Know the Deadline Before You Panic

January 31 is the date the form must be sent or made available, not the date it has to reach you. Give it a week or two for mail before you assume something went wrong.

Contact the Former Employer First

Before involving the IRS, call or email the payroll or HR department at your old company. The single most common reason former employees don’t receive a W-2 is an outdated address on file, especially if you moved after leaving the job. Confirm the mailing address they have for you and ask them to resend the form.

Many companies use third-party payroll platforms that let former employees log in and download W-2s directly. If you ever accessed pay stubs online while you worked there, try that login first.   • The employer’s legal name, complete address with ZIP code, and phone number
  • Approximate start and end dates of your employment

File With Form 4852 if It Still Hasn’t Arrived

Request an Extension if You’re Running Out of Time

The extension gives you more time to file, not more time to pay. Any tax owed is still due by April 15, and interest accrues from that date on anything underpaid. Use your pay stubs, your wage transcript, or last year’s return to estimate what you owe and send a payment with the extension. The penalty for filing late without an extension runs 5% of unpaid tax per month, up to a 25% maximum, so filing the extension is worth it even if your estimate isn’t perfect.

Amend Your Return if the Real W-2 Arrives Later
