To get an old W-2, start with the employer that issued it, then move to the IRS for a free wage and income transcript covering up to the last ten years, and turn to the Social Security Administration for anything older. Which route fits depends on how far back the year is and whether you need the original document or just the numbers on it.
Start With the Employer Who Issued It
Calling the former employer’s payroll or HR office is almost always the fastest way to get a duplicate W-2. Many companies can send a digital or paper copy within a few business days, and the IRS itself tells taxpayers to contact the payer before asking the agency for records.1Internal Revenue Service. Federal rules require employers to keep employment tax records for at least four years after the tax is due or paid.2Internal Revenue Service. Employment Tax Recordkeeping Many larger employers hold them longer. If your paychecks came from a third-party processor like ADP or Paychex, check whether that provider still runs a self-service portal for former employees; past W-2s are often available there directly.
If the Company Was Sold, Merged, or Closed
When a business is acquired, the successor company can agree to take over W-2 reporting for the predecessor’s workers if it acquired substantially all the property and kept the employees in the same calendar year.3Internal Revenue Service. Rev. Proc. 2004-53 Contact the acquiring company’s HR office and ask whether they hold the historical payroll files.
If the employer went through Chapter 7 bankruptcy, a court-appointed trustee administers what’s left of the company’s records.4United States Courts. Chapter 7 – Bankruptcy Basics You can look up the case on the federal PACER system and reach out to the assigned trustee. If the business simply dissolved without any successor or bankruptcy, skip ahead to the IRS and SSA options.
If the Employer Just Won’t Send It
For a recent tax year, if the end of February passes without a W-2, call the IRS at 800-829-1040. Have your name, address, and Social Security number ready, along with the employer’s name, address, and employer identification number if you have it. The IRS will then contact the employer and ask them to send the form.5Internal Revenue Service. Topic No. 154, Form W-2 and Form 1099-R (What to Do if Incorrect or Not Received)
Get a Free Wage Transcript From the IRS

Transcripts are free and available for up to ten years.6Internal Revenue Service. Transcript or Copy of Form W-2 A transcript isn’t a photocopy of the original form, but the key figures are all there.
Online Through Your IRS Account

When You Need an Actual Copy of the Filed Return
Sometimes a transcript isn’t enough and you need a photocopy of the W-2 as it was filed. In that case, request a full copy of the tax return using Form 4506. The filed return includes attachments like your original W-2. The fee is $30 per return, and processing can take up to 75 calendar days.8Internal Revenue Service. Request for Copy of Tax Return – Form 4506 Full payment by check or money order must accompany the request.
For most purposes the free transcript is enough. Reach for the full copy when someone specifically needs the original document, such as certain litigation or loan applications that won’t accept a transcript.
If your home, main business location, or tax records are in a federally declared disaster area, the IRS waives the Form 4506 fee. Write the name of the disaster across the top of the form.9Internal Revenue Service. FAQs for Disaster Victims

If You Have to File Before the W-2 Arrives
A missing W-2 doesn’t force you to miss a filing deadline. Use your final pay stub of the year to estimate wages and withholding, then complete Form 4852 (Substitute for Form W-2) and attach it to your return.12Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong
Form 4852 asks you to explain how you arrived at the numbers, so hold on to pay stubs, bank statements, or anything else supporting them.13Internal Revenue Service.
