How to Get a New W-2 When Yours Is Missing or Wrong

If you need to get a missing or incorrect W-2, start with your employer, then move to the IRS if that doesn’t work, and use Form 4852 with your final pay stub as a backup if the filing deadline arrives first. Employers are required to send W-2s by January 31, so anything not in hand by early February is worth chasing right away.

Gather This Before You Call Anyone

Every route below asks for the same core information, so pull it together once. You’ll need your full legal name exactly as it appears on your Social Security card, your Social Security number, and your current mailing address. Have the employer’s legal name and address for the tax year in question. A prior-year tax return, if you can find one, will show the employer’s nine-digit Employer Identification Number and speeds up any federal lookup.

Hold on to your final pay stub from the year in question. If nothing else works, that stub is what you’ll use to reconstruct the numbers on Form 4852. It should show year-to-date gross wages, federal income tax withheld, Social Security and Medicare wages and taxes, and any state or local withholdings.

Ask Your Employer or Check the Payroll Portal

A direct request to payroll or HR is almost always the fastest fix. A phone call or email usually does it. If you want a paper trail, send the request by email or certified letter. Most companies can reissue a W-2 within five to ten business days, though some charge a small administrative fee for duplicates.

Many employers use third-party payroll platforms like ADP, Workday, or Gusto. Log in and look for a “Tax Documents” or “Tax Forms” section under your pay history — you can often download the PDF instantly. If your login is gone, the payroll provider’s support team can typically reset it with basic identity verification.

Get the Numbers from the IRS

If your employer is unresponsive, the IRS offers two useful options: pulling the wage data yourself, or asking the agency to lean on your employer.

Pull a Wage and Income Transcript

A Wage and Income Transcript compiles all the income data reported to the IRS under your Social Security number, including W-2 figures from every employer that filed one. It won’t look like a real W-2, and it doesn’t include state or local tax data, but the federal figures are all there. 1Internal Revenue Service. The easiest way to get one is through your IRS Online Account. Sign in (or create an account through ID.me), go to “Tax Records,” and select “Transcripts.” You’ll need a U.S.-based mobile phone linked to your name, your filing status and address from your last return, and at least one financial account number for identity verification. 2Internal Revenue Service. One timing catch: current-year wage data often doesn’t appear in the IRS system until mid-year, because employers have until the end of March to electronically file W-2s with the government. The transcript is most reliable for prior tax years.

Call the IRS to Pressure Your Employer

If you still haven’t received your W-2 by the end of February, call the IRS at 800-829-1040. 3Internal Revenue Service. Let Us Help You The representative will document your complaint and send a letter to your employer directing them to provide a corrected or missing W-2 within ten days. You’ll also get instructions for filing with Form 4852 as a backup. 4Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong The IRS letter tends to work, because employers face escalating per-form penalties for statements that are late or never furnished. 5Internal Revenue Service. Ordering an Actual Copy

The IRS only retains physical copies of W-2s when they were attached to a paper-filed return. If you paper-filed, you can order the full return using Form 4506 for $30, and that fee is waived for taxpayers affected by a federally declared disaster. 6Internal Revenue Service. Form 4506, Request for Copy of Tax Return If you e-filed, the IRS won’t have a paper W-2 on file and the transcript is your only IRS-side option. 1Internal Revenue Service. When to Use the Social Security Administration

The SSA keeps W-2 records going back to 1978, which makes it useful for older years the IRS may no longer serve well. You can see a free summary of your yearly earnings through your “my Social Security” online account, but that summary won’t break things out by employer.

For actual copies of filed W-2 forms, send a written request to the SSA with your Social Security number, the exact name on your card, the years you need, your mailing address, phone number, and the reason for the request. Copies are free if they’re for a Social Security-related purpose; otherwise the fee is $62 per request. 7Social Security Administration. How Can I Get a Copy of My Wage and Tax Statements (Form W-2)? Mail the request with a check or money order to: SSA Office of Central Operations, Division of Earnings and Business Services, P.O. Box 33003, Baltimore, MD 21290-3003. For a return you’re about to file, the IRS transcript or your employer will be faster.

If the W-2 Arrived with Wrong Numbers

A W-2 with incorrect wages, withholdings, Social Security number, or name is fixed by asking your employer to issue a corrected Form W-2c, which they file with the SSA along with a transmittal Form W-3c. 8Social Security Administration. Helpful Hints to Forms W-2c/W-3c Filing If the employer won’t cooperate by the end of February, call the IRS at 800-829-1040 and the agency will send the same ten-day letter used for missing forms. 4Internal Revenue Service. If You Don’t Get a W-2 or Your W-2 Is Wrong If the corrected form still hasn’t arrived by the time you need to file, use Form 4852 with the figures you believe are accurate. 9Internal Revenue Service. If the Employer Is Out of Business

A defunct employer can’t reissue anything. The IRS recommends first contacting the employer directly if you can reach anyone, in case they can still provide a substitute. 10Internal Revenue Service. Filing When the W-2 Still Hasn’t Arrived

Two options as the April deadline gets close: file with estimated figures using Form 4852, or file for an extension.

Filing with Form 4852

Form 4852 is the IRS-approved substitute for a missing or incorrect W-2. Use your final pay stub to fill in gross wages, federal income tax withheld, Social Security and Medicare wages and taxes, and any state or local withholdings. 11Internal Revenue Service. Form 4852, Substitute for Form W-2 The form asks what steps you took to get the original and why you’re estimating. Be specific — dates you contacted HR, the date you called the IRS, and what response you got.

If the real W-2 shows up later with different numbers, file an amended return using Form 1040-X. 12Internal Revenue Service. W-2 – Additional, Incorrect, Lost, Non-Receipt, Omitted That’s an extra step, but it beats missing the filing deadline and paying late-filing penalties.

Filing an Extension Instead

If you’d rather wait, file Form 4868 before the April deadline for an automatic six-month extension to October 15. 13Internal Revenue Service. Get an Extension to File Your Tax Return Important boundary: this extends the filing deadline, not the payment deadline. You still need to estimate what you owe and pay it by April, or interest starts accruing on the unpaid balance. 14Internal Revenue Service. Form 4868, Application for Automatic Extension of Time to File U.S. Individual Income Tax Return An extension works best when you’re confident the W-2 is close and you don’t expect to owe much more tax.
