If you’re wondering how to get your W-2, start with your employer or its payroll portal, and if that doesn’t work you can pull the same wage data from the IRS or file your return with a substitute form. The right path depends on why the form is missing and how close you are to the filing deadline.
Start With Your Employer or Payroll Portal
Federal law requires every employer that withheld taxes from your paycheck to furnish your W-2 by January 31 of the following year. For tax year 2025, January 31 falls on a Saturday, so the deadline shifts to Monday, February 2, 2026.1Office of the Law Revision Counsel. 26 USC 6051 – Receipts for Employees
If your workplace uses a payroll platform like ADP, Workday, or Gusto, your W-2 is usually available for download before the paper copy arrives. Log in to the same portal you use for pay stubs and look for a “Tax Documents” or “Year-End Forms” section. Most platforms also let former employees create a standalone login to retrieve tax forms after they’ve left the company.
When digital access isn’t an option, email or call your employer’s payroll or human resources department and ask for a paper copy. If the company has gone out of business, the obligation falls to whoever is handling its remaining affairs, whether that’s a successor business, a bankruptcy trustee, or a court-appointed representative. Public bankruptcy filings and state business registries are the places to look for the right contact. Employers must keep payroll records for at least three years, so those records should still exist even after a closure.2U.S. Equal Employment Opportunity Commission. Recordkeeping Requirements
When Your Employer Won’t Respond, Call the IRS
If you’ve asked and gotten nowhere by the end of February, call the IRS at 800-829-1040. Have your name, address, phone number, and Social Security number ready, along with the dates you worked for the employer and the employer’s name, address, and phone number. The IRS will contact the employer directly and demand the form be issued.3Internal Revenue Service. If You Dont Get a W-2 or Your W-2 Is Wrong
File With Form 4852 If the Deadline Is Closing In
If April is approaching and you still don’t have the form, you can file your return using Form 4852, which acts as a substitute for the W-2. The IRS may mail you a copy after you call, or you can download it from irs.gov.4Internal Revenue Service. About Form 4852, Substitute for Form W-2, Wage and Tax Statement
You’ll need to estimate your total wages and the federal income tax withheld for the year. Your final pay stub is the best source. Pull the year-to-date figures for gross wages, federal income tax withheld, Social Security wages and tax, and Medicare wages and tax. Skip Form 4852 if your pay stub only shows a take-home amount without itemized deductions.5IRS. Using Form 4852 When Missing the Form W-2 or 1099-R for VITA/TCE Volunteers
The form asks how you arrived at your numbers. Something like “estimated from final year-to-date pay stub dated 12/27/2025” is enough. Attach Form 4852 to the back of your return before any supporting schedules.6Internal Revenue Service. Form 4852 – Substitute for Form W-2, Wage and Tax Statement
Another option in early April is to buy yourself more time. Filing Form 4868 gives you until October 15, 2026 to file, though any tax you owe is still due by April 15.7Internal Revenue Service. Get an Extension to File Your Tax Return
If the real W-2 shows up later with different numbers, file Form 1040-X to amend. The IRS instructions specifically list “received another Form W-2 after you filed your return” as a reason to amend, and you’ll attach a copy of the W-2 to the amendment.8Internal Revenue Service. Instructions for Form 1040-X If the numbers match your estimates, no amendment is needed.
Pull a Wage and Income Transcript From the IRS
The IRS receives copies of every W-2 your employer files and can give you that data as a wage and income transcript. It isn’t a photocopy, but it contains gross wages, federal tax withheld, Social Security and Medicare wages, and the employer’s identifying information. For most tax-filing purposes it works as well as the original, and the IRS can generally provide it going back ten years.9Internal Revenue Service. Form 4506-T, Request for Transcript of Tax Return
Online Through Your IRS Account
The fastest way is through the transcript tool at irs.gov. You’ll create or sign in to an account verified through ID.me, which requires a government-issued photo ID (driver’s license, state ID, or passport) and a selfie taken with a smartphone or webcam.10Internal Revenue Service. New Identity Verification Process to Access Certain IRS Online Tools and Services Once you’re in, select the wage and income transcript for the tax year you need and download it. Current-year wage data generally isn’t available until the first week of February, since the IRS needs time to process the W-2s employers file.11Internal Revenue Service. By Mail, Phone, or Fax
If you can’t verify your identity online, you have three alternatives. Call the IRS automated transcript service at 800-908-9946 and request a transcript mailed to the address on file, which takes 5 to 10 calendar days. Or submit Form 4506-T by mail or fax, selecting line 8 for the wage and income transcript and specifying the tax year. Mailed Form 4506-T requests are generally processed within 10 business days.12Internal Revenue Service. Online Account and Tax Transcripts Can Help Taxpayers File a Complete and Accurate Tax Return
Form 4506-T asks for your Social Security number or ITIN, your current address, and the address you used on the return for the year you’re requesting. Different mailing and fax addresses apply depending on where you live, so check the form’s instructions before sending.9Internal Revenue Service. Form 4506-T, Request for Transcript of Tax Return
Older Records: Social Security Administration
For W-2-level earnings older than what the IRS keeps, the Social Security Administration maintains data going back to 1978.13Social Security Administration. Social Security Administrations Master Earnings File You request these records with Form SSA-7050, choosing from three tiers (fees updated as of October 2024): certified yearly earnings totals for $35, a non-certified itemized statement for $61, or a certified itemized statement for $96. The certified itemized version is the one you’d need for legal proceedings or official income verification such as a mortgage application; the yearly totals option is cheaper but doesn’t break earnings down by employer.14Social Security Administration. Form SSA-7050, Request for Social Security Earnings Information
Because of the cost and processing time, this is a last resort. For current tax filing, an IRS wage and income transcript is free, faster, and enough.
If the W-2 Arrived but the Numbers Are Wrong
Call your employer’s payroll department as soon as you spot the error, whether it’s overstated wages, a mistyped Social Security number, or an off withholding figure. Employers correct W-2 errors by issuing a Form W-2c, which shows both the original and corrected amounts.15Internal Revenue Service. About Form W-2 C, Corrected Wage and Tax Statements
Don’t file with numbers you know are wrong. If the deadline is close and no correction is coming, either file Form 4868 for an extension or submit Form 4852 with your own figures based on your pay stubs, explaining on the form why the original W-2 was incorrect. When the W-2c does arrive after you’ve already filed, compare it to what you reported and use Form 1040-X to amend if the amounts differ.
