You can usually still get your W-2 from Workday after quitting by logging back into your former employer’s Workday tenant with the local credentials the system switches you to at separation, then downloading the PDF from Tax Documents under the Pay menu. Most companies keep the portal open to former employees for at least a year, and if yours doesn’t, federal law puts your old payroll department on the hook to send you a copy.
Find Your Former Employer’s Workday Login
Every Workday customer has its own login page. The standard URL looks like myworkday.com/wday/authgwy/[company-name]/login.htmld, with your former employer’s tenant name in the bracketed spot. If you didn’t save the link while you were working there, search your old personal email for “Workday” or “myworkday.com” and it will usually surface. A web search for the company name plus “former employee Workday login” is another way in.
Your active-employee credentials almost certainly won’t work anymore. Most organizations move departing staff off corporate single sign-on and onto a local Workday login that uses a personal email address and a separate password. The address the system expects is whatever home email you had listed in Workday while employed. If you never added one, or the one on file is stale, the self-service password reset will fail and you’ll have to ask your former employer’s HR team to update it before you can get in.
Before trying to sign in, gather your Social Security number, your employee ID if you can find it, and your original hire date. Workday’s verification screens may ask for any of them. Multi-factor authentication is typically wiped at separation, so be ready to set it up again from scratch.
Download the W-2 Once You’re In
The former-employee dashboard is a stripped-down version of what you saw as a current employee. Look for a Pay icon, or a Benefits and Pay application, on the main screen. Inside, open the Tax Documents tab. Your W-2s from every year you worked there should be listed. Pick the tax year you need and click view or print to generate the PDF, which includes the federal, state, and local copies.
Save the file to your own computer right away. Portal access can be revoked without notice, and some employers cut it off after a year or two to reduce security overhead. If nothing happens when you click view, your browser’s pop-up blocker is the likely culprit. Workday opens tax documents in a new window, so add the Workday URL to the allowed list and try again.
If Your Workday Login No Longer Works
When HR can’t restore access, go straight to payroll. Email is fine for speed, but a written request sent by certified mail creates a record if you need one later. Give them your full legal name, the last four of your Social Security number, your dates of employment, the tax year you need, and a current mailing address. Include your former employee ID if you have it.
Employers can charge a fee to reissue a W-2, and many do.1Internal Revenue Service. IRS Tax Tip 2004-23 What to Do if You Haven’t Received a Form W-2 There is no federal cap, so the amount varies by company. Specific requests move faster than vague ones.
Requesting a W-2 Early After a Mid-Year Quit
If you left before the end of the calendar year and need the form sooner than January, federal law lets you ask for it in writing. Your former employer must furnish the W-2 within 30 days of receiving that request, provided the 30-day window closes before January 31.2Office of the Law Revision Counsel. 26 USC 6051 – Receipts for Employees This tends to matter most when a mortgage lender or a new employer’s background check needs your earnings documented before year-end.
The request has to be in writing. An email to payroll or HR is enough, but keep a copy. Send it November 1 after an October departure and the form is due by December 1. Quit in December and the 30-day clock will usually run past January 31, so the ordinary January 31 deadline governs instead.
The January 31 Deadline
Whenever you quit, your former employer has to make your W-2 available no later than January 31 of the following year. Paper copies must be postmarked by that date; electronic copies must be posted to Workday by then.2Office of the Law Revision Counsel. 26 USC 6051 – Receipts for Employees
