How to Get Your W-2 From a Previous Employer: IRS Options and Substitutes

If you need to get your W-2 from a previous employer, start with the company’s payroll or HR department, because the law required them to send it to you by January 31 of the year after you earned the wages.1Office of the Law Revision Counsel. 26 USC 6051 Receipts for Employees If that request goes nowhere, the IRS will contact the employer on your behalf, and you can still file your return on time using a free wage transcript or a substitute form.

What to Have Ready Before You Ask

A few details make every call or online request go faster. Pull together your full legal name as it appeared on payroll, your Social Security number, your current mailing address, and your approximate dates of employment. If you can find an old pay stub, it will list the employer’s nine-digit Employer Identification Number (EIN), which the IRS uses to match your earnings to that specific business.2Taxpayer Advocate Service (TAS). TAS Tax Tip Employer Identification Numbers That stub also gives you year-to-date wage and withholding totals, which become important later if the W-2 never shows up.

Start With the Former Employer

The fastest route is usually the payroll or HR department at the company you left. Many larger employers keep an online portal where current and former employees can log in and download tax documents as PDFs. If the company used a third-party payroll service like ADP, you may be able to sign in to that provider’s portal and pull the W-2 directly, though access depends on whether your account is still active.3ADP. If your online account has been deactivated, a phone call or email to payroll usually triggers a reissue. Confirm the mailing address where you want it sent and state the tax year you need. Some companies charge a small administrative fee to reprint and mail older tax documents. Write down who you spoke with and the date; that record matters if you later have to show the IRS you made a good-faith effort.

Smaller businesses without automated systems may need a more direct approach. A call to the owner or office manager often works, and they can send a scanned copy through a secure file transfer or arrange for you to pick one up in person.

If the Business Has Closed or Gone Bankrupt

When a former employer has shut down, there may be no payroll department left to contact. The IRS advises reaching out to them directly so they can help you obtain a substitute W-2.4Internal Revenue Service. What if My Employer Goes Out of Business or Into Bankruptcy Hold on to any pay stubs you kept from that job, since their year-to-date totals will be your best source for estimating wages and withholding.

If the company went through bankruptcy, a court-appointed trustee may have handled final payroll obligations. The bankruptcy court’s clerk can help you identify who was responsible for issuing W-2s.

Ask the IRS to Step In
