To get a W-2 from an old job, start by asking the former employer’s payroll or HR department for a copy; if that doesn’t work, request a wage and income transcript from the IRS, and if the filing deadline is closing in, use Form 4852 as a substitute. What to Have Ready Before You Ask
Every retrieval method asks for the same core details, so pull them together first. You need your full legal name as it appeared during the tax year in question and your Social Security number. You also need the employer’s full legal business name, which may differ from the brand you knew. The nine-digit Employer Identification Number speeds up record matching and appears in Box b of any prior W-2 or on old pay stubs.2Internal Revenue Service. About Form SS-4, Application for Employer Identification Number (EIN) Old pay stubs are worth digging up for another reason: they’re the best backup source of wage and withholding figures if you end up filing without the W-2.
Start With Your Former Employer
The fastest route is the direct one. Email the payroll or HR department so you have a written record, and name the specific tax years you need. If the company uses a digital payroll platform such as ADP, Workday, or Paychex, check whether your login still works. These portals usually keep downloadable PDFs of past W-2s in a tax documents section. If your access has been deactivated, HR can often reset your credentials or send the form directly.
Employers are required to keep employment tax records for at least four years after filing.3Internal Revenue Service. Employment Tax Recordkeeping If you worked there inside that window, the company should still have your records. For anything older, the answer depends on the company’s own retention policies.
If the Employer Won’t Respond or Has Closed
When a former employer ignores you, has merged, or has gone out of business, the IRS can step in. Call 800-829-1040 or visit a Taxpayer Assistance Center in person. Have your name, address, Social Security number, the dates you worked for the employer, and the employer’s name and address ready. The IRS will send the employer a letter asking them to furnish your W-2 within ten days.4Internal Revenue Service. Request a Wage and Income Transcript From the IRS
IRS wage and income transcripts are the most reliable backup when an employer is uncooperative or unreachable. Transcripts show the data employers reported to the IRS, including wages, federal tax withheld, and Social Security and Medicare wages, for the current tax year and nine prior years.5Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them A transcript isn’t a copy of the W-2, but it carries the same income and withholding figures you need to file. State and local tax figures reported on your W-2 don’t appear on IRS transcripts.
Online Through Your IRS Account
The fastest way is to log in to your IRS Individual Online Account at irs.gov. You’ll verify your identity through ID.me, which requires a government-issued photo ID.6Internal Revenue Service. Get Your Tax Records and Transcripts Once you’re in, you can view, print, or download wage and income transcripts immediately. Current-year wage data generally becomes available in early February, after employers submit their filings.
Online transcripts mask personally identifiable information, showing only the last four digits of Social Security numbers and EINs. The full financial data is still there. If you need an unmasked transcript, for instance because you’re filing a return for a year you previously didn’t file, the IRS can mail one to the address on record, but only for that specific purpose.
By Mail Using Form 4506-T
If you can’t use the online system, mail a completed Form 4506-T. On Line 8, check the box for a wage and income transcript, and enter the calendar years you need. Most requests are processed within about ten business days, then mailed to you.7Internal Revenue Service. Form 4506-T, Request for Transcript of Tax Return There’s no fee. The transcript will list every information return filed under your Social Security number for the years you asked about, W-2s and 1099s alike.
Older Years: The Social Security Administration
The Social Security Administration keeps earnings records that can go back further than the IRS’s ten-year window. Before paying for a formal request, check the free option.
Free Online Earnings Statement
Sign in or create a personal my Social Security account at ssa.gov to view your yearly earnings history at no cost. This statement shows your total reported earnings for each year, but it does not include employer names or addresses.8Social Security Administration. Form SSA-7050, Request for Social Security Earnings Information If you only need to confirm a year’s total, this is often enough.
Detailed Paid Request
For a record that includes employer names and addresses, mail Form SSA-7050-F4. As of October 2024, the fees are:
- Certified yearly totals: $35
- Non-certified itemized statement, which includes employer names and addresses: $61
- Certified itemized statement: $96
You can pay by credit card using Form SSA-714, or by check or money order payable to the Social Security Administration.9Social Security Administration. A certified SSA report covers every employer that reported wages under your Social Security number, which is useful when the record you need is older than the IRS keeps.
Your State Tax Agency
Some state revenue departments hold copies of W-2 data that employers filed for state income tax purposes. You may be able to request a wage and income statement through the state’s online portal or by written request. Availability, fees, and years on file vary. These records won’t include federal withholding, but if you need the state and local figures that IRS transcripts leave out, your state tax agency may be the only source.
Filing Without the W-2: Form 4852
If the filing deadline is approaching and the W-2 still hasn’t turned up, file your return using Form 4852, Substitute for Form W-2. The IRS recommends waiting until at least the end of February to give the employer time to send the form and to let the IRS complaint process run. If nothing arrives by then, pull together your final pay stub from that job, bank deposit records, or your IRS wage and income transcript, and use those figures on Line 7 of Form 4852. On Line 9, explain how you arrived at your numbers. On Line 10, describe what you did to try to get the actual W-2.11Internal Revenue Service. Attach Form 4852 to the back of your Form 1040 before any other supporting forms or schedules. If the real W-2 shows up later and the amounts differ from what you filed, you have to correct the return with Form 1040-X.12Internal Revenue Service. Need More Time? Request an Extension
If you’re still chasing records, Form 4868 gives you an automatic six-month extension to file, moving the deadline from April 15 to October 15 for most calendar-year filers. The catch: an extension gives you more time to file, not more time to pay. Estimate your total tax liability with whatever information you have and pay any balance owed by the original April deadline. Interest accrues on underpayments, but filing an extension and paying your best estimate still beats missing the deadline, which can bring both late-filing and late-payment penalties.
If the W-2 You Have Is Wrong
When a W-2 arrives with incorrect amounts, ask the employer to issue Form W-2c, the correction form. Employers are required to issue corrections as soon as they discover a mistake and to send you a copy.14Social Security Administration. Helpful Hints to Forms W-2c/W-3c Filing
If the employer refuses or won’t respond, file Form 4852 with what you believe the correct figures to be, and explain on Line 10 that you tried to get a corrected W-2.11Internal Revenue Service.
