How to Get Your W-2 From Your Employer or the IRS

If your W-2 is missing, wrong, or lost, there are three ways to get your W‑2 from your employer or the IRS: ask your employer’s payroll department for a reissue, pull a wage and income transcript from your IRS online account, or, if the filing deadline is closing in, file with Form 4852 using your last pay stub. Which route makes sense depends on how soon you need the numbers and whether your employer is still reachable.

When Your W-2 Should Arrive

Employers that withhold taxes are required by federal law to give you a written statement of your wages and withholding for the year.1Office of the Law Revision Counsel. 26 USC 6051 – Receipts for Employees The statutory deadline is January 31 of the following year, and when it lands on a weekend it slides to the next business day. For the 2025 tax year, January 31, 2026 falls on a Saturday, so employers have until Monday, February 2, 2026 to deliver or postmark your W-2.2Internal Revenue Service. Give the mail about a week after that. If mid-February arrives and nothing has shown up, start working the phone.

Ask Your Employer First

Payroll or HR is almost always the fastest option. Many employers now keep tax forms in a self-service portal for several years, so if you still have login credentials, sign in and download the PDF. That takes minutes.

If there is no portal, or your access has been cut off after leaving the job, call or email payroll directly. Have your Social Security number and rough employment dates ready so they can find your record. Large employers and outside payroll providers like ADP or Paychex generally turn a reissue around in five to ten business days. Put the request in writing where you can — an email works — so you have a record if you need to escalate later.

Before you assume the W-2 vanished, confirm what address the employer had on file. A lot of “missing” W-2s were mailed to an old apartment and never forwarded.

When the Employer Is Closed or Won’t Respond

If the business shut down, filed for bankruptcy, or simply won’t pick up the phone, skip them and go to the IRS. The IRS holds wage and income data reported by employers for up to 10 years, which is enough for almost any current-year filing need.3Internal Revenue Service. Transcript or Copy of Form W-2

Get a Wage and Income Transcript From the IRS

Online

The quickest free option is the IRS Individual Online Account at irs.gov. Once you clear identity verification, you can view, print, or download your wage and income transcript, which shows what your employer reported to the Social Security Administration for the year.4Internal Revenue Service. Get Your Tax Records and Transcripts It isn’t a photocopy of the W-2 itself, but it contains the wage and federal withholding figures you need to file.

One boundary worth knowing: the wage and income transcript does not include state or local tax information.3Internal Revenue Service. Transcript or Copy of Form W-2 For state withholding, you’ll have to go back to your employer or your state tax agency.

By Mail

If online access isn’t working, request the transcript on paper. Download Form 4506-T from irs.gov, check the box for Form W-2, list the tax year, and mail or fax it to the address in the instructions.5Internal Revenue Service. Ask the IRS to Lean on Your Employer

If you’ve tried the employer and it’s now the end of February with no result, the IRS will intervene. Call 800-829-1040 or walk into a Taxpayer Assistance Center.7Internal Revenue Service. The IRS then sends the employer a letter demanding the W-2 within 10 days, and mails you a letter along with a copy of Form 4852 in case the employer still doesn’t respond.7Internal Revenue Service. File Without a W-2 Using Form 4852

If April is closing in and nothing has arrived, you can still file on time. Form 4852 is the official substitute for a missing or incorrect W-2.9Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong You fill in your best estimate of wages earned and taxes withheld, attach it to your Form 1040, and file.

Your final pay stub for the year is the best source. It usually shows year-to-date gross pay, federal and state withholding, Social Security and Medicare tax, and pre-tax deductions. On Form 4852, check the box confirming the amounts are estimates and briefly note how you came up with them, for example “based on final pay stub dated December 31.”10Internal Revenue Service. Two things to know. Filing with Form 4852 can slow your refund while the IRS verifies the numbers. And if a corrected W-2 turns up later with different figures, you have to amend using Form 1040-X.7Internal Revenue Service. Older Years: Earnings Records From the SSA

For W-2 information from years further back, or when you need a certified document for a legal or benefits dispute, the Social Security Administration is another source. A free my Social Security account at socialsecurity.gov/myaccount shows yearly earnings totals, though it does not list individual employer names or addresses.11Social Security Administration. For itemized records with employer names, you need Form SSA-7050.12Social Security Administration. How Can I Get a Detailed Earnings Statement Effective October 1, 2024, the SSA charges $35 for certified yearly totals, $61 for a non-certified itemized statement, and $96 for a certified itemized statement.11Social Security Administration. Penalties That Give You Leverage

Employers who furnish W-2s late or not at all face per-form penalties, and mentioning them in a follow-up email tends to focus attention. For forms due in 2026:13Internal Revenue Service. Information Return Penalties

  • Up to 30 days late: $60 per form
  • 31 days late through August 1: $130 per form
  • After August 1 or never filed: $340 per form
  • Intentional disregard: $680 per form, with no cap
