How to Get Your W-2 Online: Payroll Portals, IRS Transcripts, and SSA

You have three reliable ways to get your W-2 online: download it from your employer’s payroll portal, import it through commercial tax software, or pull a wage and income transcript from your IRS online account. Employers must furnish the form by January 31, and most post the digital copy in the portal before the paper version reaches your mailbox.1Office of the Law Revision Counsel. 26 USC 6051 – Receipts for Employees Which route works best depends on whether you still have portal access, whether your employer’s payroll provider participates in tax-software imports, and how early in the season you’re filing.

What to Have Ready

Every online method asks for the same core identifiers: your Social Security number and your employer’s Employer Identification Number. The EIN is a nine-digit number formatted as XX-XXXXXXX. You’ll find it in Box B of any prior-year W-2 or on a recent pay stub.2Internal Revenue Service. General Instructions for Forms W-2 and W-3 (2026) If you don’t have either handy, call HR or payroll and ask.

Confirm your legal name matches Social Security records. A mismatch can prevent a payroll portal from generating your form and cause the IRS to reject an e-filed return. If you changed your name through marriage or a court order, update the SSA first. Same idea with your address: if you moved since your last W-4, tell payroll so the mailed copy reaches you as a backup.

If the IRS has issued you an Identity Protection PIN, keep it close. Any e-filed return missing the PIN gets rejected. You can pull your current IP PIN from the Profile page of your IRS online account.3Internal Revenue Service. Retrieve Your Identity Protection PIN (IP PIN)

Download It from Your Employer’s Payroll Portal

This is the fastest route. Companies that run payroll through platforms like ADP, Workday, Gusto, or Paychex typically post digital W-2s in January, sometimes ahead of the paper copies. Log in to the portal your employer set you up with at onboarding, look for a section called something like Tax Documents or Pay Statements, and pick the year you need. The download is a PDF, and it files exactly like a mailed copy.

First-time access sometimes requires a short registration code that payroll sends by email or internal memo. If you never received it or lost it, HR can reissue one.

If You’ve Left the Job

No federal law forces an employer to keep your portal login active after you leave, and many companies disable access within days. If you’re planning to leave or expect a layoff, download every tax document you can before your last day. If you’re already locked out, the employer is still required to furnish your W-2 by January 31 through mail or another delivery method.4eCFR. 26 CFR 31.6051-1 – Statements for Employees Contact the former employer directly and ask.

Import It Through Tax Software

Most commercial tax programs offer an import shortcut. You enter your employer’s name or EIN, and the software checks a database of participating payroll providers. If yours participates, you log in to the payroll site through the software, authorize the transfer, and the wage and withholding fields fill in for you.

Some programs also let you import directly from your IRS online account instead of routing through a payroll provider.5Internal Revenue Service. Import Your Tax Information into Tax Preparation Software Either way, check the imported numbers against your final pay stub of the year. Verify wages, federal income tax withheld, and Social Security and Medicare tax amounts. An auto-import pulls whatever was reported to the IRS, so any error at the source rides along with it.

Pull a Wage and Income Transcript from the IRS

When you can’t reach your employer or the portal, the IRS offers a wage and income transcript with the same financial data. It doesn’t look like a W-2, but it shows the wages, tips, and withholding your employer reported, which is enough to complete a federal return.6Internal Revenue Service. Timing

Current-year transcripts generally become available around late March, and the data may be incomplete until every employer’s filing is processed. If you’re filing early and your latest employer’s data hasn’t posted, you’ll need to wait or work from your final pay stub. The IRS retains wage and income transcript data for up to 10 years.6Internal Revenue Service. Transcript or Copy of Form W-2

What’s Masked

Standard transcripts hide personal details to guard against identity theft. Only the last four digits of your Social Security number and your employer’s EIN appear, and your name and street address are truncated. Every financial figure, including wages and withholding, stays fully visible.8Internal Revenue Service. About Tax Transcripts If tax preparation requires unmasked details, the IRS offers an unmasked version that displays your full name, address, and Social Security number alongside the financial data.

When Your W-2 Is Missing, Late, or Wrong

If January 31 comes and goes without a W-2, contact your employer first. The cause is often an outdated address or a portal issue. If the employer doesn’t respond, the IRS steps in. After the end of February, call 800-829-1040 and ask the representative to open a W-2 complaint.9Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong The IRS will contact the employer on your behalf and can help you file with a substitute form.

Filing with Form 4852

If the April deadline is closing in and the W-2 still hasn’t come, file with Form 4852 as a substitute. It works for missing forms and for incorrect ones.10Internal Revenue Service. About Form 4852, Substitute for Form W-2, Wage and Tax Statement You estimate wages, withholding, and other figures from your best records. Your final pay stub of the year is the most reliable reference, and the form asks you to explain how you arrived at each amount, so keep your stubs.

Filing with estimates is a fallback. If the real W-2 arrives later and the numbers don’t match, you’ll need to amend the return. Even so, filing on time with Form 4852 beats a late return.

If the W-2 Is Wrong

Ask your employer to issue a corrected Form W-2c. Employers who e-file with the Social Security Administration can generate the correction through the W-2c Online service.11Internal Revenue Service. W-2 – Additional, Incorrect, Lost, Non-Receipt, Omitted If the employer refuses, use the IRS complaint process, and file with Form 4852 to report the correct figures.

If the Employer Has Closed

A defunct company can’t open a payroll portal for you, but the paths above still work. If a bankruptcy trustee or successor holds the payroll records, try there. Otherwise, request a wage and income transcript from the IRS or call 800-829-1040 for help with a substitute form.12Internal Revenue Service. What If My Employer Goes Out of Business or Into Bankruptcy Current pay stubs are the best backup for this scenario, which is why the IRS advises holding on to them.

Cross-Check Your Wages at the Social Security Administration

The SSA isn’t a source for the W-2 itself, but it’s worth a look once you have your form. The agency keeps a separate earnings record for every worker, and a mismatch between the SSA record and your W-2 means something went wrong in reporting, which can shrink your future retirement benefit.13Social Security Administration.
