How to Get Tax Documents From a Previous Employer: Transcripts and Form 4852

To get tax documents from a previous employer, start by asking the company’s payroll or HR department for a duplicate W-2, check any online payroll portal you used while employed, and if neither works, pull a free Wage and Income Transcript from the IRS. Employers are required to furnish W-2s by January 31, with the deadline sliding to the next business day when it falls on a weekend.1Internal Revenue Service. Topic No. 752, Filing Forms W-2 and W-3 If yours never arrived or you’ve misplaced it, the recovery path below moves from fastest to most formal.

Ask the Former Employer First

Call or email your old company’s payroll or HR department and ask for a duplicate. Have your full legal name, Social Security number, approximate employment dates, and a current mailing address ready. If you still have a pay stub with your employee ID, mention it — that speeds things up at larger employers.

Put the request in writing even if you also call. A short email creates a paper trail. If you’d rather use postal mail, send it certified with return receipt so you can prove the company received it. Keep it brief: who you are, which tax year, and how to reach you.

Before you send a Social Security number over email, confirm you’re talking to the actual payroll department. Look up the company’s phone number independently rather than trusting one that arrives in an email. Ask whether they offer a secure upload portal or encrypted email. When in doubt, mail the request on paper.

If the company has closed, check the secretary of state’s business filings in the state where it was registered. Most states publish a registered agent, the person designated to receive legal correspondence. If the business was acquired, the successor company typically inherits responsibility for issuing past employees’ tax documents, so send your request there.

Check the Payroll Portal You Used

Many employers run payroll through third-party platforms like ADP, Gusto, or Workday, and those systems often keep digital copies of your W-2 for several years after you leave. If you logged in during your employment, your documents may still be sitting in that account. Go directly to the provider’s site and try the password reset tied to the personal email you had on file.

Access depends partly on the employer. Some keep former-employee logins active; others deactivate them at separation. If password recovery fails, call the payroll provider’s support line. They can usually tell you whether your employer’s account is still active and whether your records can be retrieved.

If you specifically need a copy of the original form as filed with a prior return, that requires Form 4506.4Internal Revenue Service. About Form 4506-T, Request for Transcript of Tax Return

W-2 – Additional, Incorrect, Lost, Non-Receipt, Omitted

Employers who ignore the deadline face federal penalties. The base statutory penalty is $250 per statement they fail to furnish, reduced to $50 if corrected within 30 days or $100 if corrected by August 1. Intentional disregard raises the penalty to at least $500 per statement with no annual cap.6Office of the Law Revision Counsel. 26 USC 6722 – Failure to Furnish Correct Payee Statements These amounts are adjusted for inflation each year.

Use SSA Earnings Records for Older Years
