transcript. It shows the same federal figures your employer reported on your W-2.
  • If you specifically need your original W-4 elections, check whether your state has a personnel record access law. Many states require employers to let current and former employees inspect or copy their payroll records within a set timeframe. Your state labor agency can explain the process and enforcement options.
  • If the company has gone out of business, the W-4 itself is likely gone permanently. The IRS transcript is your practical substitute for withholding totals.

If you also haven’t received a W-2 by the end of February, whether the employer has closed or is simply unresponsive, call the IRS at 800-829-1040. Have your name, address, Social Security number, dates of employment, and the employer’s name and address ready. The IRS will contact the employer on your behalf and send you Form 4852, an official substitute for a missing W-2.4Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong
